TERMS AND CONDITIONS FOR PARTICIPATION
IN INTERNATIONAL INTERDISCIPLINARY RESEARCH CONFERENCE
"COGNITIVE ADVENTURES"
§ 1. General provisions
1. Submitting the application form for the conference "Cognitive Adventures" (hereinafter
referred to as the "Conference") confirms the acceptance of these Terms and Conditions.
2. The organizers of the Conference are:
a) the Copernicus Science Centre with its registered office in Warsaw /Warszawa/ at
Wybrzeże Kościuszkowskie 20 (hereinafter referred to as CSC or the “Organizer”),
b) SWPS Uniwersytet Humanistycznospołeczny with its registered office in Warsaw
/Warszawa/ at Chodakowska 19/31,
hereinafter referred to collectively as the "Organizers".
3. The Conference will be held on the 26th and 27th October 2017 at the building of the
Copernicus Science Centre at Wybrzeże Kościuszkowskie 20.
4. The Conference includes plenary sessions and panel and poster sessions.
5. The agenda of the Conference, including the order of the sessions, will be published two
weeks before the Conference at the following websites: www.przygody.kopernik.org.pl or
www.adventures.kopernik.org.pl and www.swps.pl. The organizers reserve the right to
change the order of the sessions for objective reasons, independent of the organizers.
However, any change cannot be introduced later than one day before the beginning of the
Conference; the announcement of any change will be published immediately on the
websites specified in the previous sentence.
6. The Conference is held in English and the organizers provide interpretation into Polish.
§ 2. Rules of participation
1. The conditions for participation in the Conference are as follows:

a) submission of an application for participation in the Conference only through the
registration form (hereinafter referred to as the "Form") available on the website of the CSC,
in the tab www.przygody.kopernik.org.pl or www.adventures.kopernik.org.pl;
b) payment of the fee in the amount specified by the organizers on the website specified in
point (a) above and in the Form.
The conference fee should be paid to the organizers’ account as stated in the confirmation
of acceptance of participation within fourteen (14) calendar days from the date of receipt of
the confirmation.
2. The moment of receipt of the application by the Organizers is the moment of saving a
completed Application Form in the Organizers' computer system, which shall be confirmed
by an appropriate follow-up message.
3. Due to limited seating capacity at the Conference, the order of submitting applications is
decisive. A person who has correctly and timely registered via the Form and has qualified to
participate in the Conference receives a follow-up message from the Organizers as a
confirmation of the booking. The message will be sent to the e-mail address specified in the
Form.
4. At the written request of a participant, the Organizers shall issue a VAT invoice for
participation in the Conference.
5. The participants of the Conference are both the as speakers (active participation), as well
as the members of the audience (passive participation).
6. The conference fee covers:

conference materials,
coffee breaks and lunch,
the opening gala dinner.
7. The conference fee does not include the cost of travel to the Conference or
accommodation costs.
8. The participant can transfer his/her place to another person. If the transfer takes place
later than 30 September 2017, the condition of effective transfer (that includes transfer of
the participation and refund of the conference fee) is that the new participant makes the
payment of the conference fee.
9. The Organizers have the right not to allow a participant to attend the Conference if the
latter fails to pay a conference fee within the period specified by the Organizers in point 1(1).
10. The deadline for applications for passive participation in the Conference is on 05 October
2017, and for active participation - on 15 June 2017.

11. A participant may withdraw from participation in the Conference. The withdrawal should
be formulated in writing and sent to the Copernicus Science Centre's address specified in
para. 1 of the Terms and Conditions, or e-mailed to the address of the Conference
([email protected]).
12. If a participant decides to cancel his/her participation in the Conference until 30
September 2017, the Organisers shall return the conference fee (less banking fees) in
fourteen (14) days from the cancellation date. If a participant decides to cancel his/her
participation in the Conference on the date later than specified in the previous sentence, the
conference fee shall not be returned.
§ 3. Presentation of the paper and publication
1. The paper should be an independent piece of work according to applicable copyright laws
in force in the Republic of Poland and should be the property of the speaker.
2. The series of presented speeches will be summarized by a discussion in the ongoing
session.
3. Each speaker has an obligation to participate in the discussion about the lecture delivered
by them during the same session.
4. An active participant agrees for audio and video recording his/her image and the
presentation delivered at the Conference, and publication of the recording at the Organizer’s
websites as well as at YouTube.
5. The consent specified in point (4) above is given free of charge and for an indefinite period
of time.
§ 4. Final provisions
1. Filling the Form is equivalent to giving one’s consent to collect and process the personal
data by the Copernicus Science Centre.
2. Personal data will be used in accordance with the Personal Data Protection Act of 29
August 1997 (Journal of Laws of 2014, item 782). Personal data is collected on a voluntary
basis -- however, providing the data to the extent specified in the Application Form is
necessary to take part in the Conference. Each participant has the right to view their data
and to amend them.
3. Personal data will be stored in the database administered by the Copernicus Science
Centre, Wybrzeże Kościuszkowskie 20, 00-390 Warsaw /Warszawa/.
4. Personal data shall be processed only for the purposes connected with the organization of
the Conference.

5. Organizers shall not be responsible for the consequences of the provision of incorrect
personal data by the participant of the Conference.
6. Organizers shall not be responsible for the consequences of force majeure, including the
cancellation or shortening of the Conference due to force majeure. Force majeure is an
event beyond the control of the Organizers, which causes that the fulfilment of the
obligations is not possible or may be deemed to be impossible due to particular
circumstances. Force majeure events include, but are not limited to, weather conditions,
failure or disruption of electricity supply equipment, interruptions in electricity supply due to
reasons for which the Organizers are not responsible.
7. The Organizers are not responsible for items belonging to the participants that were lost,
damaged or stolen during the Conference.
8. Conference participants are obliged to behave in a way that does not endanger the safety
of other persons, in particular they are obliged to comply with health and safety regulations.
9. Conference participants are required to follow the order instructions of the Organizers or
persons appointed by them.
10. Any disputes related to the participation in the Conference shall be settled by a common
court having jurisdiction over the seat of the CSC.
