Audience
Key maintenance users within ARTC sites.
Purpose
The key purpose of this document is to provide a reference for ARTC Ellipse
Users in the use of the Ellipse Equipment Register Module

Equipment Register Overview
The Ellipse Equipment Register
The list that records the numbering and classification of all maintainable items
in Ellipse is called the Equipment Register and it is imperative that the register
is maintained with accurate and up to date information.
The equipment register is specifically designed to enable easy identification
and sorting of plant and equipment into specific groups, these groups can be
based on equipment class, maintenance requirements (EGI), location, just to
mention a few.
In addition to the Equipment Number, Ellipse provides for a Structured Plant
Number (SPN) of up to 30 characters. Each structure provides for six levels,
the name and length of each level is defined in the ARTC system configuration
documents.
In addition to its basic function of identification, the Equipment Register allows
a number of pieces of plant to be grouped together under a Productive Unit or
“Parent Equipment”, which is identified in the Equipment Register by an
Equipment Number and SPN.
Productive Units can be grouped to a higher level Productive Unit, and so on;
there is no restriction on the number of such levels. This means that Ellipse
does not require a hierarchical structure to be built into the format of the
Equipment Number in order to group Equipment for reporting purposes.
Process Summary
Ellipse provides for a comprehensive facility for the creation, modification and
reviewing of equipment information within the system.
In the Search screens, users can enter selection criteria ranging from a
specific Equipment Number or SPN for the review a specific equipment record
to general search parameters to will display a summary list of all records that
meet the entered search criteria.
The summary list can then be scrolled until the required equipment record is
located. Selection is made and the Equipment details are displayed. After
detailed review, the summary list can be re-visited for selection of further
equipment records for review.
In the Detail mode, new equipment can be created, or currently registered
equipment can be modified.

Equipment Register Configuration
Introduction
Table Files are used as a reference file for storing system codes and
descriptions. As such, it is the basis of many of the validation and reporting
mechanisms of Ellipse.
There are two types of Table File entries:

Mincom-delivered types and codes.

Customer-maintained types and codes.
Table File creation / modification can, and usually is, secured from
unauthorised access, with the Ellipse System Administrator being the person
having access.
Table File Review / Enquiry is made available to all system users.
Table File Codes Required
Equipment Class
Equipment Class, “EC” Table File, is the major grouping of Equipment within
Ellipse. Each Equipment Class has a linked SPN Structured, this is particularly
relevant to fixed plant as the Ellipse Structured Plant Number used is the
Equipment tag number, which is attached to each item of Equipment, and is
the identifier used on drawings.
It has:

Code Length = 2

Description Length = 15
Equipment Location
Equipment Location, “EL” Table File, is used to identify the current location for
a piece of Equipment.
It has:

Code Length = 4

Description Length = 15
Equipment Classification Codes
Equipment Classifications Codes, “E0 to E19” Table Type, are used to group
equipment at a low level, they are user defined codes that may be tagged as
mandatory if required.

They have:

Maximum Code Lengths = 2

Description Length = 40
Equipment Numbering
The equipment record is represented in the equipment register by two
separate and unique numbers, the “Equipment Number”, which is system
generated and fixed for the life of the system, and the “Structured Plant
Number – SPN” which is a user defined number that can be changed at any
time during the life of the equipment.

A 12-character Equipment Number will be automatically assigned as
the reference number by the system when the record is created.

A Structured Plant Number (SPN). The structure is defined by the
nominated Equipment class.

A 'From' segment and a 'To' segment identify the Equipment as a
Continuous Asset that can be broken down into sections. These
sections are used in combination with the two above.
Equipment Number
The Equipment Number is the unique identifier of a piece of Equipment and
the primary key to the Equipment Register. It is used to identify Equipment in
all other files. The Equipment Number is unique in the system; that is, it is a
global-level code rather than a District-level code. The Equipment Number is a
system generated sequential number and should not be overtyped during
creation.
Structured Plant Number
If the “Structured Plant Number flag” on the System Control file is set to Y. a
Plant Number structure may be created for each valid Equipment Class (EC),
via MSO602.
The SPN is a number which is made up of up to 6 segments of which each
may be up to 10 characters long, with a total max overall length of 30.
Each level holds:

The actual name of the level

The max length of the code (maximum 10 characters)

A flag to indicate whether entry in this level is mandatory

A flag to indicate whether entry in this level is to be validated against a
Table file.
Once an equipment record is created in the system using the EC, the structure
becomes fixed in the system and can not be altered.
For example, the EC for TURNOUT is “TO” and the SPN structure for TO is
displayed below.

