Dear family,
We are delighted that you have chosen to join our YMCA Mullion family and look forward to
getting to know your family better as we set out on this adventure together. This hand book will
provide you with the “nuts and bolts” of how the nursery works. Please let us know if we can
improve upon this (what else would you like to know as you settle in?). Like parenting, teaching is a
journey. We are still learning and growing too.
On behalf of everyone at the Nursery and the YMCA we wish to welcome your family.
Communication and information
Your involvement and communication with us is very important. The partnership between you, the
parents or carers, and us the staff is vital to making our time with your child the most enjoyable,
valuable and successful that it can be. We encourage your questions, concerns and ideas. Staff are
available to listen and to feed back to you at the beginning and end of each session.

Creating a link between home and nursery
Parent’s and Carer’s Group
Why not join the Friends of YMCA Mullion Nursery? The
“Friends” are a small group of parents who meet two to three times a
term to discuss ways of raising funds for our Nursery. Their first aim
is to purchase equipment and provide experiences which will enhance
the children’s already enjoyable time at our nursery. They are a
friendly, fun group and always welcome suggestions, support and new

Treasures
We encourage the children to share their discoveries of the world with us and welcome
additions to create interest areas. These might be natural objects found on family walks; pine
cones, bluebells or moss from the woods, shells, rocks or post cards from a seaside visit or cultural
artifacts or any other items which tie in with our room projects or represent the children’s
emergent interests.
Talents
If you or a family member has a particular career, talent, interest
or cultural background that can be experientially (and appropriately!)
shared with the children please let us know. For example: We welcome
exploration through music, songs, dancing, baking, celebrations or crafts.
We also welcome visits in cultural clothing and uniforms. (E.g. Perhaps
Uncle or Aunt would be willing to come and read a story about fire
fighters while wearing his/her uniform!)
Open door policy
We have an open door policy for parents and you are welcome to join in with us at any time.
We also invite you to attend a variety of festivals, special events, and parent’s evenings or perhaps
you’d like to join us on your child’s birthday.
Children’s learning
Our Practitioners record observations about how the children play, socialise, explore and then use
this information to plan experiences which will promote their development. We create a “learning
journey” for each child, a form of scrap book all about your child’s nursery development. It
includes photographs and art work as well as our written observations. These are available for
you to look at any time. We encourage you to add your own observations and comments here
too. We provide “Wow!” slips so you can write notes about anything
special your child has done or said or simply as a way to share what
has happened at the weekend! These might include developmental
milestones or be shared information about a visit or experience. This
creates a wonderful shared memento of your child’s time at nursery
which is yours to keep when your child leaves nursery for school.

Newsletter
We offer a regular newsletter. We appreciate your perspectives and experiences so if you have
any tips, recipes, child friendly recommendations of local amenities etc. we would love to be
able to share these with other parents. Simply write your offering down and mail it in the
suggestion box. Don’t forget to write your name so we can give you credit and recognition.
Our Wish Tree
As well as a suggestion box we have a Wish Tree in our entry way. This identifies some of our ideas
to improve the nursery and in particular experiences and outcomes for the children. Please add
your own suggestions and those of your child.

From time to time parents ask us to make book recommendations.
With this in mind we, as parents and teachers, have created a
recommended reading list which we have found to be very supportive
in the challenging but wonderful mission of being with young children.

CLOTHING
Children’s clothing needs to be simple and comfortable to maximise their play experience and to aid
independence. We recommend dressing in layers to accommodate our ever changing climate. Clothing
that is easy for them to manage will help them develop independence skills when using the toilet,
changing or getting ready to go outside. Children are likely to get wet and dirty on many occasions (It’s
all part of the Fun!) so, please make sure s/he always has plenty of spare clothes. We use paint and
glue often and while we do provide protective aprons, nothing works 100% effectively to meet a child’s
explorative needs. Please do not send your child to nursery in clothes that are for special
occasions. All clothing should be labelled.
FOOTWEAR
Children like to run, climb, jump and roll. Please ensure that your child’s
footwear is suitable for such play (flip flops can be a hazard) and for the
changeable weather. Please make sure shoes are labelled too; you’ll be amazed
at how many pairs can be the same make, size and colour!
HOME TOYS
Home toys need to stay at home! The only exceptions are relevant items for sharing, the interest
table, special projects and essential comforters and transitional objects.
SUNSCREEN
Please ensure that children arrive with sunscreen on during spring and summer months. Hats and long
sleeved loose clothing made of natural fibres are also excellent for additional protection. Sunscreen
can be left at nursery or brought in daily. Again this should be clearly labeled. Please ensure you have
given your signed consent for staff to apply the sunscreen.

