Age Group Coordinator: GO TO person for age group parents, also the
person notified if age group parent will miss a meet, is responsible for
supplying age group parents with swim meet event sheets for their
swimmers; assist coach and age group parents and ready bench
volunteers in replacing and reordering swimmers in relay events.
Runner:
Brings computer generated ‘scribe’ sheets to scribes in each lane for
each event and heat. Collects these sheets and brings them to computer
person to input.

Age Group Parents: Age Group Parents are responsible for getting
swimmers in by age group to the ready bench for their events and
supervising them while they are on the ready bench. AGP will be give an
event list for the age group they are in charge of in order to keep track
of each child and their events. AGP may be required to consult with the
head coach on the issue of reordering relays or adding swimmers to
relays. AGP MUST be to meets on time & MUST find a replacement if
they are going to be absent.

Assistant Manager – Concessions: Assist Concessions manager with
shopping, concession preparation prior to home meets, early morning
set-up the day of swim meets, planning for Divisional meet if we host.

Awards Party Coordinator: Responsible for coordinating end of
season party, including, ordering team medals, ordering award for
major sponsors, buying gifts for other volunteers as needed.
Responsible for coordinating Ice Cream Sunday Social portion of event
(families bring toppings and team provides ice cream, bowls, spoons,
drinks) by notifying families via email, Facebook and posting signs
about event at pool; making sure a lifeguard is present for free swim
portion of party; planning adult vs. swimmer relay or other pool games
during party. Responsible for being present at event to coordinate ice
cream social, hand out awards, etc.

Computer Assistant:
Works prior to meet and during meets with Clerk of Course, primary
computer person and coach to input swimmer meet event entries.
Assists at meets with updating event results and printing ribbon labels.
Assists with submitting meet results to NWAL weekly. Assists with
printing and posting team events sheets on Tuesdays and collecting
them on Wednesdays.

Fundraising Coordinator: Responsible for chairing a fundraising
committee that will help coordinate and carry out fundraisers during
the swim team season and throughout the year under the direction of
the swim team board. Responsible for sponsorship program and
recruiting sponsors by encouraging families to sell heat sheet ads for
home meets and soliciting sponsors as a committee; collecting ads,
turning money into swim team treasurer, compiling ads and turning
them into heat sheet coordinator in a timely fashion.

Head Photographer:
Takes pictures of swimmers at swim meets each Saturday. Uploads
photos to website for viewing and for sale. Assembles photos for slide
show at awards event.

Head Timer: Works weekly with Volunteer Coordinator to fill timer
and scribe spots for swim meets. Trains and helps to recruit timers and
scribes for swim season. Works with Volunteer Coordinator at meets to
assure that timer and scribe positions are filled.

Heat Sheet Coordinator: Responsible for working with ‘computer’
volunteer to ‘lay out’ heat sheet and run copies for home meets.
Responsible for graphics lay outs and advertisement lay outs. Work
with other team reps on divisional heat sheets.

Meet Announcer: Responsible for all home meet announcements
including, calling for events, locating swimmers, concessions
announcements, vendors and sponsors, lost and found, etc. Must be
comfortable on a microphone and must be willing to help set-up and
tear down sound equipment. Must understand event order and be able
to call events on time and communicate with the Ready Bench to keep
up with events as needed. May play music during down time.

Ready Bench Coordinator: Manages Ready Bench during home meets.
Meets with Ready Bench volunteers prior to start of meets to give info
on how we run our RB. Must be able comfortable assigning volunteers
to duties related to RB (someone to work deck, work back of RB and
take younger kids to blocks). Must be assertive and have knowledge of
how a Ready Bench is run. Must be able to keep ‘bench’ moving and
keep children in order on their bench. Must be able to use parents and
volunteers to get younger children and relays to blocks on time and in
the right lane order. Responsible for notifying Ref on Deck of no-shows
in heats.

Set-up/Tear down Coordinator:
Manages home meet set-up and tear down with small group of
volunteers. Coordinates getting canopy tents (8) out of shed and
putting them up on either end of pool, in ‘starter’ area, and in coach
area. Makes sure area near bathrooms is dry. Put ready benches in
place. Put up flagpoles and flags. Puts starter in place. Gets concession
tables from clubhouse and puts them in drive-through area; gets large
drink coolers out of concession room and put them on picnic table in
pool area. Lines 3 deck chairs up behind each block in each lane. Puts
blocks on each of pool in each lane. Coordinates putting all these items
away at end of meet. Coordinates set-up/Tear down at divisionals.

Tent Transport: Transport team pop-up tents to and from away meets
during the season. This might require Friday evening transport and will
require staying until the meet ends to transport the tents back to our
pool.

Website Manager: Responsible for updating website daily/weekly
during and prior to swim team season and as needed during off-season.
