Charging and Remissions Policy
School Visits and Visitors
The Federated Governing Body of Bentley West and King Charles’ Schools would
like to enhance the education they provide for pupils with opportunities to extend and
develop their skills and knowledge. This might be achieved through visiting ‘experts’
such as the RSPCA, or by taking the pupils out of school to specific venues.
All visits and additional activities are carefully chosen to enrich the curriculum and
enhance pupils’ learning, through for example, handling artefacts or through drama.
Sometimes the cost is minimal and is covered by school fund. On other occasions,
because of the expense, the only way we can offer the experience is by asking
parents for a donation towards the cost. Unfortunately on these occasions if the
donations are not sufficient the visit/visitor will be cancelled. Parents are made
aware of this in the School Prospectus and in any letters requesting donations.
All pupils will have the same entitlement. No child will be omitted because they are
unable to pay.
Teachers will inform parents about planned trips for each term on the programmes of
study sent out each term, so that any additional expense can be planned for.
The school will set up a payment scheme for the annual Year 6 residential trip and
other trips so that parents can pay in instalments.
Remissions
If a trip has to be cancelled due to lack of interest by parents or because of factors
outside the schools control e.g. bankruptcy of coach firm, then full reimbursement will
be made to parents.
If a parent cancels a trip at short notice, the school will consider the individual
circumstances surrounding the cancellation before agreeing to make a
reimbursement.
Photocopying
The governing body has made the decision that the photocopier may not be used for
private purposes.
Travelling Expenses
Travelling expense claims for staff may be submitted to the School office. LA
guidelines are to be followed.

Breakages
Parents can be asked to pay for the cost of replacing broken windows or damaged
books etc, where this is a result of pupils’ behaviour.
Lettings
All lettings are agreed with the site manager who is responsible for the building’s
security.
The Governing Body will review charges in respect of the hiring of any part of the
school premises.
• Income from the lettings, minus expenditure concurred (which includes
additional payment for the site manager) will provide additional financial
resources for the school.
• The governors have set charges for the hiring of classrooms, the staffroom,
the school halls and the conference room which are itemised in the Charging
Policy. No changes to these may be made without the consent of the
governing body.
• Where the lettings are for the benefit of the school community, e.g. Parent
training sessions, no charges will be made, and the additional cost of extra
hours from the site manager are met from the school budget.
• For ‘one off’ events, such as a wedding or anniversary party, the school may
negotiate charges taking into account the additional work in clearing up and
preparation for the event.
Conditions of Hire

In respect of ‘one off’ lettings, a 20% deposit will apply where the cost of the
hire is more than £50.
In the event of damage to school property, the deposit can be retained to
cover the costs of damages. This however, does not preclude the hirer being
held fully responsible for any damage or injury sustained as a result of their
occupation of the premises.
Cancellations

One week’s notice, in writing, is required to cancel a hiring. At the school’s
discretion, the hirer would be liable to pay the cost, or part of the cost of the
hiring if no such written cancellation is received.
The site manager is entitled to a letting fee unless 4 weeks’ notice is given for
the cancellation of a letting. This is a charge to the school.