Housekeeping Notes
(terms and conditions outlined)
This section describes both nursery staff and parental responsibilities.
For full details please ask to read our policy handbook available in the welcome area.
PARKING
Please be considerate and alert at all times when arriving at nursery, to ensure the safety of
everyone. During The Primary School pick up and drop offs it can become quite busy in this area. We
have permission to use the post office car park if the spaces adjacent to nursery are full.
SETTLING IN
We want children to feel safe, stimulated and happy in our nursery and to feel secure and
comfortable with our staff. We also want parents to have confidence in both their children's well being
and their role as active partners with our staff. We aim to make our nursery a welcoming place where
children settle quickly and easily because consideration has been given to the individual needs and
circumstances of children and their families. In the weeks leading up to your child’s first day, we have
an expectation that whenever possible the parent, carer or close relative, will visit with their child
for part of these sessions, gradually taking time away from their child, increasing this as and when the
child is able to cope. We offer a limited number of such sessions (up to 4 hours) free of charge.
(See settling in policy) We reserve the right to insist that a parent or named carer stays with their
child if we feel s/he finds it too distressing to be left. Similarly Practitioners may advise when to leave.
YOUR KEY PERSON
Every family is assigned a “Key Person”. Please make sure you know who your key person is!! The
whole team is here to help you but this will be your special named Practitioner who will work most closely
with your child, especially during the settling in process and for any personal care routines. It has been
proven that children flourish when they are able to make secure attachments with adults and we
find this system works well to enable this to happen.
SELF REGISTRATION
We operate a child friendly self registration system using labels with names and photographs to
encourage children to develop a sense of identity as part of our nursery community and to develop
familiarity with their written name. Please remember to support your child do this each day. We also
request that you use the daily registration sheets provided to note the time you drop your child(ren)
off, pick them up and to record who will be collecting your child. Please be careful as you open
and close doors; not just to ensure that children’s fingers do not get caught but also to prevent them
going out. We request that parents do not let each other in as it is difficult for you to judge who
should have access to the children. Please let leading Practitioners open the door to other adults.
PICKING UP & DROPPING OFF
Many children arrive happily at nursery and quickly settle in. However, sometimes families will need our
support to help their child transition from home and into our care. We endeavour to make everyone feel
welcome and valued and to do our best to help children settle into the nursery routine. Knowing
children’s likes and dislikes and making every effort to develop a close bond with each child and their
family will help the process. Please do make sure that you say goodbye to your child, even if this
causes tears. This helps the child develop a routine and understanding about what is happening. When

