Assembly meeting 10/22/13
A. Call Meeting to order
B. Attendance
a. What did you do over fall break?
C. Motion: Justin
a. Ryan
D. Funding request:
a. Rowland Fall fest: date: Oct. 27th
i. Fall-fest, building wide, attendance 25-90 residents
ii. Advertising through posters, emails, door to door
iii. Purpose: help build community, get to know the buildings, gain
more respect for people,
iv. Carve pumpkins, “home-like” feel
v. Requesting $150 (153.20)
b. Question and answers:
i. Budget break down – food, pumpkins, crafts/supplies
ii. Getting support from other RAs in the building
iii. Advertising for other halls? More for Rowland program
iv. Providing any money from RAs? Went here first and then will
dip into their funds
v. Event going to be: probably inside, lounge/lobby, wants it to be
outside if weather is nice
E. Motion: Samantha
a. Neal
F. Res life: Bonnie and Ron
a. Suite conversions, lounge conversions, and home/academic programs
b. Suites:
i. Slowly faze out suites.
ii. Many sophomores are looking to live in terraces, add
traditional housing for them, year to year struggle to fill some
suites, ongoing with behavioral issues (large gathering
locations) want to move forward with eliminating the suites.
iii. Converted two buildings over last summer
iv. Has money to do the rest of them for this up coming summer
c. Questions:
i. How many suites converted this past summer: two buildings, 9
suites this summer
ii. Terrace 4,5,6,7,8,10
iii. RA think it is a good idea because of the suite disturbances
iv. Suites make it difficult to integrate them into the floor and
community
v. Is it more cost effective? Less to live in a double, more to live in
a single
vi. Layout of suite, common-area to the right is a double, left is
single
vii. Renovations: Double, double, common room becomes a single
viii. How will upcoming sophomores feel?
ix. RAs should live in the converted single rooms. Can’t happen
because of placement of room
x. How do they advertise suites? On website, days in selection
process to apply for suite
xi. Not very costly to remove the suites ($3,000 per suite)
xii. If not a lot of negative feedback, they would be eliminated this
summer
xiii. Not really looking for freshman feedback, looking for RHA
feedback,
xiv. Think about going to first year councils? ( this is why we have
FYC, so they can bring it back)
d. Email that went to students that lived in temporary lounges:
i. Explaining the change on how to work with lounge
assignments this year
ii. How can we better balance this issue? Honor commitment to
return to lounges
iii. Making guarantees, after thanksgiving break submitting
preference on who they want to be resigned with and what
building they want to be on
iv. Not able to do the roommate pair, or move to building they
want to live in, they will not be forced out of the lounge,
v. We will open some lounges during spring semester
vi. Talking mostly about East and West tower,
vii. No single student can stay in a lounge
viii. Confident to return some common space to floors keep in mind
those that are living in the lounges
e. Questions
i. Don’t fill out the form, will they be moved out immediately?
1. Everyone needs a preference form
ii. If they don’t want to removed together?
1. Move vacancy within the building
iii. If one person left in the lounge? Not worried about moving
them to FYRE, because it is easier than a group
iv. Estimate as to how many students need to be relocated?
1. Under 100
v. After winter break, have net of 300 spaces on campus
vi. Intention is the single person would not be located into
another lounge, remove them to a different building not
another lounge
vii. Honor commitment to larger community
viii. If not moved into FYRE then they would participate in the peer
mentor program
ix. No perks after spring semester if they still live in lounges
f. How we move forward with learning communities and H.O.M.E
program. FYRE is in all fall buildings, what do we do with students
who are involved in H.O.M.E, or want to in other programs
i. HOME program should be allowed to be relocated into First
Year area, older residents could live in their
ii. Other recommendation: Quite study and substance, would be
offered in two different places Location is up to res-life
iii. Boothroyd hall is the only accessible building that is part of the
FYRE, is also a gender break-down, able to adjust as it goes
iv. Reluctant to have HOME program in boothroyd
v. What other locations that would work well:
1. Able to maintain co-ed by door, limits offers (quads only
have one-common bathroom)
2. Eastman is the new recommendation for the HOME
floor program, hybrid with honors
3. Reconfigure the quads, Lyon hall and Eastman hall will
be in one cluster (one RD)
4. Allows RD with lowest work load to have more time for
specialty housing
5. Only two different programs will also be in cluster
vi. Terrace 5 will have the substance and quite study, want to
keep the programs really small
vii. First year area – possible put together in hood hall? Survey
decided it wouldn’t make sense
viii. Ground floor in Landon and Rowland hall, accommodate
gender and keeping the population small
ix. Break housing – recommend Eastman hall will be third
location (T3, boothroyd, and now Eastman)
x. Need to request additional funding for Eastman because it
would need more staff
xi. How will ICC be incorporated with the programs? We can’t lay
the HOME program requirements and FYRE requirements on
top of each other, don’t want to double the work
xii. Estimated time frame when it will be proposed? Location
needs to be resolved by this semester so we can move forward
in spring
xiii. HOME – residential learning community (park scholars and
MLK scholars live there) More first year than returning
students (average is 11 for upperclassman)
xiv. Full expansion – all quads are FYRE for next year
xv. Quite hours is only one floor- how do you keep the disruption?
There aren’t enough students, quite study would be on the top
floor
xvi. Students with disabilities who need mobility, they are
interested in living in Emerson hall, and a couple garden
apartments
