VolunteerYourTime.Org Easy-Step Tutorial
1.)
Registration and logging-in
 Make sure your agency is properly registered and only registered once!
 Go to www.VolunteerYourTime.org and click on “Login”
 Type in your “Username” and “Password” and then click “Login”. Your username is
the email you used to sign up.
 If you are not immediately directed to your Agency Homepage, click on “MY
AGENCY’ on the black bar at the top of the page. This will direct you to your agency
homepage.
 If you forget your password, click on ‘Forgot Password’. An email will be sent to you
with instructions on how to reset your password. If you need additional assistance
with password reset, contact Pha at (608) 246-4388 or [email protected]
2.)
Updating Agency Information (description, contact information, logo, etc)
 From the Agency Homepage
 Update sections by changing information in fields and clicking on “Save and
Continue.” Some sections allow for html.
 Add additional agency managers by typing in their last name or email and selecting
the person. Note: Additional agency managers MUST have a VYT account before
they can be added.
3.)
Adding Opportunities
 This is how potential volunteers find your listing. Make it as specific and
descriptive as possible!
 Click on the “OPPORTUNITIES” tab and click on either “Add a New Opportunity”.
 Fill in the fields for your opportunity. Be as descriptive as possible. Note: Fields
marked with a red asterisk are required.
 For onetime opportunities be sure to select “Happens On” in the “Duration” dropdown
box. Note: You must select “Happens On” for your opportunity to be displayed on the
VYT Calendar.
 Always choose categories that are specific to the one particular opportunity. Too
many or too little will make the opportunity less easy to find when searching.
 You may add additional recipients when a volunteer responds to an opportunity. You
may do that by turning on this function and adding the additional recipient’s email
address. Note: This function is extremely useful if the person managing the
opportunity is not listed as an agency manager.
 Click on “Create Opportunity” to complete the process. You will receive a green
message bar indicating that you have successfully added an opportunity.
 Your new opportunity will now be displayed in the “Manage Opportunities” section.
Note: Opportunities highlighted in green are active and users will be able to see
them.
 To update a listing, click on “Edit” under the pre-existing opportunity and make
changes. Click on “Update Opportunity” to save your changes.
 New opportunities are reviewed and approved by Volunteer Center Staff within 3
business days.
4.)
Following up on Opportunity Responses
 Click on the “STATS” tab to view responses to volunteer opportunities under the
“Active Opportunities Responses” section. You can email the respondent by clicking
on their email.
5.)
Track Hours
 Select “Time Tracking”
 Volunteers now submit their hours. Notifications will be sent to agency managers to
approve hours that volunteers submitted.
 Approve or decline submitted hours by clicking the “Approve” or “Decline” buttons.
 Hours can also be added manually.
6.)
Registering for Events (i.e. Days of Caring, Global Youth Service Day)
 Follow instructions that are emailed to you. Use the links provided to you in the email
and DO NOT register projects for events using the “Opportunities” tab. Advanced
Events will be displayed under the “Advanced Events” of the agency manager
homepage.
 Select the advanced event you would like to manage if there is more than one active
advanced event. Note: If there is only one advanced event you will be directed to its
dashboard.
 Event projects are listed on the Advanced Events dashboard. Using the dashboard
you may add, edit, or remove a project.
 Registration status for projects is also displayed for agency managers to manage.