parents simply disappear, children are likely to become more insecure. Children’s emotions are real and
we must respect them as authentic.
Once you have arrived to collect your child it is assumed that you now take responsibility for him/her.
Please be prompt at pick up time. No matter how wonderful your child’s day
has been s/he is ready to return to your loving care at the end of the day or
session. Children require rhythm and consistency in their lives and we strive to
provide this. Please let us know at the earliest moment possible if you know you
are going to be late so that we can be prepared. Late pick-ups may affect our
legal ratios as well as affecting the individual children concerned.
If you are experiencing difficulty in reaching us on time please call Linda on
01326 241 033. Please note that there is an additional charge for late pickups, although exceptional circumstances will be considered. If your child care
needs change let us know. We may be able to help.
For the safety of your child only named persons you have identified in our recording systems will
be allowed to collect your child (See Arrival and Collection of Children Policy). Parents may add
named carers to or remove them from their list at any time; this must be done in writing. It is
essential that the identity of all “Named Carers” can be easily verified by our Practitioners. In
order to achieve this we suggest that their photograph is kept on file or that they are able to produce
photographic identification. For this reason we ask you to share our collection procedure with all
named carers so that they are not surprised if we ask them to show us I.D.
Please make sure the gates are closed as you enter and leave.
CONFIDENTALITY
We have a strict confidentiality policy and ask that all team members respect any information you
provide as personal and privileged. (See Documentation, Information and Confidentiality Policy)
However, we cannot be held responsible for any information which your family members or your child
chooses to share with other parties. It is also important to respect the confidentiality and wishes of
other parents, many of whom do not wish their children’s photos or video to be on the internet. At
Nursery events such as our Nativity we ask that you do not publish any material which includes
children other than your own on the internet (this includes social networking sites such as Facebook)
as the Nursery has no control over these images once they are in the public domain.
PARENTAL RIGHTS AND RESPONSIBILITES
At registration you provide information about who has legal rights of access to and responsibilities for
your child. It is a legal requirement that we gather this information. To clarify what this means:






Birth mothers always have parental rights/responsibilities
Father’s rights are protected when:
They were married to the child’s mother when the child was born
They jointly adopt a child
The parents jointly register the birth (both names appear on the birth certificate)
The parent has formed a parental responsibility arrangement
They are given parental responsibility by court order.

Where there are parental disputes about access to children we insist that these are resolved off
site. However, in the interests of your child it is essential to communicate well with us. Legal
documentation must be provided as evidence if a parent is legally banned from having contact with their
child e.g. Court Order. We are powerless without this. All parental rights regarding your child and the
nursery remain in place without this i.e. Open door policy.
WHAT HAPPENS IF NO ONE ARRIVES TO COLLECT MY CHILD?
In the event that a child is not collected by an authorised adult at the end of a session/day, the setting
puts into practice recommended procedures. These ensure the child is cared for safely by an
experienced and qualified practitioner who is known to the child and that s/he receives a high standard
of care in order to cause as little distress as possible.
THE PROCEDURE WE FOLLOW:
-
The Manager and/or Deputy are informed. The registration sign in sheet, nursery diary and staff
message book are checked for any information about changes in normal collection routines.
Office staff will be consulted about any phone messages.
-
If no information is available, parents/carers are contacted at home or at work. If this is
unsuccessful, the adults who are authorised by the parents to collect their child from the setting
- and whose telephone numbers are recorded on the Registration Form or in subsequent letters
from parents - are contacted. All reasonable attempts are made to contact the parents or
nominated carers.
-
The child does not leave the premises with anyone other than those named on the Registration
Form and on the completed collection form. If no-one collects the child after one hour and there
-
is no-one who can be contacted to collect the child, we apply the procedures for uncollected
children as follows.
-
We contact our local authority. The child stays at nursery in the care of two fully-vetted
workers until the child is safely collected either by the parents, an authorised person or by a
social worker; Staff will verify the identity of these persons before releasing the child into their
care.
-
Social services will aim to find the parent or relative if they are unable to do so, the child will be
admitted into the care of the local authority. Under no circumstances are staff to go to look for
the parent, nor do they take the child home with them.
-
A full written report of the incident is recorded in the child's file and the incident book. Ofsted
will be informed . Depending on circumstances, we reserve the right to charge parents for the
additional hours worked by our staff.
ILLNESS
Childhood illnesses are fairly common as children are still developing their immune
systems. It is not unusual for children attending nursery for the first time to
initially become ill more frequently as they are exposed to a greater variety of
germs. However, children must be well enough to attend nursery and play in
order that we may care for them. Children who are uncharacteristically
listless, have a temperature over 38C, sickness, diarrhoea, or who have an

