Members making written refund requests prior to or the day of the annual Parents’ Meeting,
but not later than the second Sunday before Memorial Day in the event that the Parents'
Meeting is either later or not held will be provided a full refund
Members making written refund requests after the second Sunday before memorial day will be
processed if:
a. A wait listed family/swimmer is available and accepts the vacancy (ies) to be created
b. In the event a vacancy cannot be filled die to the lack of wait listed families or the affected
group is not a capacity, no refund will be provided until the vacancy can be filled
c. In the event a vacancy is filled by a pro-rated mind-season replacement, a partial refund
will be made
d. No checks in the category will be processed prior to 15 July of the swim year
e. In the event a swimmer swims for another RSL team during that season, after the second
Sunday before Memorial Day, no refund will be granted to that family, whether or not a
wait listed swimmer(s) fill the vacated position
No refunds will be granted for requests made after 30 June of any season
Exceptions:
a. Full refunds will be granted for swimmers who, by coach decision, and Board of Director
concurrence, are unable to meet the swim skill requirement for membership (safety
exception). This generally is determined to be crossing the pool at least one time in any
stroke (freestyle, backstroke, butterfly or breaststroke).
Members may present their refund request in front of the Board of Directors at any of their
standard meetings. Special meetings will not be specifically granted for refund
hearings/discussions
Verbal requests for refunds will not be granted
Written requests include those mailed to the team PO box and emailed requests sent tot he
team Secretary or other Board member
Examples:
a. Example 1:
i. Fact Pattern
1. Memorial day is may 29, 20XX
2. No parents meeting is held
3. Second Sunday immediately preceding memorial day is may 21, 20XX
4. Written request for refund is made may 25, 20XX
5. One child in girls 9/10 year olds (full with wait list of 10 names)
6. One child is in 15+ year old boys (group has only 5 slots filled)
7. A waitlisted 9/10 year girl was found to take the vacated position
8. Swimmers did not swim for another RSL Team during that season
ii. Interpretation
1. The written request was made after the cut-off for full/immediate refund
2. A “second swimmer fee” refund will be processed for the swimmer that is
replaced
3. Check will be issued on or about July 15
b. Example 2:
i. Same facts as example 1 except:
1. Swimmers swim for Team X of the RSL in the same season
ii. Interpretation:
1. Since the swimmers violated 2e above (swimming for another RSL team in
the same season after cut-off date), no refund will be granted
c. Example 3:
i. Same facts as example 1 except:
1. Written notice provided May 12, 20XX
2. Swimmers swim for team X of RSL in same season
ii. Interpretation:
1. Full refund for both swimmers made as early notification is provided prior to
the cut-off date. Early notification does not affect refund relating to
swimming for another RSL team for that season.
