*NOTE: Positions that are not Executive Board positions may be held as “co-chair” positions with
another eligible member.
As described in the officer Roles & Responsibilities, all officers are appointed for a one-year term
with the following exceptions:
 The Treasurer and President shall be appointed for a full two-year term.
Committees
We have four committees which are in need of volunteers. If you are interested in serving on
either of the committees listed, please circle it below.
Founders Day Committee – Works with the President to plan Founders Day (chooses venue,
plans menu, determines price, mails invitations etc).

President
- shall serve as the chief executive officer of the chapter, ultimately accountable for the plans,
events, and programs of the chapter
- Be familiar with the alumnae chapter bylaws, due for review at least every four years.
- Preside at executive board and general membership meetings
- Appoint committee chairmen and serve as an ex officio member of all committees except the
nominating committee.
- Welcome new members and encourage them to attend upcoming meetings/programs.
- Appoint and oversee committee chairmen as outlined in chapter bylaws.
- Receive and distribute Fraternity correspondence such as The Bulletin and Fraternity mailings.
- Complete and submit the annual report, due February 15.
- Hold officer transition workshop.
- See that other officers submit reports as required.
- See that the treasurer remits per capita fees to the Fraternity by March 30, Friendship Fund
monies to the Fraternity by December 31, and an unrestricted gift to Theta Foundation by
December 31.
- Update the officer roster in OP for all officers with OP access.
- Delegates tasks to appropriate officers as appropriate
- Maintains regular contact with chapter officers to make sure they have all the information /
materials they need to properly perform the duties of their position
- Maintains regular communication with the Alumnae District Director (ADD) and attend
quarterly Kite Calls.
-Will email fall newsletter/welcome, Founders Day info, Membership information via the Officer
Portal to all members of the area
- Be familiar with Grand Convention awards criteria and guide the chapter toward eligibility.
- Attend Grand Convention in even years as chapter delegate.
- Be responsible for returning the membership list to Fraternity headquarters with updated
information by the due date. This file is sent to the treasurer, but the president may delegate
another chapter member to update and return the file.
- Preserve all properties of historical interest (charter, directories/yearbooks, awards, Founders
Day paraphernalia, songbook, Ritual Book).
Communications Chair
- Keep members informed of the chapter activities through monthly e-newsletter
- Maintain the chapter website and events calendar, google group list serve.
- Review website with other chapter officers in the fall of each year to ensure content is relevant
and to brainstorm new content ideas.
Treasurer
- Maintains all financial records of the chapter’s treasury
- Reports to chapter’s financial condition at chapter and executive board meetings
- Pays all bills, collect dues and all other financial matters of the chapter
- Works with Membership chair to collect dues and per capita fees electronically and by mail
- For chapters with less than $100,000 in annual income, no actual audit is necessary, although
the president and a committee of several other officers and members should review the
chapter’s financial records yearly. For chapters that typically have less than $50,000 in gross
receipts annually, Fraternity staff will file IRS Form 990‐N.
- Create reimbursement and financial event planning guidelines for officers
- Approve estimated costs of events with President and officer in charge’s guidance.
- Remit per capita fees to the Fraternity, invoiced March 1, due March 30.
- Remit Friendship Fund donations to the Fraternity, due by December 31.
- Remit unrestricted funds to Theta Foundation and complete and submit the Foundation
chapter donation form, due by December 31.
- If using bulk mail, complete form and remit payment to maintain bulk mailing permit with post
office.
- Chair the finance committee and prepare and present an annual budget.
- Complete necessary bank details regarding signatures with successor.
- Keep financial records on file for seven years.
Membership Chair
- update Kappa Alpha Theta headquarters with name and address changes for chapter
members, and maintain the membership files of the chapter.
- Be responsible for returning the membership list to Fraternity headquarters with updated
information by the due date.
- Coordinates the chapter membership drive.
- update membership form annually (electronically/mail-in)
- Works with treasurer to collect dues electronically and by mail
- Welcome new members to the chapter and promote new member participation in the
chapter activities
- Respond to inquiries from potential new members by letting them know what events the
chapter has upcoming, reviewing the dues structure etc.
- Send email confirmation of dues receipt (check/paypal), email reminder to renew dues, email
membership drive to all thetas in the area.

