Instructions for Setting-Up Assessments in eLumen Overview: Assessments measure student learning outcomes (program outcomes or University outcomes). An assessment is linked to the student learning outcome(s) it is measuring. The assessment is then distributed out to the course sections or courses where it is implemented. It can be distributed to future terms. After it’s distributed to a course, an Assessment will appear under the course listing for the instructor in Faculty Role view. Add an Assessment to the Assessment Library Do NOT click “Activity will be specified for this Assessment.” Complete “Assessment Description.” We recommend you include what outcomes this assessment measures, e.g., “Assessment for UO, Quantitative Reasoning, in math gen ed course.” Next select “Assessment Type” from the drop-down list. For University Outcome Assessment, we ask that you use one of the “University Outcome” types, depending on the course level. For programs/majors, use either the “Program Assessment” types or “Department Determined.” In your Program Coordinator role, click SLOs and Assessments then Assessments then Assessment Library. Skip “Evaluator Assessment Guide” for now. Check “Allow Evaluator Reflection.” Click Link Reflection Template. Then click the blue button, Add Library Assessment. An assessment “builder” will open. In the “Assessment” box, type the name of the assessment/assignment/project, etc. We recommend beginning with the course number where the assessment takes place, as this makes it easier to find in the Assessment Library later, e.g., POL230 Discussion Board #3. The “Add Reflective Template” dialogue box will open. Click to select the “How Did It Go?” template. This template is a generic question for faculty that will document faculty recommendations for improvement of learning. Click Add. For “Assessment Scale,” choose either 3-point scale or 4-scale depending on what the highest score in the rubric is for the learning outcomes you’re evaluating. For technical reasons, we cannot use two different scales within the same Assessment set up. You may indicate in the “Number of SLOs” box the number of student learning outcomes this Assessment will be measuring, but it’s not required. You can add SLOs as you go. Then click Generate Rubric Template. Skip Rubric Type. Next, “Scoring Mode” defaults to Rubric and Scorecard. For most assessments, faculty will enter individual scores on the Assessment. In some situations, e.g., very large classes or anonymous assessments, Collective Score Entry can be selected. Select BOTH “Scorecard View” and “Rubric View” to cover either preference for instructors using individual scoring. The resulting matrix provides links to the SLOs that are associated with your department, as well as any University or College-wide outcomes. Click the blue Link SLO. If you are assessing University, Student Development, Graduate, or CBT outcomes, select from the right-hand column. Simply click on the SLO boxes you need one at a time. The SLOs you select will populate the matrix along with Performance Descriptors (Rubric) attached to those SLOs. If you need to add more SLOs, click Add Row and then Link SLO. If you are creating an Assessment that measures outcomes in the major or program, choose from the center column. Do not leave any SLO rows empty. Click the RED “X” to eliminate a row you do not need. When finished, click Save & Distribute. Distribute an Assessment to Courses/Sections After clicking Save & Distribute, the Assessment Distribution “builder” will appear. Go directly to the Add Course bar and click on it. DO NOT touch the “No Course Group Selected” box. Next, to distribute this Assessment to all Sections of the course, click on the tiny “Section All” box. It’s sensitive, so click accurately. Then click on the blue “communication” icon at the right of the bar. A dropdown box will appear above. If you want this Assessment to take place in all future occurrences of this course, select “Distribute to all future Sections of selected Courses” from that drop-down box. You need do nothing with “Terms selected.” The courses available in your department will appear in the right column. Click on the course or courses you want the Assessment to take place in. It will move to the Selected Items column on the left. Then click Close. Next, set Notifications. eLumen will automatically email instructors a notice that there is a required Assessment for this course. Just before the scoring is due, it will send a Reminder. Text for these Notifications has been inserted automatically. You can edit the messages in the “Notification message” and “Alert message” text boxes. After Saving, this dialogue box may appear. Click Yes, discard and save. Recommended message days: 15 Week Courses: Send Notification: 7 days after beginning of term Due: 0 days before term ending (end of semester) Send alert: 5 days before due date 7 Week Courses: First Half Course: Send Notification: 7 days after beginning of term Due: 50 days before term ending (end of semester) Second Half Course: Send Notification: 50 days after beginning of term Due: 0 days before term ending (end of semester) Send alert: 5 days before due date Click Save. Review your set up. “Terms” means all future terms have been selected. If you see an error, click Modify Distribution. Otherwise, click Distribute. Check Your Set Up Be sure to select the Program or University Outcomes. It’s easiest to click “Select all.” Click the SLOs & Assessments, Assessments, and Assessment Results tabs. When you’ve made your selections, go to the drop down box “Do Not Distribute to Future Terms” and Select “Distribute to Future Terms.” Your Assessment should appear in the list below. Find the Assessment you set up by filtering for the SLOs linked to it. Use the middle column for Degree outcomes (PSLOs) and the right column for University or College/School outcomes. To see any results of an Assessment (after it’s been scored), you can click on the “Results” icon for a view of results. To view options for a “Distributed Assessment,” click on the row or box to highlight. Select from the row of options above.
