Exhibit Information
Booth Size
One standard booth: 10 feet x 10 feet (unless otherwise noted in the Exhibitor Contract)

 A standard booth is made up of flame-resistant fabric supported on aluminum tubing with back
wall drape 8 feet high (black) and sidewall drapes 3 feet high (black)
 Security services throughout the conference (off-hours)
 Company name and location of booth in the Conference Program, which all delegates receive
upon arrival.

Each Exhibitor will receive a copy of the Conference Syllabus and two copies of the Conference
Program, which will be delivered to your booth at the start of the conference.
Assignment of Booth Space
The CDA retains the right to alter the assignment of space to be occupied by the Exhibitor in order to
represent the best interest of the market, exhibitors and industry.
Cancellation of Exhibit Space
If an exhibitor cancels on or before August 31, 2016, the exhibitor will be charged a processing fee of
$1,000 per 10 feet X 10 feet booth. If the exhibitor cancels after August 31, 2016, the entire
contracted space fee will be forfeited.
Booth Staffing

Each exhibitor space (10 feet x 10 feet) can have up to four company representatives present
during exhibit hours. Lunch and nutrition breaks will be provided.

All company representatives participating in the exhibition must be registered as exhibitors.
Please note that your exhibitor badge does not include entry to attend conference sessions.

If company representatives wish to attend conference sessions, they must register as an attendee
at http://www.diabetes.ca/for-professionals/conference/2016-conference

Only exhibit personnel wearing exhibitor badges will be admitted to the exhibit floor during
move-in, move-out and non-exhibit hours. For security reasons, no other badge will be accepted
for entrance into the Exhibit Hall.

Badges must be worn at all times to access the Exhibit Hall.

Exhibitor Registration
All Exhibitors must be registered as exhibitors before the start of the conference. Please be sure to
include names of all company representatives/staff who will be working at the exhibit booth. Two (2)
complimentary Exhibitor registrations will be provided per 10 feet X 10 feet booth. Extra Exhibitor
registrations are available for $150 per person. Please note that nutrition breaks and lunches will be
provided for exhibitors.

handling, advance warehousing, furniture and carpet rental, hard wall booth rental and labour

Engineering Certificate Information
All booth structures, such as towers and columns that exceed 12 feet (3.66m) in height with weight
exceeding 500 pounds, will require an engineering stamp of approval verifying the structural integrity
of the exhibit. Obtaining certification is the responsibility of the exhibitor. GES does not supply
engineering certification.
Acceptable certification is in the form of a certified structural engineer’s stamp or seal directly on
your set of blueprints for the exhibit. This certification must be provided in advance to management
and must be in your possession at the exhibition site.
Failure to obtain and have available the required documentation could delay or prevent construction
of your exhibit. Signs must be posted indicating the number of people the structure will
accommodate.

Electrical and Plumbing Services; Hanging of Banners
Freeman Electrical Services provides labour and specialty equipment to support temporary electrical
services needed, based on the stated or potential electrical demand of the equipment being
energized. Labour includes all pre-event/event/post-event personnel tasked with the planning,
execution and follow up for any and all work related to the provision of temporary electrical services
within the facility. Specialty equipment includes, but is not limited to, the transformers, cables, fused
disconnect switches, distribution panels, outlets/circuit boxes and all related hardware and materials

used to create the necessary temporary electrical services distribution infrastructure to safely meet
the customer’s requirements.
The Electrical Safety Authority (ESA) is authorized by provincial legislation to perform electrical
inspections in the Province of Ontario and the Shaw Centre. Electrical inspections are required on
temporary electrical installations at the Shaw Centre. Furthermore, all electrical equipment must be
approved or certified with a recognized standards label (i.e. CSA monogram) before it may be used
for display or presentation).

Security Arrangements
The Shaw Centre’s in-house security department provides 24-hour 7-day-a-week post and patrol
security services for the building, its assets and perimeter. Additionally, they respond to access
control issues, emergencies and alarms. Although the Shaw Centre’s security provides these services
for general building safety and security, our clients are advised to engage event security services to
address specific event demands, such as, but not limited to, access control and credential checks,
during event and silent hour event space uniformed coverage, high-valued product post-assignment,
crowd management and/or concert security. If you require event based security services, contact our

Exhibitors may not enter the exhibition hall after hours. They are advised to remove all personal
items before closing. The Shaw Convention Centre is NOT liable for any lost, damaged or stolen items.
NOTE: There will be an Abstract Poster presentations in the Exhibit Hall on Thursday and Friday
evening from 5:30 p.m. to 6:30 p.m.; please do not leave valuables in your booth overnight.
Exhibitors must ensure that nothing occurs, which may cause harm to individuals or damage to the
Shaw Convention Centre.
Security/Shipping Recommendations

Ship all your goods in locked trunks or crates.

