ISD 200 Hastings Show Choir Handbook 2016-2017 Divaz, Upstage Revolution, Riverside Company, Back-up Band, Crew 9/9/2016 WELCOME! Congratulations, you are now a Show Choir Parent! Whether your son or daughter is a singer, in the band or part of the crew, you are now part of a wonderful and busy World of Show Choir! This handbook has been created to help guide you through the many different aspects and characteristics that are unique to the Show Choir community. What is Show Choir? Show Choir is a competitive activity that can be hard to define. It isn't a sport and it isn't a choir, it is a combination of both to create a competitive form of entertainment that combines song, dance, bands and lots of creativity. Parents As parents of show choir participants, you will have many opportunities to volunteer throughout the season. Volunteer opportunities are a great time to get to know the other parents. Because show choir parents travel and support the group, it can be intimidating for new parents. Show choir parents love to get to know each other, the closer the parents get, the more fun they have at the competitions! Some of the volunteer opportunities include: Swingin’ on the River Competition (volunteers “staff” our major fundraising event.) Measuring for costumes Curling hair Chaperoning Assisting with costume needs – no sewing experience necessary Building sets –painting, sanding, etc Emergency Call List Volunteer Donate food, snacks Donate water Pulling the show choir trailer Attending competitions and supporting the group! ***Another important thing that parents need to do is register on the Hastings Show Choirs webpage at www.hastingsshowchoir.com. Registering at this to websites is very important as it is the way the show choir program communicates with parents, performers and crews Hastings High School has three auditioned show choirs: Riverside Company Riverside Company is the Varsity show choir that competes and performs all over the United States. Riverside Company is an auditioned group open to boys in grades 10-12, and girls in grades 11-12. Auditions held in the spring prior to the following school year. 1 Upstage Revolution Upstage Revolution is the Mixed Junior Varsity show choir, competing and performing in the Midwest. Upstage is an auditioned group comprised of boys in grades 9 -12 and girls in grades 10 – 12. Auditions are held in the spring prior to the following school year. Divaz Divaz is an all-female Junior Varsity show choir, competing and performing around the Twin Cities Metro area. Divaz is comprised of girls in grades 9 – 12. Auditions are held in the early fall of the year prior to the start of the show choir rehearsal season. Other Components of Show Choir Back-Up Band The band is made up solely of students. The band is a vital part of Show Choir program. They rehearse, travel and win trophies along with the group! Crew The crew is also an important part of the groups as these are the individuals that support the singers, assist with costumes, ensure props are ready etc. Students volunteer to serve as members of the crew. Crew members can be members of one of the three show choirs, or students from outside of show choir but they will be expected to provide support for any/all of the show choirs as needed and travel and rehearse as necessary. Auditions Auditions for members of Riverside Company and Upstage Revolution are comprised of two components, dance and vocal aptitude. Auditions for Divaz are comprised of just vocal aptitude. Auditions are judged by a panel of judges. Vocal The vocal audition includes singing a prepared short accompanied solo. The audition is combined with the dance audition and is held in groups of six. Dance and vocal auditions are approximately 10 minutes in length. Dance A dance clinic is held the day of the audition and a short dance of approximately 32 counts is taught to students for the audition. The audition is combined with the vocal audition and is held in groups of six. Pre-Season Contract All students and their parents are required to sign a contract that outlines the responsibilities and expectations of the participant including guidelines for rehearsals and performances, general policies, costumes, activityspecific related costs, singer specific items and other responsibilities. These are covered in detail with the students and discussed at the Show Choir Parent Meeting held at the beginning of the season. 2 Communication Main Show Choir website: www.hastingsshowchoir.com. Performers and crew and parents should register at the show choir website. The Show Choir website is our primary means of keeping you as a parent informed about what is going on with our program. The Show Choir page includes individual sections for each group where you can find information about upcoming events/ rehearsals, etc. Social Media In addition to the choir website and emails, we have provided additional ways for you to keep up with our show choirs! 1. Facebook: If you are already a member of Facebook online, please become a fan of the Hastings Show Choirs fan page by going to www.facebook.com/hastingsshowchoirs and clicking the “Like” button. By doing this, you will be able to see our page updates, competition results, and photos as we progress throughout our seasons. Pictures and results from previous years are also included on this page 2. Twitter: This is for those parents and students who are able to receive text messages on their cell phones. For general Hastings Show Choir fan information, text Follow @HasShoChoirFan to 40404. Text messaging rates apply. 