The finals will be hosted by the University of Bath and will take place on one campus across two days, Tuesday 21st & Wednesday 22nd March 2017. ARRIVAL AT YOUR VENUES Teams are to arrive two hours in advance of the start time of their final. PARKING/DROP OFF INFORMATION Team Coaches – Coach/team drop off/pick up will be in the east car park drop area. Coaches are then required to move off site. Team Mini Buses and Competitors Cars – There is limited space, so we advise all competitors to vehicle share and use public transport where possible. Pay and display parking is available in some car parks. The majority of on campus parking is for permit holders only. DEPARTURE FROM VENUES Please plan your return trip to allow sufficient time after your match (and any possible extra time) for presentations and match teas to take place. Team Coaches – Teams returning by coach MUST ensure all team members are congregated by the coach drop off they arrived at before calling the driver and advising they are ready for collection. Please therefore ensure a team member has the contact number for the coach driver. REGISTRATION Registration will take place in the Sports Training Village Indoor Straight. Please follow signs to registration. TEAM REGISTRATION PROCESS: All teams attending BUCS Big Wednesday must submit their team sheet by no later than noon on Wednesday 15th March. Alterations to this sheet can be made on the day however only individuals listed on the reserve list can be substituted in to the final squad. No new names can be added to the squad on the day of the event. Please ensure that all players bring student photo identification and team staff must bring photo identification to the event to ensure compliance with team sheet and player movement regulations. Should an athlete not be able to verify themselves against a name on the team list then they will not be permitted to participate in the event. AU’s please note: it is the responsibility of the submitting AU to ensure all finals squad members (& reserves) listed meet the BUCS eligibility criteria and essential steps are taken to ensure adherence prior to inclusion. Once registration is complete you will be directed to your changing rooms and playing area by your team attaché. Declaration of starting line ups For Rugby Union, Rugby League, Football and Netball teams must declare their starting line ups 60 minutes prior to match start time. MATCH INFORMATION Kit – In sports where kit clashing can be an issue, please notify your opposition of your kit colours. In the event of a clash it is the home team (the first named team) who must wear their change strip. All home named teams are required to bring a change kit in case of clash All teams (including coaching staff) must wear matching university playing kit or tracksuits when being presented onto the outdoor pitches before the match and during all medal presentations post match. Water Polo specific – there is a no shoe policy pool side so please ensure that all competitors and coaches remove shoes prior to going pool side. Changing rooms Please note changing rooms are not exclusive for teams to use throughout the day. So please ensure after you have changed that you take all your belongings pitch/court side. BUCS cannot be responsible for belongings left in changing rooms and any belongings left in the changing rooms after the allocated time for teams will be removed. Rules and Regulations - All the Rules and Regulations can be found here, including extra time regulations. Officials – Officials have been appointed by the relevant National Governing Body and BUCS. Medical – There will be sports doctors and paramedic cover at the event. There will also be some physiotherapy provision. There will not be run-on physiotherapy provision provided by BUCS at all matches. Medal Presentations – Upon completion of each final a medal presentation will take place as soon as possible. Please do not return to changing rooms etc until after the presentation unless otherwise directed on the day by a volunteer. Please ensure you have all items required for presentation pitch/court side. All players must be in matching kit or tracksuits for medal presentations. For all sports players must be ready for presentations straight after their game and under direction from BUCS Staff and Volunteers. NB: Please note this is a complex event and timings and locations of warm ups, presentations etc may change at short notice. Players and coaches are reminded to follow the instructions of BUCS staff and their representatives at all times to ensure the smooth running of the event. Match Teas – All players and up to three named team support staff are entitled to a match tea after the completion of their games. Player passes will be marked when meals are collected. If you do not wish to take up this match tea option please notify BUCS in advance of the event. #TAKEASTAND In December 2015, BUCS launched the Take A Stand campaign to promote more inclusive, accessible university sport. Institutions across the UK have embraced the campaign over the past 16 months, selected teams will be provided with Take A Stand kit patches, which we hope you will wear on the day to show your support for the campaign. We would advise that you all wear the badges in the same place on your playing kit to ensure a professional appearance, and ask that they are positioned on your upper sleeve or chest where possible. BEHAVIOUR All teams and supporters will be expected to behave in manner befitting to the standard of the event. Teams are reminded of General Regulation REG 17.1 which is also available from www.bucs.org.uk/rules. Please note that any person(s) found to be bringing alcohol onto site will have it confiscated and may be subject to BUCS disciplinary procedures. All teams must give the name and contact number of a person responsible for their team on their team sheet. SPECTATORS Spectators are welcome to attend BUCS Big Wednesday and the Tuesday events. Entry fees are as follows: Wednesday Only: Adults - £5.00 Students (upon presentation of a valid student card) - £3.00 University of Bath Students (upon presentation of a valid student card) – Free Children – Free Tuesday competition is free for all spectators. Upon payment of the entry fee/presentation of a student card, spectators will be issued with a wristband which is needed to watch all sport. Sports with limited seating/space (Hockey, Basketball, Netball, Table Tennis, Volleyball, Badminton, Water Polo & Lacrosse) will be on a first come first serve basis and a wristband for the event does not guarantee you entry for a specific sport. Refunds will not be accepted. Wristbands will only be available on arrival to BUCS Big Wednesday and cannot be purchased prior to the competition. Food and refreshments will be available for spectators to purchase at the event. PHOTOGRAPHY AND FILMING Please note that by attending BUCS Big Wednesday as a competitor, official, volunteer or spectator you agree to your image being used by BUCS and approved BUCS third parties including the University of Bath. This may include using your image in photographs, live and pre-recorded footage online, in print and/or television programming to promote BUCS, BUCS Big Wednesday and BUCS event sponsors and funders. If your team is bringing a media representative, they do not need to accredit online before the event. They just need to report to the event accreditation and check-in desk upon arrival to sign in. PHOTOGRAPHY PACKAGES Packages will be available for purchase for teams in the Championship finals, from BUCS’s photography partner Capture the Event. This will include official team photographers and action shots, available to be printed, framed or provided in digital formats.