Productive Unit Structures (Parent Equipment)
Equipment is classified in other ways to help identify it. All Equipment can be
built into a hierarchy so that Maintenance personnel attempting to find
Equipment in Ellipse can drill down through the Equipment Register to find the
Equipment they are working on.
Basically, Productive Units not only provide a drill-down on Equipment for
grouping purposes, but they also provide the ability to roll up costs within your
District. There are no limits to the hierarchy or length. It is completely userdefined within a District.
A Productive Unit is an item on the Equipment Register. It only becomes a
Productive Unit when another item of Equipment is “attached” to it.
The structure is best built to match the business reporting structure.
Equipment Group Identifier (EGI)
The Equipment Group Identifier file (MSF610) holds information about
Equipment Group Identifiers (EGIs) in order to provide:

A list of EGIs used to group pieces of Equipment with the same or
similar operating or maintenance characteristics. It is independent of
where it works in the organisation.

A profile of all possible components (component codes) that could apply
to the piece of Equipment – that is, the slots where Fitted Equipment is
attached.

Profiles (Operating Statistics/General Equipment/Costing) can be held
against an EGI.

Equipment Register Search – MSQ600
Introduction
The Equipment Register application provides facilities for reviewing and
modifying details of equipment in the Equipment Register. It also provides the
facility to create new records for the Equipment Register.
Using the facilities in the search window for this application you can:

Display a specific equipment record in the detail by entry of a
equipment number or SPN

Search for equipment using general search criteria then selecting from
the summary display to review details
In the Equipment Detail window you can:

Review details of an Equipment record

Modify details of an Equipment record

Create a new Equipment record.
Overview
In the Search for Equipment window you can search for one or more
Equipment records. To conduct a search, you select a search method and
enter criteria for the search then click the “Search” button. If you’re first
search for an equipment entry is not successful, the search criteria can be
modified and click the “Search” button again.
If a completely new search is required, click the “New Search” button to clear
data from the search fields and the results grid before you enter the search
criteria for the new search.
The Search for Equipment window is made up of two sections, the top section
is where the selection criteria is entered and is divided into a number of
screens with each screen divided into sections. The screens are identified by
Tabs, to open any of the screen, click on the appropriate Tab.
The lower section is the results grid and remains unchanged as the screens
are opened. After the search has been carried out, if there is more than one
record that meets the entered criteria, all of the selected records will be
displayed in summary in the grid. If only one record meets the entered criteria,
that record will be opened in the detail mode.

Accessing the Window
The Equipment Register module, MSQ600, enables access to all the
information held against equipment numbers. Access is gained by entering the
program number, MSQ600 in the command line on the tool bar. Access can
also be gained by selecting the “Equipment” entry from the Main Menu on the
explorer screen.
Enter the program number in the command line then press Enter or double
click on the menu entry and the Search for Equipment window displays.

Search Process
Search Tab
The search screen is divided into two sections, “Reference” and “List”. In
ARTC, equipment lists are not currently used.
Reference:
The reference section sets the primary search criteria, there are up to three
fields available depending on the search method selected and they will be
activate, depending on the search method selected.
The search methods include

All (default) – If “All” is selected, the other two fields will be inactive
and if no criteria are entered on any of the other screens, and a search
is initiated, the results will be the entire equipment register starting with
the record with the lowest Equipment Number (“000000000001”). For
an effective search, search criteria should be entered in one or more of
the other screens

Exact Match – if exact match is selected, the equipment reference of
the required record must be known. The reference could be either the
“Equipment Number” or “SPN”. With this selection, the other two fields
will become active, select the “Search String” field and enter the
equipment reference. Note! If the equipment number is being used, the
leading zero’s are not required.

Starts with – if starts with is selected, the first one or more characters
of the equipment reference must be known. With this selection, the
other two fields will become active, select the “Search String” field and
enter the known characters from the equipment reference. Note! If the
equipment number is to be used, the leading zero’s are required

Exact Match:
If Exact Match is selected, enter the equipment reference in the search string
field and click the search button. The record will be displayed in detail as there
will only be one record with the SPN.

Starts With:
If Starts With is selected, enter the first one or more characters of the
equipment reference in the search string field and click the search button. All
of the records that have the entered characters at the beginning of the SPN
will be retrieved and displayed in the grid.
NOTE!! Spaces in the SPN are recognised by the system as characters and
must be included. E.g. S60 CWA has 2 spaces between the S60 & CWA if
not entered correctly, the system will return “0 MATCHES”
All:
All will default into the search method field, if it is left, other search criteria will
be required in one or more of the screens. If no other criteria are entered and
a search conducted, the system will return a complete equipment register
starting with the equipment with the lowest equipment number.