3. Remind: This site is for those parents and students to receive important communications directly from the director of their group. All 3 show choir directors use this system as a way to keep in contact and send quick messages to their students, especially at competitions when it is difficult to talk to the whole group at once. Divaz members and parents can subscribe…Upstage members and parents can subscribe…Riverside Co. and BUB members and parents can subscribe… Student Account Information – Account Link Online (ALO) At the start of each season each student is asked to enter or update their personal information on ALO. Your student has or will soon receive a registration code to access the system. It is vital that the information we have on file for you is accurate. From time to time we will need to contact parents and students about any number of things. Email is our primary source of communicating with both parents and students throughout the season about changes in rehearsal times, ticket sales, departure dates and times, etc. So it is very important that we have accurate email addresses in our database for both our show choir students and their parents Choreography Clinics Each group has professional choreographers who create the dances for the shows. To maximize the time with the choreographer, intensive all day clinics are planned. During these clinics, the choreographer works at a high energy pace to teach all the steps to the group. Choreography clinics are based on the availability of the individual choreographers. They are sometimes 2-3 days in length; Friday afternoons, Saturday all day and Sunday all day. These times are approximate and set up with each choreographer. Note: Attendance at these rehearsals is mandatory and students are expected to make every effort to attend. Unexcused absences from choreography clinics may result in removal from the group. 3 If a student must be absent he/she must discuss their conflict with their director in advance of the rehearsal. Text messages, emails, posting it on Facebook and/or telling a friend, etc. will not be considered notifying the director and will be considered an unexcused absence. For all groups, there are usually 1-2 high intensity weekends planned before the season starts. Riverside Company may have additional clinics throughout the first half of the season to further refine their show. Clinics are announced many weeks in advance, so students should plan ahead when it comes to their homework. They should finish homework and school related projects before the weekend, as there is not any down time during clinic weekends. Managing their time and prioritizing schoolwork is very important. What to expect during a choreography clinic weekends: Food and Water During the choreography weekend clinics, it is very important that the students are getting enough food, water and rest. For all day rehearsal, meals and snacks are brought into the school. This is done for several reasons: Many of the students do not have transportation to eat offsite. By having parents plan and serve meals, we can ensure healthy snacks/meals are being eaten along with supplying the students with proper hydration. We can maximize our time with the choreographer by cutting down on the amount of time needed to allow students to eat on their own offsite. During these clinics, hydration is very important; students should come prepared with at least a couple of refillable water bottles. Ice water will be available at the school to refill the bottles. Rest Rest is very important on clinic weekends. Students will be very tired, yet full of adrenaline. It is important that the students obtain sleep/rest throughout the weekend. Sore muscles are expected as the students learn the dances throughout the first months of practices. Rehearsal Shirts At the beginning of the season, the students each receive a rehearsal shirt. This shirt is to be worn on choreography clinic weekends. The shirt is imprinted with the student’s name and helps not only the choreographer but also the other students get to know each other. Because of the uniformity everyone wearing their rehearsal shirts, there may also be other times during the rehearsal season that directors will request that student wear their rehearsal shirts. Regular Rehearsals Show Choir rehearsals are usually held twice a week for each group: Riverside Company: Mondays from 7–10 pm and Wednesdays from 5 – 6:30 pm. Upstage: Mondays 7 -10 pm and Wednesdays from 5 – 6:30 pm. Divaz: Mondays from 5–7pm and Wednesday evening from 5 – 6:30 pm. Many students stay after school to complete homework etc in the commons on the evenings they have practice. This is normal practice, with many students inviting those without transportation out for meals. Show choir 4 participants become very loyal and supportive of each other; they will create study groups, meal groups and participate in many activities together. Spirit Wear All performers and crew members receive