In compliance of KVS HQ letter no. F.110355/01/2013-KVS/Sports/NSM-2014/571 dt. 17.07.2014, all the Principal and TGT (PHE) of Gurgaon
Region are hereby informed to note properly and act positively so that the Regional Teams of Gurgaon Region will come up with flying colours in 45th KVS
National Sports Meet (Girls) 2014.
Coaching Camp for Team Events (Girls) will be held from 02.10.2014 to 11.10.2014 at the venues as stated below.

Dr.(Mrs.) Maya, Principal, KV Karnal will be the Contingent Manager from Gurgaon Region for 45th KVS National Sports Meet (Girls) 2014.
Notes:-;
1. All the PET deputed as coach should reach the coaching Camp venue along with playing equipment and safety kit . (01) one day before the starting
of Coaching Camp. Coaching Camp will be conducted in two Session i.e. Morning & Evening. The schedule should be sent to this office for information.
2. For Individual Events/Games the camp will not be organized but the selected participants will report The Coaching/ Assemble Venue mentioned above (KV
Karnal, Hissar Cantt and Rajokri) on 11.10.2014.
3. The Venue Principal of Coaching Camp/ Assemble Venue will make necessary arrangements for Railway Reservation of to and fro
journey and transportation etc for Participants, Escorting Teachers and Contingent Manager as per their entitlement and availability
of confirmed seats so that all the participants will reach their respective venues in time.
4. The Venue Principal of Coaching Camp/ Assemble Venue will collect necessary information such as Name, Age etc for Railway
Reservation of to and fro journey and transportation etc for Participants form KVS Regional Sports Meet 2014 Venues and for
Escorting Teachers and Contingent Manager as mentioned above.
5. The escorting teacher will be sole responsible for the safety and security of students under their charge during coaching camp, to and fro journey period and
National Meet.
6. As the participants has to go for National Meet, hence they should bring two stamp size recent photos for I/Card etc.
7. The Sports Kit and Region Flag will be provided by Regional Office during the coaching camp.
Instructions for Venue Principals.
1.
The Venue Principal of coaching camp will provide the best GROUND of standard size of respective game to the coaches and
players.
2.
Also ensure that the eligibility forms of all the participants in quadruplicate should be handed over to the escort of the game.
3.
The venue Principal will provide sufficient money as advance to the escort so that they may not face any difficulty due to paucity of
funds.
4.
The venue Principal will arrange specialized coaches, if required, 01(One) for imparting coaching to the players and ensure the
participants should get best coaching. The coach/escort will be fully responsible for safety of students during coaching camp.
5.
A good and enrich food as mentioned in the Menu circulated earlier (Regional Meet) should be implemented in the mess. The same
may be pasted on the mess notice board.
General
1. All the participants, escorts, and coaches will bring TWO stamp size recent photos for Identity Card.
2. The Principal KV Karnal will prepare 12 flags of 4x3 feet of Yellow colour printed
as “KENDRIYA VIDYALAYA
SANGATHAN, GURGAON REGION” and handover same to the teams.
Expenditure norms for coaching camp.
1. Cost of consumable Sports items such as Shuttle Cock, Cricket Ball/Hockey ball & Coaches fee etc will only be reimbursed on actual
basis. (Personal kit will be brought by individual players), and other items will be purchased by the Venue Principal out of VVN
fund.
2. Transportation charges for the participants from Camp Venue Vidyalaya to play ground if applicable will be reimbursed on
actual basis.
3. Entire expenditure of Regional Meet & coaching camp will be reimbursed out of Regional Sports Control Board Fund. As there will be
morning and evening sessions for coaching, so expenditure on tent and seating arrangements should be avoided. All the expenditure
should be made following the prescribed purchase procedure in Accounts Code. The bill should be submitted to Regional Office for
payment, within 20 Days, after completion of the camp/meet.
4. Expenditure on TA/DA up to the Regional Meet venue and back to the Vidyalaya after the meet will be borne by respective Vidyalaya out
of VVN. Expenditure on TA/DA up to the National Meet Venue will be met out of Regional Sports Control Board Fund. Venue Principal
should give sufficient advance to the escorting teacher of Regional Team for KVS National Meet 2010.
5. Other contents of above referred letter will remain same.