Filters Tab:
If the search method “All” was selected; the fields in the “Filters” screen will be
active.
The filters screen has two sections; data may be entered into one of the fields
in the “Filters” section plus either or both fields in the “Extra Filters” section.
In this example, the search is for “Turnouts” that are in the “Bribbaree” area
that are “In Service”. With the search method “ALL” in the “Search” screen,
enter the following criteria in the “Filters” screen:
Equipment Class – “TO” to restrict the search to equipment with equip class of
“Turnout”
Equipment Status – “IS” only “TO” equipment that has a status of “In Service”
will be included.
Equipment Location – “BRB” only “TO” equipment that is “IS” and has a
location of “BRB” will be considered.
With the data entered, click the “Search” button. The results will be displayed
in the Grid. Note! There are 8 matches.

Other Filters Tab:
If the search method “All” was selected; the fields in the “Other Filters” screen
will be active.
The other filters screen has two sections. The upper section is used with
equipment Tracing but ARTC has not utilised this functionality.
The lower section is the “Names” section which allows a free text search of the
Equipment Description fields in the Equipment Register. Each field represents
a “Block” of text and up to 4 blocks of text may be entered. Each block of text
is independent of any other text and there is no requirement for any order.
Enter text in blocks that will appear in the description fields of the equipment
being searched for. Any text entered must appear exactly the same in the
description field, including spaces and other characters, such as *, # etc.
In this example, the search is for all points in the TEMORA area. With the
search method “ALL” in the “Search” screen and equipment class – “SE”
entered in the “Filters” screen:
Click on the “Other Filters” Tab and in the “Names” fields entered the
descriptive data required. In this case we will use the data “TEMORA” and
“POINTS” Note! The entry could have been made in reverse with the same
results.
Note! There are 53 matches; all will have the two entered blocks of text in the
equipment description field.

Classifications Tab:
The classifications screen allows the search to be refined, for example if the
original search was for LV Poles in Cowra.
As there both steel poles and wood poles, the results display all of them, a
refined search may be to select only the steel poles. To do this select the
“Classifications” tab and in the category field select “ST” for the steel poles.
The resultant search will only return the records with ST in the category field.

Reference Codes Tab:
When reference codes are used as the search parameters, the system will not
allow any other search criteria to be used and therefore the search is
restricted to only one parameter. Note the entry on the reference
To make a search using Reference Codes, select the “Reference Codes” tab
The top section of the screen has two fields, on the LH field, click the button
on the RH end of the field and select the reference type to be used as the
search parameter.
If the search was for all equipment between Picton and Mittagong for example,
the search could use the base code of 10052 as the search parameter. With
the “Base Code” selected. Enter “10052’ in the RH field and click the search
button.
All of the equipment with a Base Code of 10052 entered will be displayed in
the results grid. Page through the screen to identify the entry required, and if
required, double click on the entry to open it in detail.

Group Searches:
There are a number of grouping tools within the Equipment Register which
allow the user to review groups of equipment based on specific criteria, some
of the tools available include the following:
Equipment class (EC):
The Equipment class sorts the equipment into a very general grouping, such
as “Signal Equipment”, “Track” etc and is the highest level of grouping. A
search using the EC will return a large amount of data if no other criteria are
used in conjunction with it.
Equipment Group identifier (EGI):
The EGI is a more specific sorting tool which groups the equipment into
groups of similar Make/Model/Size groups.
Productive Unit (Parent Equipment) (PU):
The Productive Unit groups the equipment in a different way and can be used
to set up a multi level hierarchy of the equipment. The equipment does not
need to have any physical similarities to each other, and the grouping occurs
when the equipment is linked to the parent equipment in the equipment
register.
The grouping may be for process flow or location, for example, a “Yard” may
be created as an Equipment number then all of the equipment that is located
within the Yard could be created and linked to the “Yard” setting up a simple
Hierarchy.
To search using any of the above, open the “Equipment Register” program
MSQ600, leaving all of the fields on the “Search” screen as defaulted and click
the “Filters” Tab.
Enter data into the required field, and click the search button.

This search will return all of the equipment with the selected parameter, for
this example, Equipment Class TU – Tunnel was entered and 52 records
returned this search may be then refined to search for tunnels in Dombarton
NSW; this could be achieved by entering the Equipment Location as well as
the EC. The resultant search has only 3 records.
The Productive Unit (PU) grouping adds another dimension, the ability to set
up a Hierarchy and to view the equipment list in another way.
There is two ways to search using the PU; the basic search can be carried out
using the same process as for the EC or EGI (above). Enter the equipment
number of the productive unit into the field and click the search button, the
results will be all of the equipment that has the entered equipment as it’s
parent.