spirit wear that is to be worn at all competitions when not on stage or warming up for a performance. The spirit wear includes a jacket with the first or last name of the performer/crew member embroidered on it and a pair of matching “Hastings Show Choir” pants. Each choir will have its own tee shirt designed to reflect the theme of the choir’s program. This tee shirt is considered part of their spirit wear. All three pieces of spirit wear must be worn for each competition and Swingin’ on the River. The Show Choir program provides a new set of spirit wear to new performers. Returning performers will wear the jacket and pants for multiple years. New tees are provided each year. Wearing the spirit wear is not optional, it is required. If, for some reason, during the show choir season after initial provision of the attire, a piece of the spirit wear is lost, out of size or in disrepair, the performer or crew member will need to pay for replacement of the piece. Students who arrive for a competition without their spirit wear may be sent home to change or asked to remain in the competition homeroom for the non-competing timeframe at the discretion of the director. Costumes Payment for your student’s costume is included in your Show Choir Fee. All costumes are selected by the directors as a result of suggestions by the choreographer to ensure the continuity of the show. Students are responsible for maintaining their costumes, including ensuring they have all pieces before and after a competition. A costume includes: shoes, costume pieces and jewelry. After each competition, it is important to take the costumes out of the garment bag for airing, check that all pieces are present. Febreeze spray may be used to assist with control of odors as the stage lights are hot and the group sweats a lot during their shows. Notify the Director for your group immediately if any sewing or other repairs needed. Do not wash the costumes unless you are informed that this is okay as most items are dry clean only! Makeup and Hair Stage presence is very important in Show Choir and that includes correct makeup and hair! The girls are provided with the makeup extras (does not include foundation) to create the necessary look! This may include: lipstick, blush, eye shadow, and eye crayon and eyeliner if needed. The boys are provided with stage makeup to avoid a washed-out look on stage under the bright lights as well as to enhance their stage presence. Hairstyle is selected early in the season as the group attempts to achieve an overall look on stage. The girls receive instructions on how to prepare their hair, what product to purchase to obtain the correct look and how to curl their hair. Boy's hair is usually cut to above the collar and with bangs out of the eyes. Boys may be asked to cut their hair throughout the season if necessary. 5 Boys also maintain a clean- shaven look on stage and should shave 24 hours before a performance if necessary. Show Choir Fees/Costs There are two separate fees associated with your student participating in the Show Choir Program: 1. Student Activity Fee The Student Activity Fee is a fee paid directly to the school district for any student involved in an extracurricular activity at Hastings High School. This fee is paid either by check or by credit card online at the school district website. This fee is $150.00 per student per activity and is capped at $450 for one student or $900 for a family. Student activity fees are used by the school district to offset school district costs associated with extra-curricular activities. The Student Activity Fee is the same regardless of the group. 2. Show Choir Fee The Show Choir Fee is a separate fee paid directly to the Show Choir program. These fees are inclusive of the following items: Individual Costumes which the student will retain at the end of the season (this includes, makeup, shoes, jewelry and all necessary clothing items to complete the costume). Props - both individual and group Spirit Apparel - Each year the students are provided with spirit apparel that is specific to the group and theme of the show. The spirit apparel may include: t-shirts/sweat pants and/or a zip-up sweat shirt/jacket. Rehearsal Shirt Choreography/Music al Arrangements/Show Design Some Travel Expenses Hotel Expense (if there is an overnight trip) Competition Entry Fees The Show Choir Fee does not fully cover the actual cost of all of the items listed above which is why our “Swingin’ on the River fundraiser in February is vital to the program. 