If cartons are used, be sure they are securely taped or banded, and under no circumstances
should you mark on the outside the name or type of articles contained therein. Boxes should
instead be numbered to assist in locating goods while on site.

Ship your goods with a qualified freight forwarder.

Do not leave valuables under tables or displays (e.g. laptops, computers, cell phones etc.).

Report any suspicious activities or missing goods to management promptly.


Please dispose of recyclable products by clearly marking boxes that are for recycling.

Move-In
Booth installation and dismantling services will be provided by GES at the expense of the Exhibitor.
Please note: Order date deadline is September 28, 2016. After this date, a higher rate will be
applied.

Hours of Operation
Move-in and set-up will begin at 7 a.m. on Wednesday, October 26 and must be completed by
6 p.m. on that day.
Storage/Material Handling
During the show, empty shipping containers will be removed by GES and returned at show closing.
These arrangements must be made in advance with GES. All containers should be tagged with
company name and booth number -- contact GES for storage labels. Following the show, all materials
will be shipped according to Exhibitor’s instructions.
Charges for these services are the responsibility of the Exhibitor. All WHMIS controlled products must
be properly labelled and contain their Material Safety Data sheets.
Only GES or its agents have the ability to handle materials being received, shipped, or stored on site,
with the exception of hand-carried materials. Arrangements for move-in/move-out material handling
are to be made with GES.
Accessible storage is available during the show; labour charges will apply.
Shipments
Exhibitors are responsible for making their own shipping arrangements of freight to and from the
Shaw Convention Centre. The Shaw Convention Centre WILL NOT accept any advance shipments.
Should an Exhibitor wish to send materials in advance of the show, up to October 5, 2016, they may
arrange to do so through GES to be received at the Advance Warehouse. Material handling fees
based on cwt will apply. Please see GES information for details and shipping labels.
PLEASE NOTE: Couriers CANNOT drop your display material in your booth. A handling charge will
apply. See Material Handling information in the GES information.

Exhibit Transportation/Freight Forwarding
GES has been appointed as the official exhibit transportation carrier. Please allow ample time for
pick-up to ensure that your exhibit arrives before the scheduled move-in date. All freight charges
must be sent prepaid as the facility will not accept collect shipments. When shipping with GES,
shipments can be received and stored up to 30 days in advance of the show date at no charge. For

Customs
GES has been appointed as official customs broker for this event. We recommend that you deal
directly with GES Customs (Alexander Chavez). They will advise on how best to ship your goods and
will assist exhibitors in the completion of customs documents. Comprehensive customs information
with all necessary documentation is available and can be obtained from GES. For customs inquiries,

Hand Carrying or Private Vehicle
If an Exhibitor plans on carrying the goods across the border from the USA themselves, they MUST
register with U.S. Customs for PAPS (Pre-Arrival Processing System) BEFORE moving their goods
across the border (no less than 3 to 4 weeks in advance).
Please notify GES in advance if you are bringing commercial goods with you on the plane or driving
your own vehicle into Canada. This will permit GES to supply you with the appropriate customs forms
and advise their border offices of your crossing.
Move Out
Booth move-out and dismantling services will be provided by GES, at the expense of the exhibitor.
Hours of Operation
Exhibitors may not dismantle, pack or remove any part of their display prior to 2 p.m. on Saturday,
October 29. Exhibitor move-out will commence at 2 p.m. and all materials must be completely off the
show floor by 10 p.m. on Saturday, October 29.
Procedures to Follow After Close of Exhibition
A material handling fee will be applied for any exhibitors requiring the use of equipment and labour
services to move in or out. Rates for this service are included in the GES services kit. We recommend
that exhibitors remove any small, valuable items from their booths before tear down, and that they
remain to supervise tear down work.
GES is NOT responsible for delivering freight from the booth to the carrier. Outbound Material
Handling Form (OMHF) must be completed by exhibitor or authorized representative prior to freight
being loaded. Any freight left on show floor after 10 p.m. on October 29th will be forced and subject
to additional handling fees.
There will be NO EXCEPTIONS.

