Many thanks for agreeing to be involved with this forthcoming IOM3 event. Please find below some general
information and further details about the conference.
Could I remind you that sales presentations or company promotion is not appropriate for this event.
Abstract, Biographical Details and Photograph
Please could you provide a short abstract (150-250 words) as soon as possible, so that I can add this to
the event website immediately, and plan the day with minimum overlap of the presentations chosen. I may
use this abstract to extract a number of bullet points to highlight the content of the presentation to potential
delegates. Please don’t include any figures, diagrams or tables in the abstract.
You will also need to provide some brief biographical details (150-200 words) and a head and shoulders
photograph (jpeg or gif file) which may be printed in the programme. These can be written in the first or third
person, but will be reproduced exactly as written (unless they are too long, in which case they may be
shortened). A template for these details is given on the next page. We will need these no later than six
weeks before the event please.
PowerPoint Presentation
PowerPoint will be the only means of presentation. We would like the PowerPoint presentation at least the
day before the event please, and I would ask you to email this to Paul Harris at [email protected] and
also to bring a back up copy with you. Please name the file using your own name and version number (e.g.
Dawn Bonfield V1). Invariably delegates will ask whether the presentation is available electronically after the
event. Please consider whether you wish to do this in advance, and we will ask you to give your written
permission on the day, for posting on the website after the event. There will be no conference proceedings,
so you are not required to produce a formal paper. If you are using PowerPoint Version 7, please save the
file as a PowerPoint Slideshow (.pps). We do not currently have PowerPoint version 7, but your presentation
will still run if you save it in this format.
Please can you let us know in advance if you wish to use your own laptop for any reason.
If you cannot send in your presentation in advance, please bring a copy and a back up copy with you
on the day.
Expenses
You are not required to pay to attend the conference, and you are permitted to claim reasonable second
class advance purchase rail expenses for travelling to the event, on submission of an original receipt. We
cannot, however, reimburse First Class travel, taxi fares, subsistence or accommodation costs. In the
interest of economic sustainability, I would encourage you to take advantage of early booking reductions, as
these conferences are not profit making, and if any surplus money is made from the event, this is reinvested
into future conferences, so better spent there than with British Rail! Where speakers travel from abroad,
flights taken must be agreed in advance. A travel claim form is attached to the end of this document, and
original receipts will need to be submitted with this claim form.
Co-authors and co-presenters are eligible to attend the conference at the affiliate member rate, but
not free of charge.

Notes For Speakers
Here are some notes which may be helpful on the day.
Please ensure that your presentation is loaded onto the
laptop in plenty of time, and that any embedded videos
are working.
There is a remote mouse with laser pointer on the
lectern for your use. Please familiarise yourself with the
working of all equipment in the break before you speak.
Ensure that the microphone is switched on before you
start speaking.
Please ensure that you stick to time. There is a clock at
the back of the room for you to refer to.
Don’t forget to switch off your own mobile phone!
Introduce yourself to the Chairman on the day, before
you are due to speak, so that he/she knows you are
here.
Paul Harris will be the conference organiser on the day of the conference. He