3. Individual Fundraising Opportunities Happenings/DMC Achieving Dreams Frozen Food Fundraiser Drive for Your School – Ford Event – TBA (depending on the year) Mums/Poinsettias/Spring Flowers (depending on the year) Magazine Sales Additional fundraisers may be added if necessary. Show Choir Parent Meeting The Annual Show Choir Parent Meeting is held at in late September or early October. This is a great opportunity for new parents to meet veteran parents and learn more about the show choir program. In addition, it is the one time prior to the start of the Show Choir Season when the Directors have a chance to meet with all the parents and the students at one time. 6 The meeting is held in the High School Commons and Auditorium. Once auditions for Divaz have been completed and a date has been set, you will receive an email with more specifics about the time and date for the event. During this meeting, many of the forms are discussed, including the contract that the students and parent sign regarding expectations, payment of the Show Choir activity related cost, etc. At this time, you will also meet and ask questions of the director. Show Choir Season Preview Show The Preview Show is typically the kick off to the competitive Show Choir Season. The show is scheduled early in January but because both Divaz and Upstage don’t begin their competition season until later, they may perform only a portion of their show depending on their progress. The Preview Show serves multiple purposes for the program: It is an opportunity for family and friends to see the students perform. It acts as a dress rehearsal for the prep groups that have not yet competed. It is a way for the Show Choir Program to thank its sponsors. It is a fundraiser for the program. The Finale Show The post season show is a finale’ show for Divaz, Upstage Revolution and Riverside Company. It can also be a pep rally/send-off for Riverside if they are competing in any National competitions at the end of the competition season. The Finale Show serves multiple purposes for the program: It is an additional opportunity for family and friends to see the students perform and to see how the groups have progressed through the season. It is a way for the Show Choir Program to thank its sponsors. It is another fundraiser for the program. Competitions Show Choir competitions are held at high schools throughout the United States; however, Hastings show choirs participate primarily in those held in the Midwest. Competitions are all day events and are a fundraiser for the host school. Hastings hosts their own competition "Swingin’ on the River" in February to raise funds for our show choir program. Divaz – usually attend 2-3 competitions, Upstage Revolution – usually attend 3-4 competitions, and Riverside Company – usually attend 5-6 competitions, including a National competition or a performance while on Spring Tour with the Hastings Choir Program. To chaperone for a competition, please indicate your interest during the Parent Meeting in the Fall by noting your interest on the form provided in the check-in packet. Please Note: All performers are required to wear their Hastings Show Choir spirit wear at competition events during the non-performance times. 7 Here are a few key points about competitions: All participants perform their show during the day. Most competitions schedule groups every 30 minutes. First competitors can begin as early as 8:00 am, with Finals ending as late as 11:00 pm Breakfast, lunch and dinner are available to purchase at the competitions for all participants and spectators. The top 6 Show Choirs participate in Finals in the evening; this is usually limited to Varsity groups, however some competitions allow the highest-ranking JV group to participate in Finals. Cheering and clapping is strongly encouraged! Etiquette at a Competition Hastings Show Choirs take great pride in their shows and are proud to represent Hastings High School and the community both off and on the stage. Hastings has earned a reputation of having well-behaved students with positive attitudes at Show Choir competitions. It is not unusual to be approached by other parents or a director congratulating Hastings on having “nice kids”. This is only achieved through discussions with the students about the expectations including: Students should not act in any way that will negatively reflect on the school or the show choir. All Students are expected to watch the other shows and get to know other group participants throughout the day. They are not allowed to leave the competition. All Hastings participants and spectators are asked to never speak negatively about any group or performance. Judging The host school hires the judges for the competition; therefore the host school does not compete. However, they do perform their show(s) at some point during the course of the competition. Judging the competition is not easy work and requires many judges to watch the complete show. Judges focus on vocals, choreography, and instrumental (band). While judging can vary from competition to completion, here is an example of what the judges may be looking for: Vocal Pitch is Accurate Choral Intonation Diction / Clarity of Lyrics Rhythmic Precision (Attacks, Releases) Projection / Vibrancy of Sound Variety of Styles Sung Appropriate Musical Phrasing Visuals Integration of Dance with Vocals Difficulty of Movement Spatial Awareness (spacing) Posture / Presence Appropriate use of Dynamic Contrast Balance Between Voice Parts Blend of Individual Voices Difficulty of Music Performed Consistency of Vocal Production Throughout Show Appropriate Tone Quality / Color for Musical Style Variety of Dance Styles Used Professionalism / Stage Conduct Facial Presentation and Character Effective Opening and Closing 8 Dance Technique Execution and Energy of Established Overall Effective Pacing of Show and Transitions Show Creativity Costuming / Physical Appearance Audience Appeal Instrumental (the band is also judged) Intonation Tone Quality Balance/ Blend Rhythmic