Rules and Regulations
Alcohol
For safety reasons, alcohol consumption is not permitted during set-up, move-in or move-out times.
The Shaw Convention Centre will not be selling any alcohol during set-up and tear down activities.
Animals
With the exception of guide dogs, animals are not permitted into the Shaw Convention Centre.
Balloons and Confetti
The use of helium balloons must be preauthorized by the Shaw Convention Centre. Charges apply for
taking balloons down from the ceiling. The use of decals, confetti/sequin/glitter is prohibited.
Blood Samples
Any person taking blood samples, either by fingertip or intravenous drawing of blood, and disposal of
samples and the materials used to obtain said samples must be strictly in accordance with local and
provincial ordinances or laws. The Canadian Diabetes Association assumes no responsibility for failure
of exhibitor to comply with laws governing disposal of blood samples and materials used to obtain
samples. Exhibitors must take responsibility for disposing of any biohazardous waste by following
Health Canada Guidelines
Care of Building: Floor, Walls, Ceiling
Acceptable floor adhesives in the Shaw Convention Centre are poly-coated cloth tape or gaffer’s tape.
The only acceptable double sided carpet tapes are Renfrew #174 or Shur-Tape #642. Vinyl, foam and
packing tape are prohibited in the facility. When taping anything to a non-carpeted floor, including
the lobby, pre-function and delegate concourse floors, please use a protective layer of adhesive premask tape (e.g. Transferite) between the floor and the carpet tape. GES will have carpet tape
available for purchase at on-site order desk.
Acceptable wall adhesives in the facility are painters tape, masking tape, “fun-tak”, wall mounting
tabs or straight pins. Stick-on decals, badges, signs or similar promotional items may not be used in or
about the facility. Adhesion to exterior glass walls and interior wood walls is prohibited.
Promotional floor stickers must have pre-approval for use at the Shaw Convention Centre. Please
provide a sample in advance to Canadian Diabetes Association for review and approval from VCC
Event Manager.
Please note that cleaning and removal of non-approved adhesives by Shaw Convention Centre staff
are chargeable costs.
Common Areas
Exhibitors must keep hallways, elevators, escalators, entrances, halls, lobbies, plasma screens,
stairways, video monitors and building emergency exits free from obstruction at all times. This
includes aisle space surrounding exhibit booths. Please keep all promotions, mascots, etc. in the
confines of your rental booth space.

Damage
Exhibitor will be held responsible for all damage done to the building by themselves, their employees
or agents. No nails, tacks or screws shall be put into walls, woodwork or flooring of the building.
Federal Import and Foreign Export Permits
It is the responsibility of each Exhibitor to be aware of and comply with all requirements of the
Canadian Government for Import and Export of foodstuffs to Canada for display purposes.
NOTE: In the interest of eliminating difficulties in this area, it is strongly advised that you contact
GES Customs and Logistics prior to shipping goods for display at the conference.
Fire Department Regulations
All exhibit material must have an approved fire rating. Exhibitors are required to have certification
available for inspection. Fire Hose cabinets must be left accessible and in full view at all times. All
aisles must be kept clear and all emergency exits unobstructed. All drapes, table coverings and
display materials used for decorating purposes must be flame proof and subject to inspection by the
City of Shaw Fire Prevention Department and the Shaw Convention Centre. No flammable fluids or
substances may be used or shown in exhibit spaces. It is the responsibility of each Exhibitor to ensure
that all parties providing services to the Exhibitors in respect to display materials used for decorating
purposes or otherwise, comply with the regulations applicable to exhibitors.

Shaw Convention Centre has exclusive food and beverage distribution rights, and all items served
from the booth must be ordered through the Shaw Convention Centre. No food/beverage may be
served by exhibitors within the exhibit hall without the approval of the Coordinator, Professional
Conference Events, and Shaw Convention Centre. Exhibitors must receive written authorization for

Health Canada Guidelines
Exhibitors are responsible for adhering to all established Health Canada guidelines for exhibiting
products that are Health Canada approved and those that may be pending Health Canada approval.
Canadian Diabetes Association (CDA) assumes NO responsibility for securing Health Canada approval.
Health Canada Regulations
The Regulations Respecting Food and Drugs are explicit with regard to the import of these products
into Canada. “No person shall import into Canada for sale a food or drug the sale of which in Canada
would constitute a violation of the Act or these Regulations.” It is the sole responsibility of the
Exhibitor to ensure the products (including drugs) and materials they will be exhibiting are lawfully
brought into Canada and used or displayed only in accordance with the terms and conditions
governing the entry of the same into Canada and the advertising use and sale of such materials in
Canada.”

