The purpose of writing to you now is to advise you of a change in our procedure for both arranging and carrying out the inspection appointment. Under the terms of your Tenancy Agreement you are required to give access for inspections with reasonable notice. Legally we are required to give you a minimum of 24 hours notice. The changes in arrangements are as follows:We will contact you (by phone where possible otherwise normally by email) approximately two weeks before your inspection due date advising you of the inspection appointment. We will give you a date and a 2 hour time slot. Inspection appointments will be made for a weekday between 9.00am and 5.00pm Whilst we prefer that you (or an adult family member or friend) are in attendance, where we hold agent keys, we will access the property to carry out the inspection. When we confirm your inspection appointment we will advise you if we hold agent keys. Where you are not in attendance we will contact you after the inspection if there are any matters we need to bring to your attention. When a maintenance matter arises at your property you should report this to us as soon as possible by calling us on 0121 308 7676 (option 2) or by emailing us at [email protected] rather than waiting to raise the issue at your next inspection. Most inspections can be carried out within 10 minutes. We visit each property regularly to ensure that the property (and garden) is being looked after. We are most certainly not judging your lifestyle but we do expect the property to be clean and tidy. Where we hold agent keys, please be assured that your property will be left secure. However, we do need you to take responsibility for the security of any pets at the property. Where your property is alarmed, we will need your confirmation of the current code. We are very conscious that arranging to have time off work can present a problem. Where we hold agent keys this will benefit you by saving you the hassle of lost work time.