Corresponding Secretary
- Take minutes at executive board and regular membership meetings.
- Send copies of the minutes to the executive board members and the alumnae district director
in a timely manner, attaching all reports of treasurer, revisions, budget, audit and other statistical
reports.
- Read minutes at executive board and regular membership meetings, if requested.
- Handle chapter correspondence
- Send notes on dues paying members’ birthday/Theta Anniversary
- Send notes of congratulations or condolence to chapter members.
- Responsible for submissions to The Kappa Alpha Theta Magazine
- Serve as press relations chairman for the local publications.
- Serve as corresponding secretary for the chapter (sends cards to sick members or those in
need)
- create and mail postcards with upcoming events on a quarterly or semi-annually basis as
directed by the executive board
- mail copies of the Fall newsletter to dues paying members
Panhellenic Representative
- Attend alumnae Panhellenic meetings as chapter representative
- Participate in alumnae Panhellenic functions.
- Inform the alumnae chapter of alumnae Panhellenic news and functions.
Philanthropy Chair
- Plan events to raise awareness and funds for Theta Foundation and CASA
- Support Kappa Alpha Theta’s three philanthropies, Court Appointed Special Advocates
(CASA), the Friendship Fund, and Kappa Alpha Theta Foundation.
- Serve as the chapter’s designated liaison to the CASA of D.C. or any other area CASA program
- Inform the chapter leadership of any volunteer opportunities or CASA events where members
may want to attend and/or participate
- co-chair Philanthropy committee and maintains notebook with details of any committee and
past philanthropy event activity.
Service Chair
- Work to plan Day of Service Activity on or around October 19th (Bettie Locke Hamilton’s
Birthday) and promotes the event by coordinating with the chapter President and
Communication Chair to properly announce the event in enough time to generate
participation
- Responsible for the chapter service projects in the community, including the Day of Service
project.
- Inform the chapter leadership of any volunteer opportunities or CASA events where members
may want to attend and/or participate
- co-chair Philanthropy committee and maintains notebook with details of any committee and
past service event activity.
Collegiate Liaison (Theta Iota/Gamma Mu)
- Work to establish a relationship with Theta Iota Chapter at Georgetown University and Gamma
Mu at University of Maryland and correspond with the collegians of that chapter by sending
notes on behalf of the chapter during recruitment, exams and graduation.
- Update the chapter on the progress and upcoming events of Theta Iota and Gamma Mu’s.
- Coordinate Senior Service and other interactions at each chapter
Bethesda Lunch Bunch
- Reach out to area Thetas who are interested in joining lunch bunch group in Bethesda MD
- Coordinate lunch on a regular basis given the demand of the group
- Communicate lunch meetings with emails, evites and/or phone calls as best suits the group
- Inform the communications chair of the upcoming events in a timely manner to be featured in
the monthly e-newsletter
D.C. Lunch Bunch
- Reach out to area Thetas who are interested in joining lunch group in Downtown D.C.
- Coordinate lunch on a regular basis given the demand of the group
- Communicate lunch meetings with emails, evites and/or phone calls as best suits the group
- Inform the communications chair of the upcoming events in a timely manner to be featured in
the monthly e-newsletter
Newsletter Chair
- Create the fall newsletter as directed by the executive board
Social Media Outreach
- Work with the communications chair and president to post updates to Facebook and Twitter.
- post 10yr, 25 yr, 50 yr, and 75 yr Theta Anniversary celebrations for dues paying members on
facebook group page
- post upcoming events on Facebook/Twitter
- Accept/Reject members asking for Facebook group access
Book Club Leader
- Reach out to area Thetas who are interested in joining book club group
- Stay up-to-date with Fraternity’s Reading Women program
- Provide information to communications chair to update Amazon Associates’ acct.
- Communicate book club meetings with emails and/or phone calls as best suits the group
- Inform the communications chair of the upcoming events in a timely manner to be featured in
the monthly e-newsletter
City KATs Chair
- Plan events for chapter’s young alumnae.
-Plan events for new to area or D.C. alumnae chapter women (nicknamed ReloKATs)
- Solicit input from other officers and committee members for chapter event ideas.
- Provide estimated costs of events to the treasurer for approval.
- Work with the Communications Chair to publicize chapter events through the chapter website

Networking/ Mentoring Chair
- plan bi-annual networking events for alumnae
- organize summer mentoring program where collegians are matched with a mentor in similar
