‘15–’16 Assessment Plan WEAVE Data Entry Guide This document is designed to outline the basic processes needed to login to WEAVE and enter an assessment plan. This is not intended to be the final answer to all questions related to WEAVE usage. Context-sensitive help can be achieved in WEAVE at any time by clicking on the “Help” icon and selecting “Help for this Page.” Additionally, the Quick Start Guide and Tutorials are helpful if you need additional assistance. Contact Nancy Deichman or Spence Spencer in the Assessment Office for assistance as necessary. I. Logging In a. Go to: app.weaveonline.com b. If requested, enter “OKBU” in the Abbreviation box and click “Continue” c. Type in you ID, which is your OBU e-mail, and a customized password. i. If you cannot remember your password, try the reset function. 1. When you click “Reset Password” it will send you a temporary password to login. 2. You will immediately have to change your password. Although WEAVE does not specify the rules on the password change screen, your password must have: “Minimum 8 characters - Maximum 32, requires Mixed-case, requires one-or-more Numbers, requires oneor-more non-alphabetic/non-numeric characters.” 1 ‘15–’16 Assessment Plan WEAVE Data Entry Guide ii. If you cannot gain access, contact Nancy Deichman or Spence Spencer and we will check your account settings. II. Selecting the Cycle and Program a. Using the dropdown menu icon, select the appropriate year range for the data to be entered or modified. b. Also select the program you desire to work in. You should only see programs to which you have been assigned responsibility. If you do not see a program you need access to contact Nancy Deichman. 2 ‘15–’16 Assessment Plan III. WEAVE Data Entry Guide Mission or Purpose a. Use the “Assessment” tab near the top of the screen to select “Mission/Purpose” b. Click “Add” toward the lower left corner of the screen to open the editing feature. c. Make necessary changes. d. Make the data “Final” e. Select “Outcomes/Objectives” from the “Assessment” tab in WEAVE. b. You will then see a screen that looks something like this, with Objectives and Measures all listed on a page. 5 ‘15–’16 Assessment Plan WEAVE Data Entry Guide c. Click “Add” to make a new Objective. d. You should see a screen that looks something like this: e. Fill in the following blanks or check the following boxes: i. Condensed Description – A few words that give the gist of the Objective for quick review. ii. Description – This is the text of the Objective that explains what is desired. iii. Student Learning? – Click the radio button for “No” (This is not used for budget units because these aren’t student learning objectives.) 6 ‘15–’16 Assessment Plan WEAVE Data Entry Guide f. Select the Institutional Priorities and Strategic Plan ties that relate to your objectives. g. For “Entry Status,” Click the “Final” radio button. h. Ensure “Active through Cycle” has “Keep Active” selected. i. Click “Save.” 7 ‘15–’16 Assessment Plan V. WEAVE Data Entry Guide Measures and Targets: a. If you are coming directly from the SLO edits, you should have returned to a screen that looks something like this. (If not, select “Measures and Findings” from the “Assessment” tab at the top of the screen. b. Click “Add Measure” to add a new one. 8 ‘15–’16 Assessment Plan WEAVE Data Entry Guide c. If you are creating a new measure, you will have to select the type of measure it is. For Objectives, you should be relying on Administrative Measures. Use your best judgement as to which is the best category, but don’t stress about it. (We can change it if necessary.) 9 ‘15–’16 Assessment Plan WEAVE Data Entry Guide e. Type in a condensed description that gives the gist of the measure. (E.g., Applicant Satisfaction Survey) f. Enter a description of the measure that provides the following details: i. Measure description. This should explain what the tool for measurement is and how it will be collected. g. Next, identify which Objective(s) the measure will support. h. NOTE: Each Objective must be supported by at least one measure, but one measure may support more than one Objective. i. Ensure “Active through Cycle” is “Keep Active” j. Select “Final” for “Entry Status” k. Click “Save.” 10 ‘15–’16 Assessment Plan VI. WEAVE Data Entry Guide Editing or Creating Targets a. If you are not coming from the previous section, then: i. Select “Measures and Findings” from the “Assessment” tab at the top of the screen. ii. Then click the triangle button next to the measure the target you will be creating or editing will support. b. If you are moving on from the previous section, you should see a screen that looks something like this: 11 ‘15–’16 Assessment Plan WEAVE Data Entry Guide c. Next you will click “Edit Target” or “Add Target” depending on the desired operation. d. Enter the details of the target: i. This should be particular and achievable. e. Select “Final” from “Entry Status.” f. Click “Save” VII. WEAVE has additional features that are not discussed here. The intent of this guide is to help individuals navigate through the Budget Unit Assessment Plan entry or editing process. Further guidance will be provided at a future date. However, most of the operations in WEAVE are fairly intuitive if the user is patient. 12
