JOINT MEETING:
1. APOLOGIES FOR ABSENCE.

2. APPROVAL OF PREVIOUS MINUTES.

3. MATTERS ARISING FROM PREVIOUS MINUTES.
People have been asked to get the sponsor banners sorted out within the next two weeks.
Updates to be sent to David Lushington.
If coaches want to put in a bulk order with Ram, Tim Harwood has suggested they get it in
soon, and let him know.
TV Screens have now been installed.
80th Anniversary has been organised.
David Lushington pointed out that previously published membership figures are incorrect and
need amending:
U7s – U12s are currently paying £50 and will go up by 10 to £60 per year.
U13s - U18s

Parents who have an additional child pay £10 less per additional child.
We are looking to have a day when all the coaches will turn up to sort out: CRB applications,
RFU coaching coursed required and what kit they have to hand down to other age groups. Possible
dates Sunday 20th May.
Club Database problems have been sorted out and we are nearing an position where we will
be able to print off an excel file of the whole club membership.
CRB checks are going to be chased up so that we have an up to date list before next season.
Pitch maintenance is under way. Harrowing and tyne slicing is under way in the winter/spring
months with seed, fertilise and put down weed killer. All information is to be given to Tim Harwood.
4. AOB.

SENIOR MEETING:
1. MATTERS ARISING IN PREVIOUS MINUTES RELATED TO SENIOR COMMITTEE.
2. CORRESPONDANCE.
RFU sent through an advert for sponsorship opportunity for “Young and Active” magazine.
RFU notification about new times that the “Rugby First” help desk is open.
Food Hygiene rating has come through. It isnt great but it is not 0! We have stuff to work on but at
least we can trade food again.
3. TREASURER’S REPORT:
a. BAR
We have enough to cover us over the summer. Money is flowing in, Mickey and Tracey are happy
with the financial status. Tickets being sold for octofest and club dinner. Electrics are being booked
in to be done next month.
The rest of the multimedia installation is still ongoing. Disabled Loo, Bar area will be finished by the
end on the month.

4. TEAMS REPORT
a. 1st XV

U17s will be coming through next year and we will be going down a league which is more
comfortable.
c. RECRUITING & RETENTION OF SENIOR PLAYERS
We are getting messages and emails which get responded to by either one or two of the club coach,
1stXV Captain and 2ndXV Captain.
In addition to the fun in the park day which is aimed more at youth members, we do not have
anything planned for the immediate future. Suggestions of a flyer drop at the local pubs has been
mentioned and there is already a letter going out to 600 Army families about the club.
Paul has suggested that we have a loyalty policy for players who have played 50 th,
100th,200th game for the club.
5. MEMBERSHIP REPORT
Everybody has paid who was on the list. 30 paid up members. Plus 5 social. Definitely much better
than last year. Possibly 8 more as well but waiting for members rep report.
6. SOCIAL REPORT
South Abingdon Residential are renting the clubhouse.
AMEY are looking to hire. Also looking for us to provide a BBQ for them.
Nathan (Football Club) also looking to hire.
For the summer we are looking to organise BINGO nights, Poker competitions, Northern Soul
night and other such fun events to keep people down. Several events just waiting for the dates to be
finalised. American Football team are also going to be down. Mickey reports the relationship with the
club members of the American Football team is meshing really well. We are also going to provide
them with their own notice board. The intention is for the club to NOT be closed for the summer.
Tim is looking at getting an event against another town sports club.
7. 7s COMMITTEE REPORT
Emails have been sent out to all clubs
7 confirmed clubs so far and 6 interested but not confirmed Army are planning to bring a team. The
Under17s are also looking to bring a team down.
St.Johns still to be invited although Tim and Josh Harwood are both fully qualified first aiders and
willing to provide first aid for the event. Tracey reports on a new website that promotes 7s
competitions.
8. AOB
Steve Rusk has been down to assess the water tank status and will report back.
Ollie suggested organising some work parties. But Tim says that there are no jobs in particular to
deal with this summer.
