Plan an itinerary
The purpose of this assignment is to:
Be able to plan a long haul tour.
Scenario
The final stage of your probationary period will involve you in working in the tour planning
department of your tour operator.
You have been asked to create a multi-centre tour for Mr. Ken and Mrs. Helen Dixon who wish to
visit Australia. They plan to be away for approximately 2 – 3 weeks. This is to be “the holiday of a
lifetime” for the couple who will be celebrating their silver wedding anniversary and money is
therefore no real object!
They are quite happy to hire a car to get around, but would also like some sightseeing excursions
to be “built into” your proposals. Where possible they would prefer to stay in 4 star and superior
grade hotels as opposed to budget grade motels and wish to fly on scheduled flights travelling in
economy class.
Task 4a
Your tasks are as follows:Plan the itinerary to meet the needs of the customer.
Produce an itinerary detailing the key aspects of the proposed tour.
Produce a detailed bibliography acknowledging the different references used in your research.
Your itinerary needs to include details of the following:
Client Details

Travel arrangements: Include details of flights, check in details, name of airline, flight
numbers, class of travel, departure and arrival times, intermediate stops (where applicable).
Information and advice on transfers to accommodation should also be advised where
applicable.

Car hire: Details of pick up and drop off arrangements should be included along with the
type of car included.

Accommodation: Clearly show details of all hotels selected including addresses and type of
rooms reserved along with dates of arrival and departure.

Tour Content: The itinerary should include a daily programme of the key content of the
proposed itinerary. This should include details of activities planned including attractions that
will be visited, natural attractions, built attractions and shopping opportunities. It is good
practice on a tour of this kind to include some pre-organised tours so as the customers are
not constantly driving themselves around. The content should also take account of distances
and journey times. Remember, distances in Australia are vast and your customers will not
thank you for proposing a daily drive covering 500 miles!

You should also include information on passport, driving licence, visa and health
requirements to partake on this trip along with information concerning the procedures and
terms for alterations to the booking.
What do I need to do to successfully complete task 4a?
For Task A you must produce an accurate, detailed itinerary that includes at least four centres.
The tour should include transport arrangements between the centres, including journey times,
distances and options available. It should also include accommodation to be used en route and at
each centre, as well as the attractions/events available to the visitor at each centre. The tour has
to be constructed by you and not merely copied from an existing tour in an established brochure.
You will also be required to produce evidence of your individual research into the tour to support
the achievement of the pass grade criteria. You will therefore need to use a wide variety of
reference sources and produce a bibliography to acknowledge where these have been used.

What do I need to do to successfully complete task 4b?
The Merit (M3) grade requires that you work independently when researching and constructing
your itinerary. You must also justify why you have chosen the itinerary. Describe why you think
this itinerary is appropriate for your customers. You may wish to consider producing a table or
chart for your evidence, breaking down the components of the tour in the left hand column, e.g.
flights and transportation methods, accommodation and board basis and finally, attractions and
then in the right hand column, justify next to each component of the tour why you have chosen the
specific component.
