CLERK TO TRUSTEES JOB DESCRIPTION/SPECIFICATION Page 1 of 2 Last Updated: 7/29/2017 JOB DESCRIPTION/SPECIFICATION DIRECTORATE: NASBM Board of Trustees JOB TITLE: Clerk to Trustees Date: January 2013 Per Hour £20 (which includes travel to and from central London venue) REPORTS TO Chair of Trustees 1. PURPOSE OF JOB: The purpose of the role is to service the Trustees of The National Association of School Business Management (NASBM). This includes preparation and distribution of agenda/minutes, attending meetings of the trustees in London, dealing with general correspondence and maintaining records of attendance and meetings etc. 2. MAIN RESPONSIBILITIES, TASKS & DUTIES i To Clerk all statutory meetings of the Trustees as required. Usually 3 per year but more may be needed. ii Take notes at meetings including clerking and disciplinary panels for staff, and produce minutes. Distribution of minutes and supporting papers of Trustees’ meetings, liaising with the Chair over the minuting of sensitive issues. iii Liaise with Chief Executive Officer (CEO)\Chair of Trustees (COT) regarding preparation of agenda\supporting papers, ensure standard items appear on the agenda as appropriate, e.g. the appointment of the Chair and Vice Chair and any annual presentation of any audited reports. iv Ensure that appropriate information is issued to all Trustees within the time scales laid down. v Advise upon the conduct of the Trustees’ meetings in accordance with the Regulations. To deal with all correspondence received in consultation with the Chair of Trustees and/or the CEO as appropriate. vii To keep a record of such meetings and correspondence and to follow them up in readiness for a report to subsequent Trustees’ meetings, liaising closely with the Chair and CEO throughout. Keep a Trustees’ attendance record at the Trustee meetings. viii To ensure that any formal complaints are considered by the Trustees in accordance with the approved complaints procedure ix To maintain a register of interests for trustees. Working within clearly defined procedures with minimal opportunity for discretion, generally discretion is made within a range of set alternatives. 7. RESOURCES May include a laptop which would remain the property of NASBM. 9. KNOWLEDGE AND SKILLS Experience of taking minutes Keyboard skills Ability to produce accurate minutes on word processing software Health and Safety - The postholder is required to carry out the duties in accordance with the Council Health and Safety policies and procedures.
