Aim
The aim of this handbook is to assist Vicar General Office to manage the Mixed Marriages of
CAM.
The system builds on the Greentree Collaboration model with the smart storing of
contacts/organisations once to simplify management, update and ensure quality data

The system is very secure with three levels of security login required:1) Computer Login – Valid RCTCDOM1 Computer account.
2) Greentree login ( Managed by Finance & Operations – Sam Botoulas).
3) Greentree Company – RCTC for the Diocese of Melbourne

Logging in to a remote computer
1. Press the Start button in the bottom left hand corner of your machine.
2. You are going to connect to a remote computer. To do this, type in ‘mstsc’ in the search
bar as displayed in the picture below:
3. Press ‘Enter’
4. A box will appear, you are going to connect to computer ‘camapp02’ – simply press
‘connect’ as in picture displayed below.

It will be a Greentree icon on the desktop, double click it and the following screen will appear.
The icon looks like this:
Login with user name and secure password provided.

Go to CRM/Relationships/Contact
Working with Contacts
Each Mixed Marriage will be a contact in Greentree with different attributes and
security comparing with other contacts.
To Create a new contact just enter the code (always starts with MM) and the requested fields.

Mandatory data:
Code = Need to be manually entered and has to start with MM
Organisation = MM, Mixed Marriages
Surname = Groom Surname
Full name = Bride Surname – Groom Surname

Custom Tab - (fields dedicated to Mixed Marriages)
The Contact Tree value “Mixed Marriges” always needs to be selected.
Once the value is selected and the contact is saved, the system will show
only the applicable trees (left hand side of the screen) and used defined
fields (right hand side of the screen).
Contact Fields and trees need to be completed (mandatory).

Possible values for tree MM Catholic Party (mandatory):
 Bride
 Groom
Possible values for tree MM Type (Mandatory):
 Nuptial Mass
 MOSP
 Canonical Dispensation

In case a document needs to be attached the procedure is the following one:

Use the “…” button next to View Attachment to browse to the desired documents.

Select the document , press “Open”
Press “Save Line”
To delete the attachment. Select it and press F2

The reports section is where you will print your Mixed Marriage Certificates and other
requested reports. Please follow the steps below to print a certificate:
1. In the top Menu bar, select ‘Reports’
2. Select ‘Other Reports’ from the drop down menu
3. Select ‘CAM Mixed Marriages New Number’ to print a Certificate
4. Select Print
5. A second box will appear where you will need to type in the dispensation number of the

Mixed Marriage certificate you want to print – see screen shot below.
6. The Dispensation number will be in the Custom tab for records prior to April 2013 and will
be the Code that starts with MM for records after April 2013.
7. Select ‘Print’
Because these Certificates are printed double sided on a single sheet of paper, be sure to
select ‘Duplex’ and ‘Vertical’.

Once the Contact Tree is selected properly. These trees and UDFs will be displayed to be
completed with appropiated values.

3. What do they need access to?

1. New Users:
New users will need to be given a log in to Greentree with the correct access to see their
data only. The system identifies which data they need to see by which ‘team’ they are in.
2. Team Assigned: Mixed Marriages
Each individual User is assigned a team, the team for this module is Mixed Marriages.
3. What do they need access too?
To successfully enter Mixed Marriages into Greentree and use the system, the user will
need access to see the following:
-
MM Contacts only in CRM>Relationships>Contacts.
-
Reports – Other Reports – CAM MM selections
NOTE: Many users use the Contacts Module, we do not want the mixed marriages team
seeing the VG Contacts or the general IT Service Desk Contacts created, only codes
starting with MM.
4. Remove Users
All people who no longer need access to the Mixed Marriage data need to have their
access removed from the system. Please inform the Service Desk whenever you know
someone no longer needs access to the Mixed Marriage database.
