Steps to Opening a KeyBank Account Key Bank and Girl Scouts of Western Washington have joined together in partnership to offer GSWW troops & service units the option to open and maintain a traditional bank account. A traditional back account at Key provides services for the volunteer account manager; those include but are not limited to paying by check or debit card, online account access, ability to print statements and check copies online, no monthly service charge, depositing at a teller window. STEP 1 – REQUIREMENTS FOR OPENING & MAINTAINING A GSWW TROOP/SERVICE UNIT BANK ACCOUNT Each account must have minimum of two signers with a maximum of three signers (unrelated and not living in the same household); The signers MUST be registered adult members of that troop or Service Unit and approved volunteers (bank accounts should not have a Council staff representative as a signer on the account); All account signers must complete and sign a Volunteer Financial Agreement; A troop bank account in good standing is required for participation in product sale programs & troop fundraising activities. STEP 2 – TO START YOUR KEY BANK ACCOUNT APPLICATION Make sure you have submitted all of your troop registrations, including those for all adult signers. Signers on Service Unit accounts should register in a “Volunteer Team” position; Complete a Key Bank Account Signer Identification Form (a separate form for each signer), Date of Birth must be provided as proof signer is 18 years of age or older; Complete a Volunteer Financial Agreement form (a separate form for each signer); Mail, fax, or email all forms to GSWW Banking Coordinator at the contact information listed below. The Banking Coordinator will process completed paperwork and forward on to Key Bank for processing. STEP 3 – TO OPEN AND ACTIVATE YOUR ACCOUNT Key Bank staff will email one signer (primary) a preprinted Signature Card with instructions for completion (only one form with all original signatures will be accepted, SSN # & Date of Birth must be provided if requesting Debit cards; Forward completed Signature Card via U.S. Mail to the GSWW Banking Coordinator at the address listed below (faxes and emails cannot be accepted); The account cannot be opened until after a completed signature card has been received by the Banking Coordinator. Once your Key Bank account is open, GSWW’s Banking Coordinator will email the signers account confirmation with the account number. Once notified your Key Bank account is open you may order checks (via third party vendor), make deposits and/or order deposit slips. Debit card(s) (when requested and DOB & SSN were provided on the Signature Card) will arrive via U.S. mail approximately ten business days after receiving email notification the new Key Bank account is open. STEP 4 – MAKING CHANGES TO A KEY BANK ACCOUNT All Key Bank accounts changes (signer changes, address requests, debit cards, etc.) MUST be requested and processed through GSWW Banking Coordinator. Refer to GSWW’s website (http://www.girlscoutsww.org/en/forvolunteers/resources/money-earning---troop-banking.html) for instructions and forms for requesting account changes, or contact GSWW’s Banking Coordinator for assistance on how to update or make changes to your Key Account. Programs and activities should be financed through dues, GSWW-sponsored product sales, and approved moneyearning activities. Money earned collectively (such as the product sale programs) is not the property of individual girls. If a girl leaves the troop or does not attend a special event, the money earned toward the event remains with the troop. All expenses, reimbursements and debit card transactions should always have supporting receipts and documentation. Bank account signers will be held accountable for all financial activity. Girl Scouts staff and/or Service Unit Managers can call for an account audit at any time. On-going communication between bank account signers will ensure account activity reconciles with the bank statement monthly. Statement copies dating back 12 months and check copies dating back 90 days are available online. Debit cards are available to two signers on the account. Each signer’s Date of Birth is required and must be provided when completing the Signer Identification Form. Zero balance accounts will be automatically closed in 60 days. Printed Key Bank account monthly statement copies are available free of charge with online access. One copy of the monthly statement is also available free of charge via U.S. mail, automatically sent to the primary contact on the account. A $6.00 charge to the troop/Service Unit bank account will be made for mailing duplicate or replacement statement copies. Requests for more than 12 cancelled check copies per calendar year will cost $3.00 per copy. GSWW’s Banking Coordinator should always be your first point of contact if you experience any difficulties or problems with your bank account. Volunteer Acknowledgment: (to be completed by each signer on the account) By signing this agreement I acknowledge: I have read and understand the basic responsibilities required as a volunteer signer on the Key Bank account. I understand that sound financial support is crucial to ensuring girls have opportunities to participate in Girl Scout activities that build girls of courage, confidence, and character. I understand good accounting practices and record keeping are consistent with the Girl Scout Mission Statement and The Promise and Law. I will use the Girl Scout Promise and Law to guide my choices and actions as an example to others. If I am unable or unwilling to comply with the above or if I choose not to support the mission, values or goals of this organization, I agree to communicate this to a Girl Scout staff member and be removed as a bank account signer. I understand that I must be a volunteer in good standing to be a signer on a GSWW troop or Service Unit bank account.