infectious disease need to be cared for at home in order to protect all children, parents and staff.
Some illnesses have an exclusion period e.g. conjunctivitis, chicken pox. (See illness and exclusion policies
for full details). If a child becomes sick at nursery we will contact parents immediately and, with the
welfare of all children in mind, ask that you collect him /her as soon as possible. The child must be
fully recovered before returning to nursery and with symptoms such as a high temperature, diarhoea
or vomiting having stopped for a full 48 hour period from the last episode.
Ideally children will receive their medication at home. However, should children require medication
during nursery hours, please let your key person know. We can only give medication which your
child has already been receiving for a 24 hour period at home immediately prior to the request for
us to administer it (with the exception of teething gel and emergency medication such as asthma
inhalers). Parents must be able to confirm that during this time no allergic reaction was suffered.
All medication must be prescribed (e.g. by the doctor) although we can administer non prescription
medication (pharmacy recommended but not homeopathic) for teething pain when there is a
legitimate need. Parents must complete and sign appropriate forms from nursery before we are
able to administer any medication (See Administration of Medication Policy for greater detail) This
includes items such as teething gel. The only exceptions to the daily forms are if your child is on a
course of medication or if s/he has a long term medical need requiring regular or occasional medication.
Medication must be in its original container, in date and with the label clearly readable. If you
have given any medication to your child already please acknowledge this on our administration form
to ensure that there is no accidental over dosage. Please make sure you attach a dosage spoon to
the medication.
If your child has a diagnosed medical condition (e.g. epilepsy, asthma) please consult us and jointly we
shall complete a care plan to ensure that we fully understand your child’s needs and will therefore be
able to ensure that we meet their welfare needs.
SAFEGUARDING: HEALTH, SAFETY, ACCIDENTS AND CHILD PROTECTION
We take all precautions possible to ensure that our environment indoors and out is a healthy and safe
place for children to be. However, despite careful supervision, proactive interventions, risk assessments
and completing daily health and safety checks, sometimes accidents do happen. We aim to ensure that
children are comforted and the injury is swiftly and appropriately dealt with by trained
Practitioners with minimal upset. Parents are informed about any accidents which happen and we ask
that you sign our accident form in acknowledgement. Following any kind of accident staff unobtrusively
observe the child concerned and respond and report if they have any on going concerns. It is
recommended practice that children are closely observed for a 12 to 24 hour period following any
head injury. If we inform you of any bump to your child’s head we advise noting of the time of the
accident. During this “window” causes for concern include: increasing
drowsiness, worsening headache, confusion or strange behaviour, loss of
consciousness, 2 bouts or more of vomiting, weakness in the body e.g. arms, legs,
dizziness, loss of balance, visual problems, fluid leaking from the ear, unusual
breathing patterns. In the case of a serious accident we shall inform parents
immediately and take appropriate action. In the unlikely event of the parent
not being available a senior member of staff will if necessary accompany the
child by ambulance to hospital.

Parents are also requested to inform their key person of any injuries at home at the start of each
session. We follow recommended procedures for good practice for child protection by recording this, on
our “lumps bumps and bruises” form. We fully understand that children fall, bump and scrape
themselves during play and that some are more prone to accidents than others and recognize that an
injury is in no way necessarily a sign of abuse. This procedure protects our staff, the children and also
helps key persons to be sensitive to children’s health status on a daily basis. If you have any child
protection concerns please contact Linda who is our named Child Protection Officer (or Sharman,
who is her Deputy). Please note that as carers we do have a legal obligation with regard to child
protection issues to follow up concerns and make referrals and share information where there is
justifiable cause. Naturally, as parents, you will be our first point of contact in the majority of
situations where there is concern. It is not our role to cause conflict but to help, acting in the best
interest of children at all times. Please read “What to do if you’re worried a child is being abused”
(available in the welcome area) and our Safeguarding Children Policy for further information.
WHAT WOULD STAFF DO IF A CHILD WENT MISSING?
The welfare of the children is paramount at all times and we take every effort, consideration and
precautionary measure possible to ensure that children are safe and well cared for. We recognise the
importance of knowing what to do if a child is suspected as missing and ensure that the staff know
exactly what to do in the event that a child is suspected as missing to ensure that s/he is found as
quickly as possible.