To see a hierarchy display:
Open the Parent equipment record in detail view
Click on the “View” button on the tool bar, a menu will drop down, click on
“Productive Unit Hierarchy”.
A screen will open with the SPN of the entered equipment displayed in the LH
side of the screen with a
symbol, click on the “+” to display the
children equipment

Each of the equipment in the hierarchy can be reviewed in detail, click on the
entry that needs to be reviewed, then click on the “Equipment Detail” button
and the detail window will open. To close the screen, click on the “Close”
button on the screen.
After reviewing the detail, to return to the Productive Unit Hierarchy screen,
click on the View button on the tool bar and select “Productive Unit Hierarchy”
from the dropdown menu

Open a record without searching:
A record can be opened without having to go through the search process, to
do this the equipment number/SPN must be known.
From the detail window, click the “OPEN” icon
dialogue box will be displayed.

Create a new Equipment record
A new equipment record can be created two ways, by copying a current
record and amending the details as required or by starting with a blank sheet
and entering all required detail manually.
Accessing the Window
The Equipment Register module, MSQ600, enables access to all the
information held against equipment numbers. Access is gained by entering the
program number, MSQ600 in the command line on the tool bar. Access can
also be gained by selecting the “Equipment” entry from the Main Menu on the
explorer screen.
The equipment search window will open, click the “Equipment button on the
tool bar and select “New” from the dropdown.

Create New Record – Manual entry
The following will detail the creation of an equipment record from a blank
sheet
When a new record is called, a blank detail window and a dialogue box will
open. Enter the EC code into the dialogue box and click the “OK” button.
The blank detail screen will open with the EC field defaulted from the dialogue
box.
Header
The window is made up of two sections the top section or “Header” which
contains the equipment number field and the description fields,
The Equipment Number field must be left blank as the system will allocate
the next sequential number.
The Description fields include two fields of 40 characters. The characters
may be alpha/numeric, spaces, or any of the available characters on the
keyboard. The top line is the main line of description as it is the one normally
seen in review screens and reports.
Enter the detail in one or both of the fields that best describes the equipment.
There are accepted standards set in the system for the use of these two fields,
depending on the type of equipment.

There are two basic types of equipment in the ARTC system, Continuous or
Discrete Assets, following are some examples to assist when describing new
equipment. Note! Before making an entry, the system should be checked for a
similar type of equipment to use as a sample.
Discrete Assets:
Line1 – What it is +Location (T/O ALBURY)
Line 2 – From-To
(NO5 SIDG-NO6 SIDG_645.692_NIPS)
Continuous Assets:
Line1 –Location + From – To (THE ROCK - BOREE CREEK)
Line 2 – What type + Km

The lower section is divided into a number of screens with Tabs and each
screen contains data which will be detailed. The header section will remain
visible and unchanged as you move through the lower section tabs.
General Tab:
At the General screen, there are no mandatory fields, but there are number of
fields required by ARTC configuration.
To complete the “General” screen, enter data into the following fields:

Status: if the equipment is in service use “IS”. If not known, click on the
button at the RH end of the field and make a selection from the dropdown
menu.

Equip Location: Enter the code for the location. If not known, click on the
button at the RH end of the field and make a selection from the dropdown
menu.

Equip Grp Id: Enter the EGI code that represents the group of equipment
that this equipment belongs to. If not known, click on the button at the RH
end of the field and make a selection from the dropdown menu.

Active: if the equipment that the record represents is operational, tag the
“Active” field

Plant Details:
To enter the Plant Number details, click on the “Plant Details” button on the
RH side of the screen, a data entry window will open.
Enter data into each of the fields to a max number of characters as indicated
in the “Size” column. Note! The character count includes spaces etc. If there is
a “Y” in the “Mand” column, this indicates that it is mandatory to make an entry
in the field.
Once the data is entered, click the “OK” button to return to the “General”
screen.
Gen (Misc) Tab:
There are no mandatory fields on this screen.
To record the identity of the user that created this record, enter the user ID in
the “Input By” field
If the equipment is to be part of a hierarchy, enter the “Parent Equipment
Number” in the “Productive Unit” field.

Costing Tab:
Both of the active fields on the Costing screen are mandatory.
Acct Code: Enter the account code for costing purposes to the equipment
record
Costing: this field is used to indicate to the system if the record will accept
costs or not. The system will default “Allowed”, to make a change, click the
button at the RH end of the field and select the required entry.

Allowed: the system will allow all valid transactions, including work
orders etc. must be set to “Allowed” if there are to be schedules created
for the equipment.

