SUPERVISION DUTIES AND PLAY TIME
At Hazelwood School we live in a community and treat one another as we wish to be treated
(both pupils and staff). It should be noted that teachers are always ‘on duty’ in this community
and we are always looking after the pupils in our care. This is essential if our pastoral care is to
be effective. This is explained from the very first Induction meeting taken by the Deputy Head
for all new staff at the start of the academic year.
We are all responsible for the behaviour of children on the school premises.
Throughout the day, staff should exercise their authority whenever they see a child
behaving in a manner unacceptable to the School Behavioural Policy. Staff have a
duty to:
1. deal with inappropriate behaviour
2. report it immediately to Heads of Year, Deputy Head and record it on School Base.
Years 1-8
We try to have outdoor play whenever possible.
Wet day play
An email is sent to all staff by the Assistant Head [Organisation and Compliance] before
10:25am if it is wet break. Class teachers are responsible for establishing classroom
rules/items available in their own rooms. Assistants/form tutors supervise in their classrooms.
Videos/DVDs are allowed for wet play.
Chestnut Duties
Duties in Chestnut Duties are arranged in Chestnut to suit their staffing and working day.
They are then sent to the Deputy Head and Assistant Head [Organisation and Compliance].
8.00am - 8.30am Early room supervision
Sign in children arriving, general supervision of early morning play session by one TA and
Assistant Tutors.

10.25am - 10.50am Break
Four members of staff on duty in the playground -1 teacher, 3 TAs. Teacher on duty must
be on the playground before any children are allowed out. This might change, subject to
pupil numbers.
12.00pm - 1.15pm Lunch
Teachers take their own classes to the hall and supervise. 2 Year 1 TAs walk back to
Chestnut with Year 1 pupils. Two TA’s walk back and collect Year 2 children to take back to
Chestnut. The teacher remains in the Chestnut building until the end of play.
3.30pm All teachers are responsible for their own classes until they hand the children over to
the adult collecting them or the teacher in charge of the Late Room. All children not going
home with their parent ( or named person) will need a note to that effect – if there is no note
then telephone the parent for permission before the child is allowed to go.
Years 3-8 Duties and Play Time Arrangements
Games kit drop off supervision on Monday, Thursday and Friday 8am -8.30am in the
changing rooms (Sports Staff). Tuesday and Wednesday 8.15 – 8.30am.
No changing during breaks on Monday, Tuesday and Friday. The only exception is away
matches and these are to be arranged and supervised by the team taker.
All Games pupils change during breaks on Wednesdays and Thursdays if they have a
fixture. These duties are on the Duty Rota circulated by the Assistant Head (Organisation
and Compliance).
Loos during Break Times: Year 3-5 use “junior loos” outside main building and Years 6-8 use
theatre loos.
Changing during lunch times for PE/Single Games/Afternoon Games to be supervised by
Sports Staff and from 1.50pm - 2.00pm. NO changing before this, unless once again it is an
away match and then the team taker should supervise the team.
NO football games are allowed in the courtyard, but pupils are allowed to play with tennis
balls on the table tennis tables and the wall section opposite the table tennis table.
Year 3 and 4 only around Cedar/Verandah. One member of staff [with a ‘V’ by their name on
the Duty Rota] is to support constructive play in the verandah area.
Staff eating in the dining hall and Hazelwood Room are responsible for supervision from
1.05pm - 1.35pm. Staff should be on time and sit amongst the pupils. It is not very helpful if
all staff sit at the same table. The lunch queue duty person is responsible for the courtyard.
At 1.05pm Year 3 may leave the dining hall and go directly to the tennis courts, they are not
to play on the gravel path, in the chapel courtyard or outside the changing rooms. At 1.30 a
whistle will be blown to explain that the verandah play area is open, chapel concerts are
beginning (member of staff on duty blows whistle on arrival).
During wet lunch Years 3, 4,7 and 8 go directly into the dining hall, and years 5, and 6 line up
under the sheltered area outside sports hall. Pupils to go to form rooms, form tutors please
supervise your form. Duty staff to patrol the various buildings.
Early Room – 8.00am – 8.15am
Pupils who arrive between 8.00am and 8.15am wait quietly in the Early Room in the Dining
Hall. This is supervised by an Assistant Tutor. The pupils should wait quietly until 8.15am when
they are allowed to go to their form rooms. Please notify the Deputy Head if pupils arrive before
8.00am as their parents will need to be contacted to arrange for them to have breakfast at
School.
8.15am - All Form Staff to be in their Form Rooms.
Break: Veranda – 10.25am – 10.50am
Supervise the pupils playing on the Cedar/Veranda Playground.
Break: Courtyard – 10.25am – 10.50am
Supervise children playing in courtyard area by standing outside the Theatre.
Lunch Queue: 1.05pm - 1.30pm
Supervise the lunch queue, quell loud noises and encourage acceptable eating habits and table
manners.
Lunch: Tennis Courts – 1.05pm – 1.30pm or 1.30pm - 2.00pm
Lunch: Courtyard – 1.30-2.00
Supervise children playing in courtyard.
Go down to the tennis courts and supervise by standing on top of the hill outside the top court.