The person in charge will carry out a thorough search of the building and garden.

The register is checked to make sure no other child has also gone astray. Doors and gates are
checked to see if there has been a breach of security whereby a child could wander out.

The person in charge talks to staff to establish what happened.

If the child is not found the parent is contacted and the missing child is reported to the police.

The incident is recorded. An investigation will be carried out.
BEHAVIOUR
We recognise that children need simple, clear and consistent boundaries for their own welfare and
development and that of others. We aim to ensure our practitioners have a good understanding of child
development and a toolkit of positive strategies. Our behaviour management policy focuses on the
following areas: 1) The responsibility of the adult 2) Understanding the reasons for undesirable
behaviour. 3) Promoting a positive environment & employing preventative measures and 4) effective
strategies for managing undesirable behaviour. Practitioners keep records about any behaviour which
concerns them in order to help build a clearer picture. Naturally these are shared with you and if the
behaviour becomes persistent we work on a plan of action together to provide support.

EQUALITY OF OPPORTUNITY
We aim to provide an atmosphere where every family will feel welcomed and valued and endeavour to
promote the equality of rights for everyone and challenge stereotypes. This is reflected in our toys,
books, the language that we use and in our attitudes. It is our policy to make sure that we meet the
needs of each individual child and nurture them so that each may fulfill his/her own potential; in doing
so, we take account of any special educational needs a child may have. We work to the requirements of
the 1993 Education Act and The Special Educational Needs Code of Practice (2014). Our additional
needs co-ordinator (SENCo) is Sharman Giles.
COMPLAINTS AND CONCERNS
It is our aim to provide the best service possible to parents and children. We value the information
that you bring in helping us care for your child or to help us better understand him or her and believe
that this kind of partnership is vital to the happiness and success of all the children. Nevertheless, we
accept that from time to time parents may be unhappy, dissatisfied, or concerned about some aspect of
their child’s care and education. It is our experience that such problems are often due to lack of
communication or misunderstanding. We encourage you to express your concerns appropriately so
that we can quickly and effectively resolve them. In most cases it is best, as the first step, to
approach your child’s key person directly. If s/he is unable to deal with the problem they will be able to
seek advice from the daycare manager or another senior member of staff. A copy of our Complaints and
Concerns Policy is available in the policy pack in the welcome area.

Policies help us to make sure that the service we provide is of high quality and that being a member of
our community is an enjoyable and beneficial experience for each child and his/her parents. Our policy
book is kept in the welcome area. We encourage you to familiarise yourself with these to ensure that
you have a full understanding of how our setting works. We welcome your feedback and questions.
The staff team reviews these, taking into consideration professional guidance, information from Ofsted,
changes in the law etc, to make sure that we are operating a quality service. Please ask for clarification
if there is any aspect of these that you are unsure about.

