Views: When you open Harmony you are looking at views. They have been designed, changed and updated along with customer recommendations. Harmony 3 is an web view of the data in Harmony 2. It has its own views and presentation of the data, plus the ability to create charts and graphs on many elements. Refresh: What we tell you to do all the time. F9 Key It reloads the view. If you make an change and do not see it on the screen then the best practice is to do the F9. Go to: takes you to all the views that are available to you. All (for Design): Where all documents that have been created for the database reside. It can be very helpful. It can also remove all your documents in a very small amount of time. This is what the data would be like withour views. Be extra careful when you use this view. Changing and manipulative this view will immediately change your data. Some of the views: Why views are very important. 1. When you are exporting data, you need to be in the correct view when selecting documents. 2. To find the data you want you will need to look in the correct view. 3. Columns in some views can be sorted. (We get many calls during the year when someone has sorted their view and tell us it does not look/ work correctly anymore.) 4. You can find information faster by selecting the correct view. How do you know which view has what information? Highlight a document - right click – document properties OR Created – the orginal creation date Modified – date and time of last modification Modified by – the log in that changed the record Fields: Will show you the fields and the values in those fields The left panel is alphabetic list for fields and you have a scroll bar. The panel of the right gives the information about that field. I have scrolled to the “Form” field. This form is phone call. If you want the fields from a phone call for an export, you need to have that group of forms selected. You can do that in All (for Design) or (view) Phone calls by teacher. You cannot write to the properties panel. You must change the field in the document. Actions –( other ) – Change field value for text - And change number value for numbers Text is always in quotes. Numbers do not have quotes. To change text values in a field for one or many students: 1. Go to the view where the correct information is located. 2. Select the documents you want to change the values on. BE EXTRA CAREFUL YOU ONLY HAVE THE ONES YOU WANT TO CHANGE. 3. Actions – (other) – change field value (if text). Run 4. Type in the field name you want to change. OK 5. Type in the value you want in the field. OK All the documents you selected will have the value in the field you designated. To change the number value in a field for one or more students: 1. Go to the view where the correct information is located. 2. Select the documents you want to change the values on. BE EXTRA CAREFUL YOU ONLY HAVE THE ONES YOU WANT TO CHANGE. 3. Actions – (other) – change number value (if number). Run 4. Type in the field name you want to change. OK 5. Type in the value you want in the field. OK All the documents you selected will have the number value in the field you designated. Check café – will check if student is in the food service program – A. if present, it will update but not duplicate B. if not there, then it will add the student Check district – will check the Harmony Central Office database to see if student is present: A. if present, it will update but not duplicate B. if not present, it will add the student Check media – will check the Harmony media center database to see if student is present: A. if present, it will update but not duplicate B. if not present, it will add the student Lunchnum Make Handouts – will create students schedule from existing student class documents, create a textbook rental document from those same documents. SIF Agent Utilities: Come back to that one in a second Add School year: It will add a school year of your choosing to a student. You must have the student document selected. Other: Additional actions we will cover later Categorize: It will let you add categories to a document if categories have been specified for the document. Edit document: Will open in edit mode any document you have selected Send document: If there is a send to field in the document it will email that document to that address Forward: Will bring up Notes mail and let you address it to send the selected document Move to folder: Will move the document to a folder if you have them set up in Notes. It does not move to your My documents folder. Remove from folder: Will remove from the folder if you have any set up Add New: Dashboard view: Gives you the dashboard view in html. It became Harmony 3 view View Options: Preview in Web Browser: Make Response: It will reconnect a document to the parent document You have to find the document id. In this case the parent document is the school year. Highlight the school year – right click – properties – go to the + sign – click in Identifier box – hit end – copy the number after the /. Actions – other - make response – paste number in pop up box – OK. Make SY Response: It will reconnect a document to the school year. HARMONY 3: Things you should not do in Harmony 2 when you have Harmony 3 grade books. 1. Finalize a grade book. If working in 2 to fix a grade book you need to go to 3 and finalize it. 2.