Precision Dynamics Quality and Integration of Instrumental Ensemble Balance, blend, Intonation of Musical Instruments Tempo Support of vocals Transitions Control Showmanship Trophies and awards may vary by competition but the most common trophy awards given are: Best Male Vocalist Sportsmanship Award Best Female Vocalist Best Choreography Best Band Best Vocals Best Crew 5th Runner Up thru Grand Champion Participation awards or trophies may also be given to each group in recognition for their hard work and their performance. Individual medals may be given to the Grand Champion as well. Transportation Transportation is provided to and from the competitions for all participants. Parents are encouraged to car-pool if possible and all are invited to come and cheer on their group. The volunteer Fan Coordinator will provide information on carpooling and caravanning to each competition. The cost of transportation for performers is included in the Show Choir fee however, meals are not included and students pay for their own when traveling to competitions. Parent volunteers and the directors act as chaperones and ride with students to and from the competitions. For local competitions, it is possible for a student to arrive or leave with their immediate parent with permission from the director. A student is not allowed to leave with another friend's parent unless the director receives written permission from both the student’s parent and the friend's parents. The buses will return after the competition to Hastings High School to drop off the students. Students may wear their show choir spirit wear or other comfortable clothing on the buses depending upon the director’s requirements for a given competition. Late night arrivals are common and students will sleep on the way home from the competition. Blankets and pillows are encouraged, as the seats do get uncomfortable. Overnight Competitions/Hotel Stays Certain competitions for Riverside Company may require overnight stays. Divaz and Upstage do not normally attend overnight competitions although exceptions may occur. 9 When overnight travel is necessary, the students may leave for the competition directly from school, or during a school day. All attempts are made to fulfill a full day so students do not miss classes. However, if students do have to miss class, they are expected to discuss this with their teacher and make up work according to the student handbook. In addition, time is made available on the buses for students to study, especially if the trip causes the students to miss class. The director makes all hotel arrangements for the students. Hotel room payment for students is included in the Show Choir fee. The Fan Coordinator will provide information for parents about hotel accommodations and carpooling or caravanning options. Students select their roommates in advance of an overnight trip and are assigned specific rooms once they arrive. Usually there are 4 students in each room. However, there may be times when exceptions occur. Free time is provided if possible, once the bus arrives at the hotel. In most cases breakfast is included at the hotels where students stay however other meals throughout the day are not included. While staying at a hotel: Curfew is strictly adhered to and will be determined by the director and communicated to the students and the chaperones. Students are allowed to relax and watch television in their rooms but if members of the opposite sex are in rooms together the door to the room must remain open at all times. Gathering in common areas is allowed before curfew. Chaperones will take attendance in each room at curfew, all members of the room must be presents and visible to the chaperone. Chaperones will take turns walking the halls to ensure students stay in their rooms and rest. If a student needs something, they must speak to a parent who will obtain the item or a director for them. If possible the boys and girls are in separate halls, with directors' rooms on the same floors. “Swingin’ on the River” Parent Involvement Each year the combined Hastings Show Choirs host an annual competition in February known as “Swingin’ on the River” (SOTR). This is the largest fundraiser that we do during the course of the Show Choir Season and it is vital to the life of the program. There is no way we could continue to support the Show Choir Program in Hastings without this fundraiser. Our competition is one of the largest competitions in Midwest, hosting upwards of 20 visiting choirs from the 5 state area. In addition, it has earned the reputation of being one of the best run and most FUN competitions in the Midwest. This can only be accomplished through the many volunteers that come together to host a wonderful fundraising event for Hastings Show Choirs. Hastings High School is the perfect venue to host such an event. Each year we are able to showcase our beautiful Performing Arts Center to the competing choirs and their fans and a competition of this size and caliber takes a lot of volunteers. It is for this reason all parents are asked to volunteer time at Swingin’ on the River for at least one work shift. 