Garfolo Due Date: 26th of September, 2012 I. The Purpose: Our purpose is to please our customers with our healthy, fresh, organic, just like it was made at home sandwiches, at a competitive price. We care about our customers’ busy lives, and we want to spare them the lost time when preparing their own sandwiches. Trust is an important element to our success, and this is why we care about the products we provide, and will live up to our customers’ expectations. Satisfying and meeting our customers’ needs, will help grow our market share and that is our main purpose. II. III. The Objectives: To gain trust and loyalty of our customers. To provide fast and excellent services. To conduct our business with a high standard of hygiene in our shop. To grow our market share and expand our shops through the Kingdom. Continuously looking for development and innovation. The Volume of Business: We sell on average 250 sandwiches per day. We also gain new 5 to 6 customers per month. We noticed that recently, the volume of business is increasing, for that we need the following software applications to manage our business properly and help us grow even more. IV. The Potential Software Application: Our business stands in a very crowded market; we need to spend more effort on attracting as much customers as we can and keep them loyal to our restaurant by keeping them satisfied with our services. We also need to increase the efficiency and productivity of our workers to be able to increase our profit. Thus, we need software that helps us to reach those objectives. We need three main services out of the software, which are sales tracking system, food inventory system, and customer tracking system. Those three applications will be beneficial in managing the income and the outcome, as well as supporting the decision making process of the developments and improvements for the restaurant. In addition, for a better customer service, we are planning to provide our loyal customers with rewards and discounts in return for their loyalty. That is why we need a system that tracks our customers' preferences so we can provide them with discounts on their favorite meals, gift them with free meals or membership cards to collect points and receive promotions. To reach the stated objectives, we need flexible systems that are adjustable to updates and extensions, because we are likely to expand our business and open several branches around the Kingdom. Thus, the system needs to be expanded in order to suit our needs and requirements in the future. 1 Our business needs advance software, which will have a significant effect to increase the productivity of the business. The main softwares that we will use to help us achieve our objectives that previously mentioned are the Point of Sale system and the Customer Tracking system. The Point of Sale (POS) software is huge and very advanced software that can accomplish different tasks. POS can simply define as a software and hardware linked together to track all the sales and transactions that made through the computer. From speeding up the customers queue through the checkout line, to avoiding overtime spent in calculating daily sales, POS software is the solution and the powerful tool to improve productivity. All the functions by the POS will guide and support the decision makers to obtain the perfect decision for the business. The other software we will be using in the shop is the customer tracking system. The main purpose for this software is to gather information about the customers of the restaurant and after the information being organized we can easily provide a high quality customer service. This application will help improve the restaurant’s capability to analyze and understand the differences in customers’ behavior, preferences, habits and needs, therefore create opportunities to provide a better service. V. The Application’s Managerial Information Output: The first application we are proposing is Point of Sale (POS) system, where it will enable the management to monitor and control every operational function of the shop, including the front-office, back-office and kitchen administration. This software will provide the shop with the touch-screen menus, remote ordering and printing, automated billing, staff supervision and much more. That includes managing the wait staff by identifying the best employees for each job, and that could be done by reporting on average revenue per table, cash register, or any other key metrics. Moreover, this system can alert marketing to promote specific products on certain days, depending on a multiple factors, such as seasonality, trends, etc. Also, a POS system can instantly generate detailed sales reports, provide inventory tracking records and much more all resulted in providing fast customer service and great order management. The POS can be programmed to suit the shop needs, it can create and print the guest checks, send orders to kitchen for preparation and process all kinds of payment cards. In short, time-consuming tasks such as creating and storing checks, tracking tables’ servers, forwarding orders to the kitchen, scheduling, tracking inventory, detailed sales reports are not a big concern anymore with the POS since all these daily operations will be done quickly and electronically. Since customers are the lifeblood of this business, customer relationship is number one priority. The other application to propose is a customer-tracking system, as this application will identify and understand the methods and procedures conducted to improve customer’s satisfaction and maximize profit. In other words, it is all about understanding, anticipating and responding to customers’ needs. Besides, this application will shift the focus from product to customers, and streamlining the offer to what the customer needs/wants rather that the shop can make. 2 The main output of this application is the collection of the right information about the customers and the organization of collected information for proper use, analysis and action. Once this important information is well organized, customer analyses can be performed better and errors can be minimized. Most importantly, sales trends can be easily determined because this application will provide data that can be further analyzed to allow the shop to be more competitive in reaching the right markets. Furthermore, customers’ accounts and contacts are manageable using this software as it provides a quick search and query options. When maintaining a database of which customers buy, when, and how often they make that purchase, their preferences etc., this sandwich shop will be able to know what new products to promote to each customer, what preferences may swing the sale and when would it be the perfect time to target each customer. The ultimate purpose of such application is to increase profit, and capture a larger market share. A good customer tracking system not only improves the service provided to customers, it will also reduce costs, wastage, and complaints. We believe that these suggested applications would increase efficiency and productivity. That because all the important information is in once complete and integrated system, which will provide reports of all the needed information to make the right decisions. VI. The Application’s Advantages: To operate a sustainable business, we need a good system, which allow our employees to spend more time on the floor helping our customers and less time behind the counter. Having such these automated applications will have a significant effect to provide adequate performance and insure database integrity, security, and recoverability. There are several benefits to automating our store with a Point of Sale System instead of doing it manually, such as: Providing a better amount of data such as item sales details, customer purchase history, inventory status reports, and that will lead to o Reduce inventory expenses o Improve relationships with supplier with timely inventory information o Forecast routine demand statistically Help to measure the shop performance Simplify communications between the kitchen and the wait staff Reduce paperwork Help in preparing payroll Process information more quickly Having a high accuracy and speed in the preparation of o Documents and reports o Managing the accounts o Performing calculations o Implementing accounting procedures such as: registration processes, analysis, generating accounts statement Saving time and effort Reduce the size of the computational errors 3 Additionally, having a customer-tracking system is a great way to organize our customer information; so we can provide high quality customer services which will result in making our shop runs smoothly and more efficiently. Here some advantages of using customer-tracking system: It enables management to see the larger picture of customer interactions Accounts and contacts management become easier with this software because it provides a quick query and search options Easily scheduling individuals and groups orders with monthly, weekly, and daily calendar reviews Easily tracking and managing the sales opportunities which resulting to more profit. 4
