Minimum expectations Step Show Planning Committee Members: 2.5 minimum GPA Attend all step show liaison meetings Attend regular meetings with committee advisors (i.e. Cara Jenkins)/Chair, etc. Work with advisors/Chair to negotiate contracts, reserve space, publicize and all other responsibilities connected to successful event management Work with Budget Manager to manage allocated funds appropriately, prepare financial paperwork Attend all workshops required for successful event planning Committee members are not able to perform By completing and signing this form, you are giving permission to have a member of the Division of Student Affairs staff to check your GPA. A 2.5 GPA is required for students to hold an office on the committee. This application must be completed and received by the deadline, or you will not be eligible for the position. Signature Date Step Show Planning Committee Positions Overall Chair: This position is held by the Vice President of Programming for BLGC and is not an open position. 1. Overall management of Planning Committee 2. Runs liaison meetings in conjunction with Performance Coordinator 3. Creates calendar to be used to track deadlines 4. Liaison between the Step Show activity and BLGC Executive Board 5. Meets individually with committee members 6. Works with WCU Alumni Association and Black Alumni Caucus 7. Meets weekly with Director of Fraternity and Sorority Life Business Manager: Position open to all WCU students 1. Coordinates all expenditures with the BLGC Vice President of Finance 2. Submit budgets, handle financial transactions, purchase orders, contracts and reconcile accounts. 3. It is preferable that applicants have had experience with SSI 4. Keeping record of all committee meetings, members, participating organizations and events. 5. Handles all correspondence between committee members and organizations. 6. Maintains a binder of up to date financial information, including copies of every transaction and a debit of accounts. 7. Solicits potential Vendors for the show 8. Completes SSI Vouchers – deposits and prize money 9. Coordinates ticket sales Marketing Director: Position open to all WCU students 1. Handling all publicity of event including but not limited to print media, radio/TV stations, news releases, and website maintenance. a. Posters, Press Release, FB Event via BLGC page, PPT Slide for TVs, QUAD, WCU Weekly 2. Creates marketing strategy and timeline 3. Week of the event promotion (Promo Video – team effort) 4. Decorating Fraternity/Sorority Info Board, promotional items, 5. Invitations to Fraternity and Sorority community, faculty/staff, etc. 6. Sends marketing to surrounding schools 7. Manages photographer and videographer during the event Event Logistics Coordinator: Position open to all WCU students 1. Secures facility 2. Manages all stage, sound, & lights 3. Confirms DJ and communicates expectations in advance 4. Confirms Host(s) and communicates expectations in advance 5. Secures volunteers for staffing 6. Works with venue staff 7. Meets with Public Safety staff 8. Orders trophies Performance Coordinator: Position open to members of the BLGC Only Responsible for: 1. Coordinating performers – secures teams, practice times, etc. 2. Confirms judges 3. Co-leads regular step team liaison meetings with Overall Chair 4. Responsible for all participants during the show 5. Intakes team registration forms and coordinates step team rosters *** All committee members are NOT allowed to perform in the Step Show Competition. Additionally, all elected committee members are EXPECTED to establish a consistent presence at Step Show affiliated events***
