Sending Letters in Bulk Using Integrated Word You can send letters in bulk from any screen where there is a list of patients in SystmOne. For example, the Appointment Ledger, the Caseload screen or Therapy Groups. PLEASE NOTE: The information on the letter must be exactly the same for all patients. Below are examples of sending letters in bulk from the Appointment Ledger and from Therapy Groups. From the Appointment Ledger 1. Right-click on the coloured session header at the top of your rota. 2. Hover the mouse over Actions (it has a spanner icon). 3. Click on Print Integrated Word Letters. 4. A list of the patients on that rota will appear. They will all have a tick by their name by default. If you do not want a letter to go to one of them, remove the tick. 5. Click Ok. V1 13/04/16 LPT SystmOne Change Team Page 1 of 4 6. Select the letter template you want to send to all patients. 7. Click Ok. 8. Word will open and your letter template will appear. Make any additions or amendments that will be sent to EVERY patient. 9. Click on Merge and Print. This will add each patient’s details onto a separate letter before printing it. The following box will appear as it does this: The letter will be automatically saved in the patient record. You can view it from the Journal or from Communications and letters in the normal way. Highlight the list of patients you want to send letters to by clicking on the top patient and dragging down so all patients are highlighted in blue: 3. Click Ok. 6. Select the letter template you want to send to all patients. 7. Click Ok. 8. Word will open and your letter template will appear.