CHANGE OF INFORMATION
Please tell us any time that information changes which may affect your child or our ability to care
for him/her. This includes your home and mobile phone numbers and those of your named carers,
changes in health status; the development of allergies or food intolerances, for example. We
appreciate that it is very easy to forget how important this kind of information is. However, we pride
ourselves on providing a high standard of care and can only do this by being in partnership with you and
having good communication on both sides.
PROMOTING CHILDREN’S DEVELOPMENT
We follow THE EARLY YEARS FOUNDATION STAGE (EYFS) guidance. An information brochure is
available in our welcome area and you will find guidance in the front of your child’s Learning Journey.
Look out for our homeroom displays too which show how children’s experiences at nursery relate to
the EYFS. We value each child’s individual approach to play, note their interests and stage of
development and then plan activities to support and stimulate them. It is important to mention that
whilst some children spend a lot of time “creating”, others are busy being engaged in other ways.
Please do not worry if your child doesn’t come home with paintings and models! Expressive arts and
design is just one area of learning. We do understand that you want to “see” what your child has
done but so many aspects of their day were experiences without product. Talk to your family’s key
person and do look at your child’s learning journey. We do try to capture as many moments as possible
with photographs and descriptions. Come and spend a little time with us from time to time!
CARE ROUTINES
When you join us we will discuss the care needs of your child in detail, to ensure that staff understand
your wishes for your child’s care and their individuality. This information will need to be reviewed and
updated regularly.
TOILET LEARNING
When children indicate readiness we work in partnership with you to help them
move out of nappies as independently as possible. Each child will do so at their
own pace and in their own time. It is essential for your child’s success that home
and nursery adopt a cohesive approach to supporting this process. A toilet learning
plan may be created should you wish for clarification.
FOOD AND DRINK
Water is always readily available and milk is offered at snack times.
There are 2 healthy snacks per day (morning and afternoon). Children
bring their own lunches (12: 00 a.m.). We do request that you follow
healthy eating guidelines, providing a carbohydrate (e.g. sandwiches,
breadsticks, a bagel) a protein (e.g. humous, tuna, ham) calcium (e.g.
yogurt/cheese) and fresh fruit and vegetables. Please avoid sweets,
chocolate and crisps. Please ask staff for a copy of our healthy lunchbox
guide or visit www.eatsomegoodfood.org. A snack menu is on the welcome area notice board. Parents vary
in their dietary expectations and prefer to know what is being offered or eaten in front of their child.

We feel it is important to promote healthy eating. In addition some children may have severe allergies
or intolerances to certain foods. If, however, you wish to send in treats for leaving celebrations or
birthdays simply consult staff about the dietary needs of the group. We prefer that this does not
include sweets or chocolates.
NAPPING
We aim to follow children’s routines from home. We offer all children a little quiet
time after lunch where the youngest are invited to “rest”. There are quiet areas
where children may wish to rest at any time. Napping needs change over time and
children may experience an “in between” stage where they begin to nap only
occasionally as the need gradually lessens. During this period it is essential to have
good communication with your key person.
HONOURING THE INDIVIDUAL
Everyone is special and unique. We aim to receive each child as an individual and to honour him/her as
such. We strive to understand and nurture each of them holistically and value your role in this important
process and any information you choose to share.
Observation
We have created an environment where each child is free to learn and explore at his /her own
pace. We listen to and observe the children to discover what their needs and interests are so that we
can understand how to best support them. We make provision to create experiences for the children to
aid their individual development.
Personal learning journey record
Each child has a personal record of development in order that we may celebrate achievements and make
plans to extend your child’s learning. This includes written observations and photographs. We welcome
your involvement in this process. Your key person will update this on a regular basis often with input
from your child. You may, of course see it at any time and it is yours to keep when your child leaves us
for school. Younger children also receive a daily diary log recording their napping, feeding and activities.
Supporting children through change
Please let us know of any changes in your lives that may affect the health or happiness of your
child, such as moving house, separations, or birth of a baby, etc, so that we can offer extra
support and understanding. Be reassured that all information is treated as confidential. Anything that
helps create a holistic picture supports us in doing the best for all the children in our care.

And finally…
All children function best when they have had a good night’s sleep. Bedtimes can be such a special
and rewarding time. Use it as an opportunity for a real quality interaction with your little one. My own
children used to begin their wind down one hour before lights out with games and stories with me in
their rooms. Gradually they progress to being in bed, a blessing, a kiss and a cuddle and lights out.
A nutritious breakfast goes a long way! Hellos and goodbyes can be challenging. If your child knows
that you are in a hurry it often makes things worse! Avoid a morning mad time rush by getting clothes
ready the night before. It’s always good to greet each other in a positive and friendly way. Be
calm; settle your child in lovingly. Stay as long as you like but when you are ready to leave, leave!
It sounds simple but we often send out signs of hesitancy that the children pick up on. Please be
reassured that we will take care of your child with love and kindness in your absence.
For the safety of all the children, please keep gates and doors closed at all times, even if you think you
are only going to be a moment. Please remember to sign in and out.
We all hope that your family’s experience at YMCA Mullion Nursery will be happy