10 You will have several opportunities to sign-up for a volunteer opportunity that fits your schedule and your personality. Sign-ups begin at the Show Choir Parent Meeting in the fall and will continue through to the event in February. There is no better way to truly understand a competition than to work it from the inside out! The “Swingin’ on the River” Steering Committee begins meeting in the fall to prepare for this large event. The group consists of a Steering Committee Chairperson and 11 Committee Chairs and Co-Chairs. Committee Chairs are also asked to obtain “shadows" who learn the role of the committee chair so that the program continues successfully each year. These are the current committee areas and a brief description of their responsibilities: Sponsors/Ads/Program The Program Committee is responsible for all aspects of the program for Swingin’ on the River, this includes but is not limited to soliciting sponsors, communicating with parents for student ads etc. Most of the program committee’s responsibilities occur before SOTR, so this is a good committee for individuals who are not able to assist on the day before or the day of the event. Decorations Decorations Committee is responsible for planning and setting up decorations for the Stage and Commons Area the day of the event. Tickets/Publicity The Ticket/Publicity Committee is responsible for all the tickets sales and publicity for Swingin’ on the River, this includes making and distributing signage for the day of the event as well as making media contacts with local Radio, Cable Access and Newspaper. Security Security is responsible for all security on school property the day of the event including ushering in the auditorium, and controlling access in/out of the auditorium as well as supervising the A, B, and C Clusters where visiting groups have their “homerooms”. Concessions Concessions is responsible for the menu, all of the food that is donated, purchased, and/or made and distributed the day of the event to over 2000 visiting students and parents. Judges/Awards The Judges/Awards Committee is responsible for all aspects of judging procedures including but not limited to making sure the judges have everything that they need, ensuring that sheets are assembled and delivered correctly, etc. Hospitality & Clean-Up Crew The Hospitality Committee is responsible for coordinating the Hastings Show Choir Students who will be responsible for "hosting" rooms for the visiting choirs. This includes meeting with the student before the event to relay the expectations and responsibilities the students will have with regard to being a "Host Team". This also includes oversight of clean-up after the event. Stage Management The Stage Management is responsible for all activity moving in/out and around the stage the day of the event as well as keeping the event on time. Store & Photo Shop The Store Committee is responsible for all the non-food items that are sold to students/parents/others the day of the event. The Photo Shop sells candid photos taken during performances throughout the event. Volunteers The Volunteer Committee is responsible for making sure that all areas which need 11 volunteers prior to or the day of the event are adequately staffed. This includes contacting parents from each student’s family to assist in filling all of the necessary positions. The Bankers are responsible for all of the money that is received the day of the event, including counting and taking cash to the bank and providing change to the various areas that are exchanging money the day of the event. Bankers Student Involvement Students are also heavily involved in the activities for the day. Many of the students are responsible for hosting the visiting groups. They volunteer to be "room hosts" which includes decorating the doorway to the room for the group they are hosting and providing them with support throughout the day. Students that are not involved with hosting duties are required to work a shift under parent supervision. This includes food service, greeting, ticket sales etc. All students must be present all day on Saturday until clean-up is completed after finals on Saturday evening. Post Season (after the Finale Show) Banquets At the conclusion of each season, each group holds their own banquet. This is usually held in the month or so after the conclusion of the season and is planned by the officers and their parents for the individual groups. Information is typically sent out 2 - 3 weeks in advance of the date of the banquet and both the students and their parents and siblings are invited to attend. It is a great time for the kids to reminisce about the season and thank their directors and parents for all their help during the year. Epilogue There truly isn't a post-season for the show choir fan! Once one season ends, it seems the next one begins. Auditions for Upstage and Riverside for the following year will occur in May, which completes the circle of Hastings Show choir, the only activity that truly does begin and end with the school season. As a result, you will see many alumni parents returning year after year to “Swingin’ on the River” or driving many hours to cheer on the group at a competition. Although your son or daughter is the one that was on the stage during their high school years, as a parent you will reap many rewards and make lifelong friends within the Hastings Show choir community. 12
