2018 SPECIAL OLYMPICS MARYLAND NATIONAL GAMES – MANAGEMENT TEAM Volunteer Head of Delegation (HOD) Overview The Head of Delegation for Team Maryland, as part of the Special Olympics Maryland Management for the 2018 USA National Games, will serve as the leader of Special Olympics Maryland for the National Games. This position will report directly to the Staff Lead from Special Olympics Maryland and serve as the liaison between Special Olympics Maryland and the Games Organizing Committee. This position will oversee all aspects of the National Games and lead the Management Team of Special Olympics Maryland. The Head of Delegation will focus on communication to all delegates of Special Olympics Team Maryland during Pre-Games, Games-time and Post-Games. The Head of Delegation is vital to the coordination during the planning phase and will be relied upon heavily with key areas of planning such as; management team selection, registration processes, logistical operations, training camp management, on-site oversight of Team Maryland and all other duties to ensure that Team Maryland meets all deadlines and is recognized by the Organizing Committee as a top State Program. This individual will lead Team Maryland with the highest levels of integrity and dignity as a representative of Special Olympics Maryland. Qualifications The Head of Delegation must meet the minimum qualifications for their application to be considered. The minimum qualifications set forth by Special Olympics Maryland are as follows: A minimum of 2 years of experience volunteering with Special Olympics athletes. Must be a minimum of 21 years of age by May 15, 2017. Must be a registered and current Class A Volunteer (in good standing) within your Area/County Program and have taken Athlete Protective Behaviors. Must abide by the Team Maryland Code of Conduct. Must be willing and able to serve as an athlete chaperone when needed for all Team Maryland activities leading up to and during the Games. Must have strong organizational and communication skills. Main Responsibilities Serve as the liaison between Special Olympics Maryland and the Games from the Games Organizing Committee on all aspects of the 2018 National Games. Communicate all information to members of Special Olympics Maryland in a timely manner, and act as the point of contact for all management team members and Special Olympics Maryland. Provide management team members with all information on the National Games that is disseminated through the Games Organizing Committee. Manage and oversee the training camp for Team Maryland – 2-3 day camp in the summer of 2017. Conduct meetings with Team Maryland as needed in the planning phases, and daily updates during the Games on-site. Ensure the coaches and other leadership from the Management Team have the safety of all delegates in mind with all decisions. Distribute and ensure Team Maryland delegates receive the regular updates regarding information from the National Games. Ensure all delegation members receive the registration information and materials, complete the processes and submit the registration in a timely manner. Return all registration materials to the Games Organizing Committee and Special Olympics Maryland. Confirm that all delegation members attending the National Games are officially registered and will receive the proper credentials. Ensure that all travel and accommodation arrangements have been made for each delegation member. Handle all of the questions and phone calls from Special Olympics Maryland delegates (with delegation to other management team personnel) and act as the point of contact for the delegation members Pre-Games, Games-Time and Post-Games. Gather any questions or concerns that the delegation members may have, follow-up with the Games Organizing Committee to receive answers and respond to the delegation members in a timely manner. Attend the Head of Delegation meeting(s) leading up to the National Games – this will potentially include; a site-visit to the host city of Seattle, WA, webinars, conference calls, daily meetings during the National Games and all other forms of meetings required as needed. Keep and update a list of FAQ’s for delegation members and communicate with the Games Organizing Committee. Be available to assist delegation members during the National Games. Undertake any other duties as appropriate and assigned by Special Olympics Maryland. Complete an After-Action Report (AAR) at the conclusion of the National Games and submit to Special Olympics Maryland. Compile of list of contact information for each delegate (addresses, emergency contacts, hotel information, email addresses, phone numbers, etc.). Oversee the coordination of delegate members with arrangements pertaining to transportation, housing, travel, rental vehicles, equipment, etc. – with assistance from other personnel from the Management Team. Ensure that all delegates understand the roles, responsibilities, expectations of Team Maryland Pre-Games, Games-time and Post-Games – including the Code of Conducts and other agreements. Time Commitment The demands of the position include a 2-3 day training camp in summer of 2017, meetings as needed from 2017 – 2018 and July 1-13 of 2018.
