29/11/2016 CCF Meeting - Rough Minutes Reflection on last event: - What went well, what didn’t? - Really enjoyable. Event took place in George Square, which turned out to be a great location as it helped to make people aware of the CCF funded projects showcasing at the event. - The fact that there were two sessions was beneficial. Opened up the debate to politicians and influencers, as well as hosting a showcase for some of the practical work that we do for members of the public, etc. - Timing: should factor in a timeframe that works for everyone, so that there’s no crossover with applying for funding/other busy periods during the project - CCF project was coming to an end… logistically was split between Edinburgh and Glasgow - Opened it up to ALL CCF projects, but was originally an ethnic minority project - How will the event help the project - how does the event tie in with the project’s aims? Format of the event: - Same as last year’s event: City chambers in the morning, George Square in the afternoon. - City chambers: tea, coffee, reception. George Square: programme of activities - Glasgow City Council would be the best place to go to in terms of running the event. They have their own green targets to meet, so the event would fit in with their policies and they’d more than likely offer great support. - George Square was a great location - very neutral. Good base for the event. Accessible. - Week-long activities that fit into Go Green week… - Split the events between Edinburgh and Glasgow… Opening ceremony at one end, closing ceremony at the other. - By using George Square, we can take what we’ve learned from mistakes made last year and apply that experience to refining the event. - Extending the event to everyone - holding the event at George Square normalises climate - projects and makes them more mainstream. Holding the event at our own venues, means that our reach is limited to our own service users, but by holding it in George Square, it opens the event up to everyone. Can we use our collected knowledge and experience to create a shareable/straightforward message for attendees/politicians etc to refer to. A soundbite. Raise awareness. Large visual - shareable. Carbon collected during the year/duration of the project. Utilise data both current and historical. Last year’s event lacked media coverage… this is something we can improve upon for the 2017 event. Invite people like the Minister from the Environment… etc. - Councillors from surrounding regions could be invited along to make the event relevant to outlying districts. - Pledge for the event: can we get figures of note to sign a pledge on climate change, etc etc. Promotion: - Begin promotion for the agreed date as early as possible 29/11/2016 - marketing plan needs to be drawn up. Establish committee on this? - Map of all community projects… Impact map. Spread out the area covered by CCF funded projects. Show the public that we’re all working together - showing the size of the footprint created by CCF funded projects. Strategic approach to show Scottish government and media how big an impact these projects can have both environmentally and socially. - Develop leaflet that we can distribute both online and offline. - Develop hashtag to use during the festival. Kaye Adams: Radio promotion. Climate agenda week - Go Green week? Community radio stations - both inside and outside of Glasgow Media coverage = major sign of success for projects. Logistics: - Marquee: probably need a bigger marquee than last year - Stalls offering food: licensing, etc to sell food/drink. Best setup scenario - stall holders would have independent licenses to sell food out and about, rather than the groups jointly applying for licensing. Food trucks and option? (Chomskys, etc) - Police Scotland, Fire Service, Ambulance service. Make it a large scale, large reaching events. Organisations that are closely linked to climate change etc. Zero Waste Scotland, etc. - Cost of stalls - who absorbs that cost? Do we charge stallholders in order to cover some of the cost? Awards: - Award for community volunteers - Independent panel Issues encountered previously: - Marquee wasn’t big enough. Need a bigger marquee next year - double the size. - Sound system wasn’t very good last year - need to investigate a better PA - Spillout - 3x3metre marquees brought along by projects to deal with overspill outside. Other community projects and their involvement: - can they get involved or is it solely CCF projects taking part? - Open it up to climate groups: locovores, Zero Waste Scotland etc. Worth noting: - Environmental activists to be excluded from the agenda… (?) Actions/to discuss: - Who is leading the event? - Media strategy/Promo 29/11/2016 - Plan A: George Square/City Chambers, Plan B: SECC, Hydro, Hub, Weee Scotland, Kelvingrove Park, Old Fish Market on Clydeside - Green Champions(?) * Zarina: to forward budget from last year. - Next meeting: Monday 12th December