Insurance
Exhibitors are required to carry comprehensive general liability insurance.
The Exhibitor will be liable for and will indemnify and hold harmless the Canadian Diabetes
Association (CDA) and the Shaw Convention Centre from any loss or damages whatsoever occurring
to or suffered by any person or company, including, without limiting the generality of the foregoing
exhibitor other exhibitors, management (CDA and SCC), the owner of the building and their
respective agents, servants, and employees and members of the public attending the show, either (a)
on the said space or (b) elsewhere if the said loss or damages arose from or were in any way
connected with exhibitor’s occupancy of said space; (c) CDA must be added as an Additional Named
Insured on your liability policy, only with respect to liability arising from the operations of the
exhibitor during the exhibit; (d) Certificate of Insurance must be submitted to the CDA upon request.
Exhibitors must have their own liability insurance. In the event of fire, flooding or theft, no matter
how caused, the Shaw Convention Centre and the Canadian Diabetes Association (CDA), and its
representatives assume no liability for any bodily harm or material damage to products, booths,
equipment or decorations occupying any rented space within the building or being moved in or out of
the building.
Island Exhibits
Exhibits will have markings on the floor indicating the four corners. Draping will not be provided
unless requested for islands. All requests for draping must be approved by show management.
Exhibits must be designed so that they are accessible from all four aisles.
Liability
Neither Canadian Diabetes Association, nor Shaw Convention Centre/SCC official suppliers and Global
Experience Services (GES), the employees thereof, nor their representatives will be responsible for
any injury, loss or damage that may occur to the exhibitor, its agents or employees, or its property or
wares arising from any cause whatsoever, prior, during or subsequent to the exhibit. Each exhibitor,
by signing the application and contract to exhibit, expressly understands that it releases Canadian
Diabetes Association, the Shaw Convention Centre/SCC official suppliers, GES, from and agrees to
indemnify each against any and all claims for loss, injury or damage. Exhibitors are encouraged to
insure themselves against property loss or damage, and against liability for personal injury.
Literature Distribution
Materials may be distributed from your booth only. NO materials may be placed on seats, attached to
walls, ceilings or left in public places. No soliciting of registrants shall be permitted in the aisles or in
other exhibitor’s booth. Samples, catalogues, pamphlets, souvenirs etc. may be distributed by the
exhibitors and their representatives only within their booths.

Preview of Products
Products which are not yet available to the general public may be exhibited provided that the
products are clearly labelled as not yet available and pending proper government approval. Exhibitors
who fail to comply with this rule will be asked to leave the exhibit floor with no refund of payment.
Raffle Information
To attract a greater number of delegates to each booth and promote circulation, we encourage
Exhibitors to have individual draws or contests. If you are holding draws, the winner’s names can be
posted on the Electronic Message Boards or at your booth. Winner’s names will NOT be announced
from the floor.
Rx&D–Distribution of Samples
Members of Rx&D should refer to the Rx&D Code of Conduct for Educational Programs regarding
booth giveaways at www.canadapharma.org.
Selling of Products and Services
Selling of any product or services without prior approval of the Coordinator, National Meeting &
Conference Services is strictly prohibited. Any violation will result in expulsion from the exhibit hall
with no refund of payment. No other warnings will be given.
Safety
All exhibits must be constructed and operated in a manner in which will not provide any safety
hazards. Construction shall be substantial and fixed in position for the duration of the exposition. No
exhibit that violates any municipal or provincial law, rule or regulation, including safety codes, will be
permitted.
 Protective Footwear
All personnel working on the exhibit hall floor are required to wear safety shoes (CSA
approved). Approved safety footwear must be worn by exhibitors, service providers and
display contractors that work on the exhibit levels during move-in and move-out.
Restrictions
Canadian Diabetes Association (CDA) reserves the right to establish restrictions for exhibits in order
to enhance the exposition. This restriction includes persons, animals, conduct, printed materials, or
anything of character that may be objectionable to the exposition as a whole. No motorized
equipment is allowed outside of the booth. If the Coordinator, Professional Conference and Events
finds an exhibit in violation of the restrictions, the Coordinator, Professional Conference and Events
may order the violation removed or may evict the exhibit. If you violated a restriction or are evicted,
CDA is not liable for any refund or rentals or other exhibition expenses. Exhibitors are expected to
conduct themselves in a professional manner at all times. Any complaints will be resolved by the
Coordinator, Professional Conference and Events or an agent of the CDA appointed by them.
Use of Sound Devices
Equipment or devices producing noise that disturb exhibitors or visitors will not be tolerated. Noise
levels must not exceed 70 decibels at a distance of four feet from the sound source. The Shaw
Convention Centre has sole authority in this matter.

The CDA reserves the rights to approve the character of the display and to prohibit any display which,
because of noise or other features, detracts from the general character of the exhibit. No exhibitor
shall assign, sublet or apportion the whole or in part of the space allotted to their company without
the knowledge and consent of the Coordinator, National Meeting & Conference Services.
RULES AND REGULATIONS
The rules and regulations become part of the contract between the exhibitor and the Canadian Diabetes Association
(CDA). They have been formulated to insure a successful exposition. Canadian Diabetes Association respectfully requests
the full cooperation of the exhibitors in their observance of all rules and regulations. All points not covered are subject to
the decision of Canadian Diabetes Association.
The Application and Contract for Exhibit Space, the formal notice for space assignment by Canadian Diabetes Association
and all payments for exhibit space together constitute a contract for the right to exhibit at the 2016 CDA/CSEM
Professional Conference and Annual Meetings held in Ottawa, ON at the
Shaw Convention Centre from October 26-29, 2016.
