Hine Hall and University Tower Guidelines In preparing for your event in Hine Hall, University Tower and the Kelley Executive meeting spaces it is important that you, as the meeting planner for your event, comply and keep the below listed guidelines and information in mind. Meeting Space Set-Up – Moving of tables, chairs, podiums or AV equipment is not permitted without prior approval of the Event and Conference Service staff. Your preferred furniture and equipment set-up must be finalized at least 10 business days prior to the event. Walls – Painters tape or similar non-stick adhesive (e.g.-sticky post-it paper) substances are the only items that can be placed on walls. Should other items outside the above noted be used, and there is damage to the paint/wallpaper/walls, there will be a fee assessed to repair these damages (minimum of $150). Markers – Only dry erase markers will be allowed in these spaces. Security – Locked Space – All classroom/meeting space will be locked prior to noted arrival time in your event confirmation. For the safety of your group, doors will be locked throughout your event and only opened during scheduled breaks. Since the Kelley Executive meeting rooms are in a card access area, doors should not be propped open unless prior approval has been provided or during scheduled breaks. Doorways, emergency exits, and fire equipment may not be blocked or obstructed. Decorating – Prior approval should be obtained by your Event and Conference Service representative. All display materials and decorations must be removed immediately after the event. A clean-up fee will be asses for items not removed and if meeting space is left in disarray. AV Equipment and Technical Services – Some of the meeting space within Hine Hall and University Tower comes equipped with the latest in AV technology. Should your event require additional AV equipment or technical support you would need to contact your Event and Conference Service representative at least 10 days prior to the date of your event. Should an outside vendor be needed in support of your event you will need to contact your Event and Conference Service representative for prior approval. Food and Beverage – All food and beverage provided in meeting space must be supplied and prepared by IUPUI Food Service. Currently, Chartwells is the exclusive catering partner on the IUPUI campus. Menu selections, requirements and all detailed arrangements must be received no later than 15 days prior to the event with final catering headcount 3 days prior to the event. Your Event and Conference Service representative will work with you on placing this order. With any food and beverage we ask that you respect the area and dispose of any product in the trash receptacles provided throughout the space. WIFI – Free WIFI available through AT&T that should appear in your browser window. Please select attwifi and get connected. Emergency Procedures – There are posted exit and safe areas within all campus buildings.
