End User Experience - Users V4.11 Introduction to Policy Management • Why has your company implemented this solution? • Get employees to do the right thing, in the right way, every time. • Ensure everyone understands what is expected of them and how they are required to carry out their jobs. • By effectively communicating policies and ensuring people understand them you develop a firm foundation for effective risk mitigation and governance. 2 Why it is important for you, the end user • Your protection • Increase your awareness of policies • Highlights your responsibilities • Allows you to have your say 3 How does this affect you, the end user Works on: • Windows 2000 • Windows XP • Windows Vista • Windows 7 • Windows 8 & 8.1 • Tablets 4 Log in as normal • No Change to the Windows Login 5 The kiosk displays to you As part of the Login process, NETconsent can be set to check whether you have any outstanding actions. 6 Processing Mandatory Documents Mandatory documents MUST be processed prior to login 7 Login Button Disabled The login button is disabled 8 Snooze Button This user has the Snooze button enabled, enabling a “quick bypass” which can be set to be available always or only when there are no Mandatory documents for the user to process 9 Processing Non-Mandatory Documents Non-Mandatory documents have a time-limit for the you to process before becoming Mandatory. 10 Processing Mandatory Documents You must select to “Read” this Mandatory document before you will be able to login to their desktop 11 Displaying Document Content The next screen Displays the Policy document content 12 Displaying Associated Documents Associated Documents (i.e. Procedures, Standards Guidelines, Forms etc.) that are related to this document are linked 13 Displaying Associated Documents Links are displayed to Associated Procedures, Forms and eLearning modules 14 Displaying Associated Documents The Associated documents (e.g. Procedures and Guidelines) can be found “when things go wrong” 15 Associated Videos Or the “Advisory” eLearning module can be launched – which could of have been set to be Enforced 16 Accept & Query Options You can then scroll down to the End of the document to find the Accept/Query buttons 17 Querying Documents If you decide to Query a document, you have to give a free-text reason. This reason is emailed to the Document Owner 18 Accepting Documents If you Accept a Policy/Procedure (or completes an eLearning Module), you select the “Accept” button 19 Electronic Signature Your response is confirmed by requesting that you input your network password to confirm it was you that selected the action 20 Testing Your Understanding and Awareness If applicable, The Associated Test is now displayed for you to take within a set period of time. You can chose to Login – or in this demonstration take the test 21 Examiner Functionality You will be asked to answer a series of questions, they will be either true/false, yes/no or multiple choice questions Then clicks ‘next’ to move to the next question 22 Exam Results You will be presented with your test results. If you click the Print Certificate button the questions you answered with all correct answers will be displayed to you 23 View Historical Documents The “My History” tab displays all documents that the you have processed in the past 24 Active Documents The “Active Documents” tab displays currently Active documents that are either applicable to you or visible to you 25 Advanced Search Advanced Search ensures you can find the exact document that they are looking for using a full text search 26 Dashboard - Enabling Visibility Dashboard starts to distribute visibility of Compliance throughout the organisation 27 Login to Desktop When all actions have been carried out as required, you can then log in to your desktop 28 Launch NETconsent from the System Tray You can launch the kiosk from the system tray, either click the NETconsent Icon or Right Click & select ‘Open NETconsent’. This allows you to access NETconsent and process documents when it is convenient to you 29
