Instructions
This document contains the template that is going to be used to collect the formal
Member State Consultation results in the EasyWay DG2012 Deployment Guideline
enhancement process. The template is provided and should be returned when filled-in as
a Microsoft Word file (*.doc).
The returned and filled-in templates will then be collated by the Deployment Guidelines
Coordinator. The template itself is in tabular form, plus additional information required
from the reviewer. The columns of the received reviews will in this process then be
extended by four additional columns: Member State, Number, Status and Response. The
template itself will not contain a Number column, since this could mislead users into
believing that the sequential number allocated in their single review would be the same
number to appear in the (common) response, which is obviously impossible if multiple
reviews are processed and collated.

The first and second columns are used to precisely locate a comment. The first column
should give the most precise location of the part of the document the comment refers to.
If – for example – the comment refers to section 1.2.3, this would be given here (“1.2.3”).
If the comment covers sections 1.2.3 and 1.2.4, the value given in column one should be
“1.2.3 / 1.2.4”. If the comment refers to all subsections of section 1.2, the value would be

“1.2”. The content of this column should refer to elements from the table of content of the
document.
The second column should be used to further locate the referred to text / figure inside the
element referred to in section one. Here, values like “figure 3”, “second paragraph” or
“end of page 3” should be used.
The third column characterises the comment. Content covers all types of comments
regarding the content of the referred Deployment Guideline text or diagram, whereas
Editorial refers to the way that the content is presented, e.g. the way it is textually
described or graphically depicted. Content covers all relevant categories of aspects – not
only technical – thus including functional, organisational, etc. The third possible value is
General which should be used if the reviewer either feels he/she is not sure about the
nature of the comment being content related or editorial, or if he/she thinks the comment
is actually neither of both.
The fourth column should be used to explain why modifications of the document are
requested (i.e. what is wrong with the specified section of the document).
The last column (column 5) is used to make proposals for improvement, replacing,
amending or extending the current text in the document.
Only columns 1 to 4 are mandatory! Nevertheless, reviewers are strongly encouraged to
provide suggested amendments wherever possible, since this usually significantly
reduces the risk of misinterpretation by the Coordinator.
