Transportation Requests in DPRS
There are 4 different reasons you would create a transportation request in DPRS. Each reason has a little
different way to fill it out. In addition at the end of each school year, we follow a very specific
transportation verification process to prepare for the next school year’s bussing.
PLEASE DO NOT FOLLOW THESE DIRECTIONS FOR VERIFYING A STUDENT’S TRANSPORTATION
FOR NEXT SCHOOL YEAR. Wait for specific directions on verifying next year’s transportation.

Student new to special education bussing and you would like bussing to start
Student currently on bussing and you need to change something on the bussing request
Student who will not need to receive bussing services anymore
Student who needs ESY bussing services
1) Once you’ve selected the student, click on Transportation on
the menu bar.
2) Click on Create New Transportation Request

3) If the student is new to special education transportation, OR if
you are requesting a change in the current special education
transportation, select Request Special Transportation.
If you are requesting transportation to END, select Request Stop
of Special Transportation and skip to the end of this document
where it discusses Stopping Special Education Transportation.
4) Click Submit
IMPORTANT NOTE
The Request Date defaults to today’s date. The transportation
department only searches for transportation requests that are in
Final mode and that have a Request Date within the past week. If
you START a transportation request but do not finish it within a
week, you NEED TO UPDATE THE REQUEST DATE! If you
don’t, your student will not get transportation.
5) Choose the Plan that this request is associated with.
NOTE: Your IEP needs to have transportation listed as a service
as well as having transportation listed as a need on the Special
Considerations page.
6) Enter the Requested Start Date.
NOTE: More often than not, you want the transportation to start
the next day. You can feel free to enter the next day as the
requested start date to let the transportation department know to
start this ASAP, but they typically aren’t able to start the route
until a week after the request.
NOTE: Unless you know the exact date that transportation is
supposed to stop, do NOT enter a stop date.

7) Select from the drop down, what TYPE of address the contact
address is. Also, double check to make sure the contact address
is correct. If there is an alternate address, choose the address
TYPE for that section and fill that section out as well.
NOTE: This is NOT the pick up or drop off address. That will be
filled in later.
8) Select the School/Program that you would like the student
bussed to.
NOTE: For ESY requests and ONLY for ESY request, you need
to choose the school that starts with the prefix (ESY) – There is a
separate document that talks about filling in a transportation
request for ESY.
9) Fill in the Contact Name and the Contact Phone. Typically
this is the case manager. EXCEPT for ESY. Please use those
directions to fill out ESY transportation requests.
10) Make sure the grade is correct for the student.
NOTE: You do not need to mark a Start Time and an End Time
UNLESS it’s different from your typical school day.

11) The next 3 addresses deal with Pick Up and Drop Off.
Remember to always choose an Address Type using the drop
down. This is where most mistakes happen.
NOTE: A student can have 2 different pick up addresses that
happen consistently on days of the week. They can only have one
drop off address for safety reasons.
12) You’ll also need to select which days the student will be
using the transportation. This is especially important if there are
two different pick up addresses. If the student is in Kindergarten
A, just select the A check box. Similar for B, choose the B
checkbox.

13) Next, check what special needs the student might have. If
there are no special needs choose No Special Needs are Required.
NOTE: There are rules to requesting a paraeducator for a bus,
before you select one of the paraeducator choices, make sure you
have the required documentation. If your documentation is
approval from Sped Admin, type the name of the administrator
who gave approval in the Notes for the Transportation
Department.
For ESY, you will NEED to select one of the ESY options below.
14) In the Notes for the Transportation Department, feel free to
put any notes that you would think will help the transportation
department understand the situation.
If this request is for a change in current transportation, please
note that in the Notes section and describe the change (i.e. “This
is a change in the student’s current transportation. There is a
change in the student’s pick up address.”)
15) Click Submit
16) When you are done, you need to make sure you Check
Completeness and Finalize the document. The transportation
does not search for or consider unfinalized documents.

17) When you click on Check Completeness, if you have done
everything correctly, you will be able to click on Make Final.
18) You’ll be brought back to the Transportation Document
screen and you’ll see your request Finalized. When the
transportation department has seen the request and scheduled the
start of the transportation, they will fill in the Active Date section
with the date the bussing will begin and the route number.
NOTE: The Transportation Department will NOT be updating the
route number in DPRS throughout the year if the student’s bus
number changes.

Stopping Transportation
From the directions above (#4), continue here.
5) Enter the date you want the transportation to Stop.
6) Put a note in the Notes section describing the stop in
transportation.
7) Click Submit
8) Make sure you Check Completeness. The Transportation
Department only looks for and acknowledges Finalized
documents.
