This document regulates users’ rights and duties in connection with the loan of physical and electronic
resources provided by the University Library.
By primary users we mean employees and registered students at Nord University.
By external users we mean all other users of the Library.
By users we mean primary and external users.
BORROWING
Users must be 18 years old to borrow from the Library’s collections.
Users are obliged to use physical and electronic resources made available by the Library in accordance
with the Norwegian Copyright Act.
Primary users have access to the Library’s physical and electronic collections.
External users have access to the Library’s physical collections, as well as the electronic collections
under certain conditions (walk-in use). External users may receive help to learn how to use the Library
and have simple enquiries answered.
Primary users may order items from other libraries (inter-library loans).
Users must provide the following contact information to borrow items: name, postal address, e-mail
address and telephone number.
Users are obliged to inform the Library of any changes of address and to provide their correct e-mail
address and telephone number to the Library so they can be contacted if necessary.
Students: Students must register all changes in StudentWeb; updates are automatically transferred to
the Library.
PHYSICAL RESOURCES – LIBRARY CARD
Users need a library card to borrow physical items (books, periodicals etc.) and must present it when
borrowing items at the loans desk. Users must bring their library cards to use the self-service
terminals. The Library accepts other forms of valid identification if users forget their library card. By
valid identification we mean Norwegian driver’s licenses, Norwegian debit cards that also serve as an
identity card (have your picture etc. printed on them), or passports (Norwegian/international).
The loss of a library card must be reported to the Library (to avoid misuse).

Primary users
Students use their student card as their library card.
Employees use their employee/key card as their library card.
External users
External users may obtain a library card upon presentation of valid identification at the loans desk.
External users with a national library card must present this at the loans desk to have it registered as
their library card. They are required to present valid identification in this connection.
ELECTRONIC RESOURCES
Primary users
The University Library provides primary users access to electronic resources through subscriptions. The
Library’s electronic resources are for personal use only and primary users are responsible for
complying with this.
External users
Electronic resources are available to external users via walk-in use. External users may access content
via the Library’s search terminals.
Loan periods
Users are personally responsible for borrowed items. Users must ensure that borrowed items are
returned or that loans are extended (renewal of loans) before the return date. Borrowed items must be
returned at the correctly marked location in- or outside the Library (this also applies outside library
opening hours). Users may have a maximum of 35 items on loan/requests at a time, including max. 10
items from other libraries.
The following loan periods apply:

Books: 4 weeks
Periodicals, films and music: 2 weeks
Other items: 7 days
Reserved items (ie. items with a waiting list): 2 weeks.
Overnight loans must be returned before 8 am the next day.
Items from other libraries (inter-library loans) are subject to the conditions imposed by the
lending library and the rules for inter-library loans within Norway. This means that in general
inter-library loans cannot be renewed.

Employees:
Special regulations apply for employees in the final phase of prolonged scientific work / nearing the
time of publication who have an extensive need to check references etc. in connection with
publication. They may have loans extended and the maximum amount of items on loan / requests at a
time increased by agreement. The head of user services may be contacted to make an agreement.
Renewing loans
Users may extend the loan period on items (renewal of loans). Users may renew a loan as long as
another user has not reserved it. The maximal total loan period (including renewal of loans) is 90 days.
The following types of material may not be renewed:
-
inter-library loans
overnight loans
requested items
Reserving/ordering items
Users must use the library’s search engine (Oria) to reserve and order items. Users can only reserve
items on loan. Overnight loans cannot be reserved. The following can be ordered:
-
items from other libraries (ie. items not included in the Library’s collections). Special rules
apply: only primary users can order items from other libraries.
items belonging to physical collections located in the library’s “magasin” - archive in English
(users do not have access to the “magasin”). All users can order items from the “magasin”.
Students belonging to flexible studies (e.g. internet- or session–based studies) who do not live close
to one of Nord University’s study locations may reserve items in order to have them sent to their
home address. Items are sent free of charge. Students must cover the expenses associated with
returning items.
BORROWING PRIVILEGES, RECALLING OVERDUE ITEMS AND REPLACING ITEMS
The Library sends three reminders and a notice of compensation to remind users to return overdue
items.

The first recall is sent on the return date.
The second recall is sent 7 days after the return date.
The third recall is sent 14 days after the return date.
The notice of compensation is sent 21 days after the return date.
All reminders/recalls/notices are sent electronically (SMS and/or e-mail address).

Users’ borrowing privileges are suspended when the second recall is sent (7 days after the return
date). Borrowing rights are reinstated when the user renews the loan or hands in the recalled item.
Special rules apply for overnight loans. If users do not hand in an overnight loan on time, their
borrowing rights are suspended until the item is returned.
Regarding summer holidays:
From July 1 to August 15, the Library temporarily stops recalling overdue items. From August 16,
ordinary procedures apply.
In the case of unreturned, lost or damaged material, the user is liable to pay expenses associated with
repairing or replacing the item. The grounds for compensation are formulated 35 days after the item’s
return date; the claim for compensation is sent out in accordance with the University’s financial and
accounting policies. The claim for compensation amounts to a minimum of NOK 750 per item. In
addition, there is an administration fee of NOK 250 per invoice. Administration fees must be paid
regardless of return of the item. The Library accepts replacement copies in “as new” or “excellent”
condition as long as they are handed in before the invoice’s return date. Users must document the
return date by presenting the invoice at the loans desk when handing in the replacement copy.
Invoices that remain unpaid are referred to a debt-collection agency.
Infringement of these borrowing regulations leads to the suspension of borrowing privileges as well
as the right to use other library services.
