HP Digital Sender 9250c Overview The HP Digital Sender 9250c is one of the scanners in the ETC Lab in room B-23 of Alumni Hall. It is capable of scanning multiple loose leaf pages into a single digital file. It also boasts a small flatbed scanner that will allow you to scan bulkier items such as books. When using this scanner, you have the option to output to either an email address, or to a drop folder located on one of the ETC iMac computers. SCANNING LOOSE LEAF PAPER If you are attempting to scan loose leaf paper, the HP Digital Sender 9250c can handle up to about 50 pages at a time. Simply slide your pages right-side-up and facing upward into the above slot. Once scanned, your pages will be deposited underneath the upper area in this bottom shelf. Skip ahead to Setting Up Your Scan to see how to proceed from here. IMPORTANT: If you need to scan more than 50 pages, please refer to the section later on in the tutorial on how to put together a Job Build. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 1 SCANNING BOOKS The top of the scanner lifts and swivels up to reveal a flatbed scanner. Anything that cannot fit through the loose leaf reel mentioned above, such as a textbook, can be scanned this way instead. If you wish to scan something on paper that you do not wish to damage, this method is also a good idea. When laying down your item to be scanned, be sure to line it up with the green arrow on the top right corner of the flatbed (illustrated below). Make sure that you set up flush with the green lines. There are indicators to designate the size limit your item must remain within in order for the entire surface area to be captured. If your item exceeds this size limit, consider using the Microtek Scanmaker 9800XL flatbed scanner. Once your item is laid out, close the top of the scanner. You DO NOT need to completely close the top in order to proceed. Skip ahead to Setting Up Your Scan to see how to proceed from here. IMPORTANT: To scan multiple pages into the same document, please refer to the section later on in the tutorial on how to put together a Job Build. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 2 SETTING UP YOUR SCAN When you first begin using the digital display of the HP Digital Sender 9250c, the menu screen should look like this. If you see anything else, look for the Home button in the top left corner (illustrated above) or flip the power button off and on again if you see an error message. NOTE: Past this point, if you leave the menu screen idle for more than one minute, the scanner will time out and return to the above menu, and your settings will be reset. You have two choices for output destinations when scanning an item: Email and Network Folder. Tap either option on the touch screen above to make your selection. OUTPUTTING THROUGH EMAIL If you select the Email option, you will be presented with the following screen: The From: field should be automatically filled with the word courseweb. This is the name that will appear as the sender of the email. Tap the To: field to enter your email address. You can use either the touchscreen keyboard, or the full out keyboard at the bottom of the scanner, illustrated below. Fill out the Subject: and File Name: fields in the same manner. Subject will be the Subject of the email, and will help you identify the item in your inbox. File Name will be the name of the file attached to the email, and will help you identify the item after you download from your email. These two do not have to be the same, but the file name more directly ties to the item itself. There is also a CC: and BCC: option if you wish to send the scanned item this way as well. NOTE: To access all the fields on this page, you will need to use the scroll bar along the right side of the touch screen to scroll down. Do not confuse this with the More Options arrow, mentioned below. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 4 Once you have your email addresses, subject and file name set the way you want them, click the More Options arrow at the bottom of the screen to proceed to the next page. Skip ahead to Scan Settings for the next step. OUTPUTTING THROUGH THE NETWORK FOLDER If you select the Network Folder option, you will be presented with the following screen. First, tap the DSOUTPUT option on the left to set your destination folder. It should highlight upon selection. Next, tap the text field under File Name: to title your scanned item. You can use either the provided touchscreen, or the pull-out keyboard at the bottom of the scanner. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 5 Once you have your file name set the way you want them, click the More Options arrow at the bottom of the screen to proceed to the next page. SCAN SETTINGS Whether you are outputting through Email or through the Network Folder, the next step will take you to a page that should look like this: These are your scan settings. Tap any of the above buttons to change their setting, and then click OK to save that setting. The different settings are as follows. Document File Type This is the type of file your scan will output to. The HP Digital Sender 9250c can output to PDF (recommended for documents and book scans) or 3 image types: JPEG (recommended for photographs and illustrations), TIFF or MTIFF (recommended for scans that will go towards making digital art). Selecting an image option will always output each page to its own file, regardless of whether Job Build has been enabled. Output Quality This is the quality of your scan. By default, it is set to Medium. If you want to make a High quality scan, it will produce a larger file (see above note about email attachment size limits). If quality is less of a concern, you may want to make a Low quality scan to get a smaller file, which will output faster. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 6 Resolution This is the resolution of your scan. It is measured in dpi (dots per inch), which represent how many pixels are used to make up an inch of space. Fewer dots per inch means lower resolution and a lower file size, and vice versa. The resolution can be adjusted from as few as 75 dpi and up to 300 dpi. Color/Black This is the color of your scan. If you need to scan in full color, select Color scan. If not, set it to Black/White scan. Original Sides This is how many sides of your document you wish to scan (only applies to loose leaf paper). If you wish to scan only one side, select 1-sided, or if both, select 2-sided. Content Orientation This is the orientation of your scan. If you want a vertical output, select Portrait, and if you want a horizontal output, select Landscape. Original Size This is the size of your scan. Most common documents should be Letter 8.5”x11”, but if you need to scan in another size format, Legal 8.5”x14”, Exec 7.25”x10.5” and Statement are available for selection January 2014 www.cidde.pitt.edu/bb9 | [email protected] 7 Optimize Text/Picture This will allow you to optimize your scan for either Text or Picture. You can either select Manually adjust and use the slider in the lower right corner, or select Text or Printed picture. The last two settings can be reached by selecting the More Options arrow at the bottom. The last two options should look like this: Once again, you can tap either option to adjust your setting. We will go into Job Build in depth in the next section. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 8 Image Adjustment This will allow you to adjust your image settings. If you want to make your image brighter or darker, use the Darkness slider. To make your background more clear, use the Background Cleanup slider. And to make images in your scan stand out more sharply, use the Sharpness slider. Once you have all of your settings the way you want them, simply tap the Start button at the top left of the screen, or press the green Start button on the button pad next to the touch screen. Once you have finished your scan, the yellow Data light to the left of the touchscreen should start to blink. It will continue to blink until your item is sent. Depending on the size of your scan, it may take anywhere from 1 to 45 minutes, so if you plan to scan a large document, be sure to budget some time. Once this light stops blinking, check your email or the DSOUTPUT folder on the ETC iMac for your scanned item. January 2014 www.cidde.pitt.edu/bb9 | [email protected] 9 JOB BUILD Job Build allows you to make multiple scans, and merge them into one document. This will be necessary if you want to scan multiple items on the flatbed scanner, such as pages in a book, or if you have more than 50 loose leaf pages and cannot fit your entire document into the feed on top of the scanner. To enable Job Build, simply tap the Job Build button the final Settings page. This should give the following option. Tab the button for Job Build On, and then hit Ok. Once you have enabled Job Build, and have all of your settings the way you want them, simply tap the Start button at the top left of the screen, or press the green Start button on the button pad next to the touch screen. Your scan will begin. Once the HP Digital Sender 9250c has run out of things to scan, the following message will pop up on the touchscreen: January 2014 www.cidde.pitt.edu/bb9 | [email protected] 10 For Books and other Flatbed scans: lift the top of the scanner, turn to the next page or set your next item (making sure to line up the scanned surface of your item to the green arrow in the upper right corner), reset the lid and tap the Scan button on the touch screen. For Loose Leaf scans: retrieve your first batch of scanned items from the lower area and slide your next batch of loose leaf into the feed on top of the scanner, and tap the Scan button on the touch screen. When you have scanned every page you want to include in this document, tap Finish. Once you have finished your scan, the yellow Data light to the left of the touchscreen should start to blink. It will continue to blink until your item is sent. Depending on the size of your scan, it may take anywhere from 1 to 45 minutes, so if you plan to scan a large document, be sure to budget some time.
