SRU Registration Guidelines for Adding Players Registrar – Laurie Hurst Email - [email protected] Managers are responsible to collect all registration from players: Once registration steps are completed in their entirety send information listed all at once to registrar: (Do not send in pieces, registrar will not accept incomplete packets for registration) All registrations will be processed on Mondays: All registration paperwork and payment must be turned in by Sunday. If you want a pass for the next weekend all requirements must be met and turned in no later than Sunday 6 days before the player will play Once you have a completed packet send email to [email protected] with this information Manager Registration Check List List Players full Name and Team they are registering for Confirmation of online registration Copy of birth certificate or passport (email as one document PDF / keep a copy for team folder) Copy of US Club registration form (email as one document PDF / keep original for team folder) Payment: online with credit card or check For players applying for financial aid a copy of the parents 2015 tax return o Make sure players have filled out the online financial aid application if applying for financial aid No registration will be processed without all the required steps listed above Please do not have players email the information directly to the club registrar it is important that the team manager collects all requirements and processes the registration with the club registrar so the manager knows all registration requirements have been completed. Registration Guideline 1. Have Players register online at the SRU Website (If a player does not have the ability to register online the manager needs to help them completer their online registration: SRU policy requires that all players must complete the online registration before the registrar can process their US Club registration) Registration payment o Players can pay by: Credit card when they register online Check – manager must collect check and turn in with registration packet. NOTE: No Player will be registered with US Club without the registration payment. Please do not ask the registrar to make an exception if the check has not been turned in. A check in the mail will not be acceptable. If it is an emergency player needs to pay online. 2. Once a player has registered online have them send these documents to the Team Manager Copy of proof of birth (legal birth certificate, passport) Copy of US Club registration form signed and dated Both of these documents need to be sent in PDF format to the registrar: If the players send you the document in a picture please transfer to PDF before sending to the Club registrar. (documents sent in Jpeg can delay the registration process as US Club only take PDF format) (Without the electronic version of both required documents a player cannot be registered with US Club) 3. If a player is applying for Financial Aid they will need to Fill out Application when registering online ( They will need to choose the financial aid option, this will bring up the financial aid application when registering online) Turn into manager a Copy of 2015 tax returns (manger can email with other forms to registrar Registration payment o Players can pay by: Credit card when they register online Check – manager must collect check and turn in with registration packet. o FA registration payment amount $150 for U11 – U13 $250 for U14 – u15 Do not send incomplete packets to registrar for FA players Players will not be added without a copy of the tax return 4. ECNL ONLY Need to send players picture to registrar Email an electronic version of the picture to the SRU registrar in jpeg. Picture of player must be head shot. ( no hat or sunglasses) ECNL passes require a picture before the pass can be requested 5. Player passes Approved: ECNL passes will be emailed to the Team Manager once they are approved. US Club passes: Managers can print the passes from their US Club KYCK team account once they are approved: Managers can check for approved players on their US Club KYCK team roster (please do not email club registrar unless the player has not been approved by Thursday) Mangers need to go to the US Club KYCK Team account and add pictures for each player before printing passes. (pictures need to be a head shot in jpeg format) Print passes on card stock then laminate the pass. Make sure pass has a picture. Laminating supplies can be purchased at Office Depot, Staples, Walmart, etc. Or, you can leave the items to be laminated at the services center of Office Depot or Staples. If a digital photo was not added, add a small photo to the front of the pass where indicated. US Club registration process to approve passes is 2 – 3 days. Please be attentive to the deadline for turning in all registration requirements, if you miss the Sunday deadline the player pass may not be processed till the next Monday. If a player has not been released from their previous club they will not be registered by US Club; Make sure that players request a release from their previous club by sending an email to the previous club’s registrar: Only the parent can generally request a release It is important that coaches and manager plan according to the guidelines listed for requesting a pass. Please do not expect an emergency by the club to process a pass due to ANY omission of the requirements listed
