Contract Documentation Technical Checklist
Following are technical notes on a range of issues that require accurate description in
specifications and drawings prepared by professional service contractors for Building
Management Project Services in the Department of Planning, Transport and Infrastructure
(DPTI).
Professional service contractors are expected to have referred to the checklist and ensured that
all listed items have been appropriately addressed in any documents issued to DPTI for the
purposes of tendering.
Specification Items
Issue
Checklist
Asbestos removal
Include relevant extracts from Asbestos Register in specification. Ensure
work done out of occupied hours.
Box gutters
Minimum recommended gauge 0.8mm.
Colour schedule
Colour schedule to be included in tender specification.
Concrete finishes
Finishes (flat trowel, broom, helicopter etc) should be called up in
architectural finishes and referenced from structural.
DPTI specification
Ensure latest DPTI specification update document used to prepare
specification.
Demolition
‘Making good’ note has little value. The required work needs to be
described in the relevant trade.
Dilapidation reports
Ensure all stakeholders included (e.g. contractor, owner, client, architect).
To be done before any work starts at site.
Door frames
Aluminium door frames and solid core doors are not compatible.
Door furniture
Ensure lead agency understands designs and functions and that they
meet requirements.
Door hardware
Push/pull handles require through fixings.
Door stiles
Aluminium framed doors require wide stiles to avoid narrow backset
furniture (causes knuckle damage).
Doors
To be painted in gloss enamel (except in hospitals) for durability.
Flashings
Roof penetration flashings to be specified in architectural and not services
trades.
Galvanised steelwork
For all steelwork including non-structural (if galvanising required) consider
implications when site welding required.
Glazing
In existing buildings, check glazing for compliance with Grade A safety
glass.
Harness points
Catwalks and rails to be provided for roof plant access and maintenance
requirements.
Mirrors
Should be in sections – full width mirrors are expensive to replace.
Not in contract work
Ensure works not in contract or works by others are clearly differentiated.

All pages in specification to be consecutively numbered.
PC sums
PC sums are generally to be avoided. Where provided ensure they are
realistic.
No PC sums to be included in trade sections (including engineering
services) of the specification.
Piano hinges
Required for joinery doors in school projects.
Preliminaries
No preliminaries clauses to be included in trades sections (including
engineering services).
Only one Preliminaries and General Requirements Section.
Reuse items
Ensure items to be removed for reuse or given to client are clearly
scheduled.
Roof falls
To be 1 more than manufacturer’s minimum requirements.
Roof sheeting
Ensure sheet gauges are appropriate.
Service trenches
Civil ‘underground services’ should be the only specification reference to
service trenches to avoid confusion.
Suspended ceilings
To be supported from web (not flange) of roof framing. Aluminium ceiling
suspension preferred.

Where evaporative cooling installed, ceiling tiles should be no larger than
600 x 600mm to avoid tiles sagging.
Termite protection
Ensure DPTI policy adhered to. Co-ordinate civil and architectural trades.
Wet area linings
Fibre cement sheet preferred over WR plasterboard.

Checklist
Box gutters
Minimise use of box gutters and ensure adequate overflows outside
building walls. Provide adequate support. Ensure adequate space
allowed for sumps in ceiling space.
Contractor’s Site
Area
Site plan to include defined, adequately specified Contractors Site Area
access points and secure site fencing.
Cross-reference
Details on architectural drawings to be consistent with services drawings.
Architectural site plans which show siteworks to be consistent with civil
drawings.
Deflection heads
Check with structural subcontractor if required under concrete slabs and
beams.
Details
Details to be worked up preferably at 1:10 not merely blown up from
1:100.
Disability details
Details and dimensions required for disability access requirements. Not
enough to provide note saying e.g ‘to comply with AS 1428.1’.

Door/Frame
junctions
Ensure junctions of door frames and partitions are well detailed.
Downpipes
Avoid downpipe offsets above ground – requires co-ordination with
structural.
Use leaf deflector rainwater heads wherever possible.
DPC’s
Ensure DPC’s at roof parapet and pole plate flashings included.
Falls
Nominate on large details ‘to comply with Ministers Spec SA.F1.7’.
Glass blocks
Ensure opening sizes are correct and frame details are drawn.
Joinery
To be detailed fully on drawings (or include standard joinery drawings in
specification).
Legends
Legends to relate to particular drawing, not merely a generic list.
Light steel framing
Stud sizes have to relate to wall height, not sufficient to state ‘to
manufacturers specifications’.
Include requirement for noggings at 1350mm centres.
Mat-wells
Not to be provided (high maintenance and OHS&W hazard).
Notes
Notes to relate to particular project, not from a generic list.
Partition
strengthening
Include details as well as specification note.
Overlays
Do not clutter one drawing with too much overlay information.
Schedules
Schedules (e.g hardware, finishes, colour, door) to be included in
specification.
Set Out
Setout buildings with accurate dimensioning especially brickwork.
Masonry cutting from poor dimensioning is expensive.
Sub-sills
Allow for drainage. Drape DPC into cavity and allow for drainage via
bottom DPC.
Windows
Opening awning sashes must be above 1900mm above paving levels for
safety.
Structural/Civil/Services
Issue
Checklist
Design contours
Design contours to be shown, not spot levels.
Formwork classes
Exposed and below ground need to be Class 2 where footings formed
below finished paving levels.
Roof mounted plant
Roof mounted plant requires appropriate access and catwalks.
Roof mounted plant needs to be supported off roof on round sections with
welded flanges to allow correct flashing.
Set downs
Slab set-downs to be consistent with architectural requirements.
Shop drawings
Structural drawings to be adequate for preparation of shop drawings.
Stormwater
Stormwater drainage to show grades and invert levels.

Work by others
Avoid the use of the statement ‘work by others’. Co-ordinate documents
to specify who is responsible for all works.
