INTRODUCTION
Rosemead aims to provide systems to ensure that all children are supervised at all times, be they
on site, taking part in curriculum sessions off site, visiting outside venues or on a residential trip.
We also have a responsibility to ensure the correct levels of supervision for extra-curricular
activities, clubs and social activities within the school day.

RESPONSIBILITIES
The Education Committee will review this policy annually and recommend approval by the full
Board of Governors. The Headmaster has overall responsibility for implementing this policy.
EARLY MORNING CLUB
Children may attend before school sessions both at Thurlow Park Road (TPR) and Elmcourt (EC).
These are run ‘in house’ by Rosemead staff commencing at 08.00. Registers are taken for these
sessions, which are stored in the School Office in each building. Light refreshments are available
and a small charge is made for this service.
AFTER SCHOOL CARE
After school care is provided by Kids’ City and takes place at EC. Parents are required to register
their children and to pre-book regular sessions through the Manager, Mrs. Katie Savory (telephone
number 07850-003600). Occasional bookings can also be made on line through a ‘Superheroes’
arrangement. Children from TPR are escorted up to EC by Rosemead staff at the end of the
school day. Children at TPR who attend an after school club may then be collected by Kids’ City
staff later in the afternoon. Kids’ City is regulated by Ofsted.
START OF THE DAY - TPR
Children enter the playground at 8.30 a.m. Those attending early morning clubs are taken to the
playground by the member of staff responsible for that group. The playground is manned by two
members of staff – a playground assistant and the caretaker. The bell is rung at 08.43 a.m.;
children line up and are collected by their class teachers at 08.45. The caretaker closes both gates
at 08.50. Any parent wishing to enter the school must do so via the school office.
START OF THE DAY - EC
Children are brought into the playground and supervised by their parent/carer until the bell is rung
at 08.45 (KS1) and 08.55 (EYFS). Those attending early morning club from Reception, Year 1 and
Year 2 are taken to the playground at the appropriate time by the staff who run the club. When the
bell is rung, Reception, Year 1 and Year 2 children line up and are collected by the staff. Nursery
children and their parents/carers go round the building to the nursery classrooms.
END OF THE DAY - TPR
Children are taken to the playground by the class teachers and handed over to the collecting adult.
Parents are asked to notify the school of any change of collection e.g. parties, group collections, by

phone to the school office, verbally to the teacher or via email. They are also asked to introduce
any change of carer (i.e. au pair) to the teacher prior to any changes.
END OF THE DAY - EC
Nursery and Reception children are collected from their classroom. The front door and side gate
are opened at 3.15 p.m. to allow parents with siblings at TPR time to walk down to that building.
Year 1 and 2 children are taken downstairs and are collected from various points that are identified
to parents.
Parents of EYFS children are asked to write any changes of collection arrangements in the HomeSchool Link Book. Year 1 and Year 2 parents are asked to notify any changes by phone to the EC
office or in writing to the teacher.
COLLECTION
Parents are asked to collect their children promptly at the end of the school day and telephone the
main school office if they are unavoidably delayed. The school is then able to explain the situation
to the child; young children are easily distressed if there is no one to collect them when all their
classmates have gone.
The school strongly encourages parents to make contingency arrangements with other parents or
through registering with Kids’ City to cover occasions when there is an unexpectedly delay in
collecting their child. In addition we recognise that occasionally parents arrangements do not work
out as anticipated e.g. travel to the school takes longer than usual or work commitments delay
departure. Therefore we allow a twenty minute period of grace after the school or club finishing
time. The adult collector of children, who arrives more than twenty minutes late, will be asked to
sign a register held by the member of staff on late duty. There will be no charge for the first three
entries in the register per year but all subsequent entries will normally be charged as per the sliding
scale below on each occasion:

Any child left for an hour or more will incur a £60 charge for the hour with an additional charge of
£1 a minute thereafter, on each occasion.
The above charges apply to late collection from on and off-site activities.
The school will exercise judgement as to whether to waive charges for late collection entries if
there are extenuating circumstances but adult collectors who persistently arrive late in the 20
minute period of grace may lose this flexibility. However, we emphasise that there are other
options available to parents who are delayed and our concern is the well being of the child who is
collected late. We recognise that the vast majority of parents make significant efforts to ensure
their child is collected on time every day and wish to treat all parents equally. Staff will also make
similar efforts to ensure children are available for collection at the scheduled times and to ensure
that parents are informed of delays e.g. when a school visit is caught in traffic delays.
The school has a register of emergency contact telephone numbers and e mail addresses. Parents
must keep the school fully informed of any changes, especially if it is work numbers. There must
always be someone the school can contact in case of emergency, hence the request for alternative
contacts.

PLAYTIMES - TPR
Morning break
Three members of staff (playground assistants) are on duty throughout the sessions:
10.35 – 10.50 Years 3 and 4
10.55 – 11.10 Years 5 and 6
Lunch time play
Three members of staff are on duty, two playground assistants and one teacher or assistant.
(Children who require one-to-one assistance are supervised by their appointed person).
A First Aid box is prepared specifically for the playground. This must be collected and returned to
the office by a member of the playground staff.
Any head injuries must be sent into the school office. A form must be completed and sent home.
The cover rotas for TPR are compiled by the Deputy Head who takes into account timetable
requirements such as games and extra-curricular activities. All rotas are given out before the start
of each term to all staff. Copies are displayed in the Deputy Head’s office. Other rotas are
appropriately placed.

A First Aid box is prepared specifically for the playground. This stays in the outdoor toy cupboard.
Any head injuries must be sent in to the EC secretary (qualified First Aider). A form must be
completed for serious bumps and sent home.
EDUCATIONAL VISITS
Preliminary visits must be undertaken to any new venues and risk assessments sourced annually
from destinations. Risk assessments must be completed before each visit with mobile phone
contact details of the lead teacher (or group leaders if appropriate).
First Aid packs will be made up prior to the visit day.

SUPERVISION POLICY
Preliminary visits must be completed and risk assessments from the site must be obtained in good
time to be checked and signed-off. These should be sourced preferably before the preliminary visit
to check any points of concern at the time of the preliminary visit.