Not Allowed (Warning): if this is selected, the system will allow work
orders to be created against the record, a warning will be displayed
during the W/O create process, but will not allow any costs to be linked
to the record.

Not Allowed (Error): if this is selected, the system will not allow work
orders to be created against the record, an error will be displayed
during the W/O create process and the system will not allow the W/O to
be saved.

Tracing Tab:
There are no mandatory fields on this screen.
There are a couple of fields of interest and they include:

Serial Number: if the equipment has a serial number, it may be
recorded in this field and could be used to retrieve the record during a
search process.

Purchasing Details: details such as PO, Date, Price may be recorded
in this section as historic record.
Classifications Tab:
In the Classification screen, the record can be included in a number of
different categories, by enter codes into one or more of the classification
fields. These fields are not mandatory, but when used, provide a lower level
search to be carried out. The valid codes available for each field can be
sourced by clicking on the button at the RH end of each field.

the system does not allow the use of any other search parameters.
At the reference code screen, enter any relevant reference code value.
With all of the relevant data entered, the record can now be saved. Click the
“Save” button on the tool bar. Providing all of the mandatory fields have been
completed with valid data, the system will create the record and issue the next
available equipment number.

Create New Record – Copy Existing Record
You can create a new Equipment record by opening an existing record and
saving it under a new name. Once you have created the new record you can
modify it accordingly.
Open the Equipment Register program in the detail view; this may be done by
opening any existing equipment record. Click the “Equipment” button on the
tool bar and then the “Create From” on the dropdown. This will present
another dropdown, select “Equipment” and a data entry box will be displayed.
Enter the equipment number or the SPN in the field and click the “OK” button.

An Equipment window will open with all of the details from the selected record
defaulted – except the equipment number and the SPN.
Click the “Plant Details” button and when the window opens, enter the
required SPN data. The combined code entered must be unique in the system
otherwise the system will not allow the creation of the record.
Page through all of the screens and modify the defaulted data as necessary.
When the detail is correct, click the “Save” button and the record will be
created and a number issued.

Modify an Equipment Record
You can modify an Equipment record by opening the record in the detail
window, change the necessary details and then saving it by clicking the “Save”
button.
Equipment Class: If the EC has to be changed, click on the “Equipment”
button on the tool bar and select “Change Equipment Class” from the
dropdown menu.
A data entry box will open, overtype the “Equip Class” field with the required
code, if not known, click the button at the RH end of the field and select from
the dropdown menu. The “New Details” button will become active, click it and
the screen will display the available fields for the new EC. Enter the necessary
data and click the “OK” button at the bottom of the screen. The General”
screen will be redisplayed with the new detail. Save the record to confirm the
change.

Dispose of an Equipment Record
If Equipment has become obsolete and the record has to be updated to
indicate that it has been “Disposed Of”, the following describes the process of
updating the record.
Open the record
Open the record in detail, if in the “Search” screen, select “Exact Match” and
enter the equipment number or SPN and click “Search”
With the record opened in the detail view, click the “Disposal Details” button.

A data entry box will open to allow the entry of the disposal information.
While all of the fields may be populated, only the “Disposal Date” field is
required to complete this transaction. With the date entered, click the “OK”
button to complete the process.
This process will update the equipment record in the following way:
At the “General” screen:

Status will change to DI – Disposed Of

The Active button will be untagged

At the “Costing” screen, the costing will be set to Not Allowed [Error]
Update the Equipment Class to “XX”, to do this:
Return to the “General” screen, select “Change Equipment Class” from the
dropdown menu under the Equipment button on the toolbar

. A dialogue box will be displayed.
Enter the new EC and for obsolete equipment it is “XX” the click the “New
Details” button
This will update the record. Note! If this change was for another EC, the grid
would open for the entry of the new SPN for the entered EC.
With the detail as required, click the “OK” button. The “General screen will be
returned, click the “Save” button to complete the process.

Delete an Equipment Record
An equipment record can only be deleted provided there have been no
transactions against it. You can delete an Equipment record by opening it the
detail window, click the “Equipment” button from the drop down menu and
selecting “Delete”. A message will display requesting confirm the delete. Click
the “OK” button and the record will be deleted.

Review Linked Applications:
With the Equipment Register record opened in Detail, there are a couple of
other applications that can be reviewed without closing the equipment record.
Open the Equipment Record in detail and click on the “View” button on the tool
bar.
A menu will dropdown and offer a number of options.
Maintenance Tasks
Click on the “Maintenance Tasks” button on the dropdown and the MST
search screen will be displayed with the equipment details defaulted. Click the
search button to see the MST’s linked to this equipment record.