Tree House:
There is a Tree House Rota for pupils, which is circulated by the Assistant Head (Organisation
and Compliance) so that certain year groups can play on the Tree House on certain days. This
Rota is circulated to Form Teachers at the start of the Summer Term and Autumn Term when it
is dry and safe enough to play on this facility. Staffing of this duty is on the Staff Duty Rota. Staff
must read the H&S policy for the tree house before taking on this duty.
Tea: Early 4.15pm – 4.30pm. Late: 4.30pm to 4.50pm
Supervise the children who are staying to tea in the Dining Room. Check them off on the ‘Tea
and Prep’ list. . Pupils are collected from the dining hall for their club by the club taker. If they
are staying for Prep, they need to stay in the Dining Room until the Prep taker arrives (4.50pm
latest). They will then go to Eng 1 (Years 6-8) and Chestnut (Years 3-5) for supervised prep.
Early Car Park Duty: 4.00pm – 4.15pm followed by Early Tea Duty 4.15- 4.30 p.m.
Stand in the car park to ensure the safe collection of children. Ensure that the children are
leaving the premises in full uniform and make sure they wait quietly and safely on the island in
the middle of the car park.. At 4.15pm send any children still waiting to the late room and then
supervise early tea takers in the dining room.
Car Park Duty: 4.30pm – 4.50pm
Stand in the car park to ensure the safe collection of children. Ensure that the children are
leaving the premises in full uniform and make sure they wait quietly and safely on the island in
the middle of the car park where you can see them. Do not allow them to stand outside
Chestnut. At 4.50pm send anyone who has not yet been collected to the prep takers in the
dining hall where they will join the other prep pupils with whom they can stay until their parents
arrive. Tell the teacher on Prep Duty that these pupils are now in their care. When
Safeguarding issues arise the Deputy Head informs staff of confidential pupil information that
may refer to one parent being able to pick up a child and another not.
Prep Duty: 4.50 pm – 6.00 pm
Children booked in for Tea and Prep by their parents are collected by the prep duty teacher
from the dining hall. They then register the pupils and walk them to various late rooms where
supervised prep will take place. The duty person phones parents if pupils are not accounted for,
or if parents did not collect at the expected time. Pupils are collected by parents from the prep
room.
It is important for all staff to familiarise themselves with the collection register to ensure that
pupils are only collected by authorised adults.
After 6pm pupils left at School may be taken to the Head or Deputy Head who live on site.
Supervision in the EYFS
All children in the EYFS are carefully monitored and supervised throughout the day,
whether they are in their rooms, outdoor areas, shared play spaces or the halls. The
staff are aware of the importance of the safety and welfare of every child and are
constantly vigilant. The external doors to the buildings are operated by a security tag.
The gates are locked during the day and opened only at drop off and collection times.
The Nursery
Our key person system ensures that correct staff/child ratios are maintained at all times
and in all rooms throughout the day, according to the age of the children.
1:3 for under 2’s
1:4 for 2 year olds
1:8 for 3 and 4 year olds
Mornings
Children arrive from 7.30am. Breakfast is available from 7.30am to 8.30am. All children
in Wrens, Wagtails and Skylarks are taken to their own rooms by their parent/carer
where their Room Leader, keyperson or another member of staff is ready to greet them.
All Robins have breakfast in the Top Robins room and at 8.30am they are transferred to
their own room. Appropriate staff/child ratios are maintained throughout and children
are signed in as they arrive. Staff also sign in when they arrive.
Lunchtimes
All the children throughout the Nursery eat in their key groups, supervised by their key
person, who sits with them. Skylarks eat in the dining room. All other children and
babies eat in their own rooms.
Evenings
The Nursery is open to 6.00pm. Tea is available from 4.30pm. Wrens and Wagtails
have tea in their own rooms and remain until their collection by parents. Robins have
tea in their own rooms and those remaining after 5pm then transfer to Wagtails.
Skylarks have tea in the dining room at 4.30pm and those remaining after 5pm transfer
to the library until collection. Appropriate staff/child ratios are maintained throughout and
children are signed out when they leave. Staff also sign out when they leave the
premises.
Oak Reception
The Reception classes have one teacher and one full time assistant in each class. We
operate a free flow system all day, making good use of the outdoor area directly outside
the classrooms and the courts. Both classrooms and outdoor area are carefully
supervised by the teachers and assistants.
Before school care
Oak children requiring breakfast are booked in and supervised in Skylarks by the
Nursery staff (correct ratios of 1:8 are always maintained). The Reception teaching
assistants collect the children from Skylarks on a rota system. Children not requiring
breakfast are brought directly to the classrooms by their parents and supervised by the
other teaching assistants in one of the classrooms again on a rota. From 8.30 children
are brought directly into the classrooms. Register is taken at 9am (online).
Lunchtime 12.20 -1.40
At lunchtime children are supervised by the teachers and assistants, who eat with the
children. After lunch play is supervised by 2 teaching assistants.
After school care 3.30-6.00pm
Children attending after school care are looked after by the Oak teaching assistants in
the library where parents collect their children and sign them out. Children remaining for
tea are taken up to the dining room by one of the Oak teaching assistants where they
join the Skylarks children. After tea they return to the library. Parents sign their children
out.
We never allow a child to leave the premises with anyone other than their
parent/carer without express permission from the parent beforehand. A
password system is in operation in the Nursery.
