Rate: Hotel has total control of rate and availability and uploads their
preferred rates at their discretion to their selected Channel Manager. Please
note a Bed & Breakfast Rate must be uploaded.
No Show: If a client does not take up pre booked accommodation at Hotel ,
and no prior notification has been given to the Hotel, then Irish Welcome
Tours will pay Hotel 80% of the agreed room rate for the first night only.
Cancellation: Bookings cancelled prior to 12 noon on the day before
scheduled arrival will not be charged.
Payment: Immediately following clients departure an invoice should be
emailed to:

The details in our Terms & Conditions constitute part of this agreement. The signee declares
to have read the terms and conditions and agrees to be bound to them.
Irish Welcome Tours insists that suppliers/contractors
engaged by us have Employers Liability Insurance
(minimum indemnity limit €13m & Public
Liability/Product Liability €2.6m) and, if applicable
Motor Insurance, all including indemnity to
principals. The Hotel shall hold full insurance for fire
and all third party risks including, but not limited to,
liability for damages for personal injury whatsoever
arising in respect of clients of Irish Welcome Tours
and our employees, agents or representatives and shall
on request, produce a copy of such a policy to us and
advise us on all changes to such insurance

Hotel Accommodation
The Hotel agrees to provide for Irish Welcome Tours
clients the rooms, facilities, meals and other services
specified in this contract together with any other
arrangements that may be agreed in writing, at the
rates specified. The rates include all service charges &
taxes including VAT. Any extras not specified on the
voucher submitted by the client are at the client’s own
expense, unless pre-arranged by us in writing and they
must be settled directly by the client on departure. We
reserve the right to use the trade mark of the hotel in
any promotions we may do on or offline
Payment – After departure an invoice net of
commission is to be sent in PDF form to:

No-shows & Cancellations
If a client does not take up accommodation booked for
by Irish Welcome Tours and no prior notification has
been given to the Hotelier, then Irish Welcome Tours
will pay the Hotelier a maximum of 80% of the agreed
room rate for the first night only. Bookings cancelled
prior to 12 noon on the day before scheduled arrival
will not be charged

The Hotel guarantees that its service will always
correspond to the standard of service of its category
and classification.

Notify
The Hotel must notify Irish Welcome Tours in writing
of any construction, refurbishment or renovation work
being carried out to the Hotel or in a building nearby
which may cause environmental or noise The Hotelier
recognises that Irish Welcome Tours are legally
obliged to inform its clients of such changes as soon
as possible prior to departure and may have to offer
the client:

the
right
to
transfer
to
alternative
accommodation of a similar or higher standard
at no extra charge and/or

the right to cancel completely with a full refund
of all monies paid and/or

appropriate compensation
Complaints Procedure
The Hotel agrees in the first instance to aim to resolve
any complaint made by one of our clients on the spot.
If this is not possible and the Hotel is aware of a
pending complaint, we expect the Hotel to notify us
immediately. If we then subsequently receive a
complaint from our client, we will advise the Hotel
and expect an initial response within 24 hours. The
Hotel agrees to refund to Irish Welcome Tours the
amount of any compensation together with any
reasonable costs incurred by Irish Welcome Tours in
settling a claim arising from such a matter.

Change of Management / transfer of control,
ownership or activities:
The Hotelier undertakes:

To inform Irish Welcome Tours immediately of
any changes or proposed changes in the
ownership and/or control of the Hotel in order
that any measures which Irish Welcome Tours
considers desirable may be taken in good time.

To transfer all rights and duties under the present
contract to such third party subject to approval by
Irish Welcome Tours and to inform Irish
Welcome Tours immediately.

To inform Irish Welcome tours immediately of
changes or proposed changes to the management,
the accommodation itself or to the service, which
would detract from the enjoyment by Irish
Welcome Tours client of the use of the
accommodation.
9. Alternative Arrangements / Outbookings
Irish Welcome Tours takes a very serious view on any
outbooking request by a Hotel. If an agent has
featured the specific Hotel in a brochure or given out
its name to a client, an outbooking will not be
acceptable to them. In the event of an unavoidable
outbooking situation, the hotel must first of all request
our permission to do so, check with us as to the
suitability of the alternative offered and wait while we
refer the matter to our client. If our client agrees to an
outbooking, it must be to accommodation of similar or
superior quality in a suitable location for their
programme and at no extra charge.
10. Force Majeure
The failure of a party to perform the Commercial
Contract and these Terms and Conditions is excused if
the non-performance is caused such as war,
revolution, terrorist act, closure of borders, epidemic,
natural catastrophe or other causes that seriously
affect both parties and in particular the place where
the supplier is located as well as the country of origin
of the client and other unforeseeable causes beyond
the parties’ control.
11. Termination
The terms of the contract are ongoing until
terminated pursuant to the Terms and Conditions and
the Commercial Contract. The supplier may
terminate the Commercial Contract with 30 days
written notice. In such case the supplier shall respect
all bookings made by Irish Welcome Tours prior to
the notice of the termination.

It is quite likely that in most cases the maximum number of pax and the Maximum adults +
children fields will be the same. The supplier policy relating to Infants and the
bedding/payment for them will dictate any difference.

The maximum number of adults that the room can accommodate.
Minimum pax charged as adults


The minimum number of adults that must be paid for.
This field allows for the situation of (e.g.) a twin room which has a room rate of (e.g.)
100.00, a child rate of 10.00 and has 1 adult and 1 child staying. If the value was set at 1,
then a half twin rate (50.00) would be charged, plus the child rate of 10.00 = 60.00. If the
value was set at 2, then the full room rate of 100.00 would be charged.

These are the simple steps required to complete the
process…
Irish Welcome Tours use a Tour Operator reservation system called Tourplan and
Tourplan have developed a channel manager called Tourplan DX which allows us
to connect to Channel Managers Siteminder, Rate Tiger & Travelclick.
The next steps:
1. We will contact Tourplan and provide them with your “Hotel Room Types and
Rateplans” information. Tourplan will contact you directly and ask you to confirm via
email your agreement to connect your channel manager with Irish Welcome Tours.
2. When your Room Types & Rateplans have been set up, you will log onto your
Channel Manager and add the Tourplan Channel so that you can match the existing
codes already set up. This is done with the online assistance of the Tourplan support
team.
3. Tourplan will be listed as the distribution channel on your Channel Manager. Irish
Welcome Tours will also be listed as the source of the booking.
4. You will enter Net rates and availability against the Room Types & Rateplans that
have been set up. You will push through the net rate to us so (BAR rate minus our
commission = net) and we will sell the BAR rate on our end.
5. Your Channel Manager will then push out the rates to the Tourplan DX channel
Manager Extranet and this will allow Irish Welcome Tours to get access to these BAR
Rates and Availability.
6. We will make some Test Bookings in order to ensure the connection is working as it
should and then we will be ready to set the connection live.
