POSITION STATUS REPORT

Navigation to the Position Status Report:





Input all the parameters (Department, Reg./Temp., Fiscal Year, Eff Date).
Use the “+” button to add additional departments.
Click Save
Press the Run button to open the Process Scheduler.
Verify the Server Name is “PSNT” or “PSNT2”. Select “Window” for Type, “PDF” for
Format, and click “OK”.
Don’t forget to save
as a Favorite.
A new tab (XML Publisher—PBHR0521_BI) will open on your screen showing the process has been queued.
Note: You can navigate to other screens or programs during this process. Once the process completes, the
PDF will appear on your screen.
The report is intended for Principals, Directors, Assistant Principals, Secretaries and those responsible for
maintaining their department’s positions. It displays all active positions assigned and can assist in determining
what actions are needed to bring staffing into alignment with allocated positions.
Use the report to verify employees are in the correct position and which regular and temporary positions are
Frozen, Vacant, or Filled.
The Report should be run…
 Just prior to contacting the District office to resolve a question or request clarification.
 To ensure accurate position management.
 At the beginning of each fiscal year to verify staff and reconcile staffing allocations.
 Anytime adjustments are made to positions.
Similar positions are grouped together. Regardless of the funding, like positions will be listed sequentially on the report.
Report Fields
POSITION NUMBER—A unique eight-digit number assigned to every position.
JOB CODE—A five-digit code associated with a specific job. Only one Job Code can be assigned to a position.
DESCR—Position Description. This description is defaulted based on the job code.
COMBO CODE—Represents the funding sources. Split Funded positions will have more than one associated combo code.
EMPLID—A unique seven-digit code assigned to each District employee.
EMPL RCD—Employee Record. This code varies when an employee has multiple jobs. The value for primary job is usually zero.
EMPL STATUS—Employee Status (Active, Leave, Paid leave of absence).
NAME—Employee name.
HOURS—Hours worked per week.
DUTY—Days worked per year.
POS FTE—Position Full Time Equivalent.
MAX HEAD—Maximum number of employees allowed for this position.
TOTAL FTE—Total FTE associated with the combo code. [Pos FTE] x [Max Head] x [Dis %].
DIS % - Distribution Percentage. The percentage of the position charged to the associated combo code (fund strip).
