Workshops requested with 6 weeks and more notice: 1.1. Please ensure that all sections of the Workshop Request Form are completed in full. 2. Workshops requested with less than 6 weeks notice 2.1. Workshops will not be accepted unless in the opinion of Sport Wales, exceptional circumstances are agreed. 3. Workshops with less than 10 working days notice 3.1 4. A workshop will be accepted with less than 10 working days notice if you have found a tutor yourself The workshop tutor 4.1 Sport Wales will be responsible for the allocation of a tutor who has been fully accredited by sports coach UK (scUK) to deliver the workshop title. 4.2 Sport Wales will liaise directly with the tutor on behalf of the Workshop Organiser. 4.3 Sport Wales will begin to search for an accredited tutor only when all sections of the Workshop Request Form are completed in full (including the signature at the end of the form). 4.4 Sport Wales cannot guarantee that a tutor will be found for your requested workshop date and therefore the date may need to be amended to suit the availability of the tutor. 4.5 Sport Wales will be responsible for paying the tutor a workshop fee and associated on costs, travelling costs (including mileage expenses) and any other expenses agreed with Sport Wales prior to the workshop. 5. The Workshop Venue 5.1. It is the responsibility of the partner organisation to provide an appropriate venue for the workshop. Each course has different venue requirements and it is expected that the partner organisations adheres to these guidelines. If the venue you are using has not been used for a previous scUK workshop you will need to fill in a ‘workshop venue checklist – see section 3 Workshop details/Workshop venue 6. Workshop attendees 6.1 6.2 6.3 6.4 6.5 6.6 7. For scUK workshops there must be no less than 8 and no more than 24 attendees per workshop (with the exception of SGPC where the maximum is 20). For runningsports, a minimum of 6 and no more than 24 delegates per workshop. The Workshop Organiser must confirm the final number of attendees no less than 10 working days before the workshop date. If the minimum number of attendees cannot be met the workshop must be cancelled. See section 9 of the Terms and Conditions for details on cancellation. The Workshop Organiser must ensure that the attendees have the relevant prior knowledge/experience before attending the workshop. The strongly recommended minimum age for attendees is 16 years (with the exception of SGPC where the recommended minimum age is 18 years unless Sport Wales have been notified and 16 -18 year olds are accompanied by a parent/guardian, coach or mentor (over 18). Delegates are not permitted to consume alcohol before or whilst attending a sports coach UK workshop. The Tutor will ask the delegate to leave the workshop if they are found doing so. Ordering/delivery and the payment of workshop resources and paperwork 7.1 7.2 All resource orders must be received no less than one week before the workshop date in order for delivery to be guaranteed. The Workshop Organiser must supply at least one resource per participant attending the workshop. Page 4 of 5 7.3 7.4 7.5 7.6 7.7 8. Workshop certificates 8.1 8.2 9. Resources can only be delivered to the Workshop Organiser, their organisation or a representative specified by the Workshop Organiser. The resources will not be delivered to the tutor unless a tutor is organising as well as delivering. The Workshop Organiser is responsible for ensuring that the resources are available for the workshop tutor at the venue. Resources will be sent by Parcel Force and will require a signature. Goods signed for by the Workshop Organiser’s organisation become the responsibility of the Workshop Organiser. This order will be considered as delivered successfully once a signature is received. Workshop paperwork (evaluation forms and attendance register) will be emailed directly to the workshop organiser. Certificates will be sent in the post. If Sport Wales run out of certificates you will have a choice whether you would like certificates sent directly to the candidates (on receipt of the attendance list) or whether you wish to receive them first and send them out yourself. Resources ordered with less than five working days notice will not be guaranteed delivery in time for the workshop. A despatch note will be attached to the resource box. The goods detailed on the despatch note are what will be invoiced for. If there is any discrepancy between the orders, what is delivered and the despatch note, please contact Sport Wales as soon as possible. The invoice will be sent separately. Certificates are given out to the participant at the end of the workshop (please make sure names are printed on them). If there are not enough certificates been provided at the workshop a note will need to be made for the workshop organiser to contact Sport Wales to request more. The Workshop Organiser will then need to send the certificate onto the candidate/s that did not received one at the workshop. The Workshop Organiser will deal with queries relating to certificates. Workshop Cancellation 9.1 If for any reason the partner organisation is forced to cancel the workshop, Sport Wales and the workshop tutor should both be advised as soon as possible so that alternative arrangements can be made. If the workshop is cancelled within seven days from the workshop date the partner organisation will be invoiced a cancellation fee of £30.00. If the workshop is cancelled within two days then a full workshop fee will be charged. This will be paid to the tutor, who may have had to refuse other work on the workshop date. If resources have already been ordered the partner organisation will also be responsible for paying all resources ordered. Sport Wales cannot refund for unused workshop books. Declaration 1. In addition to the above costs, a postage fee of £3.50 - £12.50 is charged depending on how many resources are ordered and where they are being delivered. 2. The resource cost is per person. Where resources are available for the workshop, one per person must be supplied. Please sign and date the form below. Request forms will not be accepted without this section completed.
