Role and responsibilities
Being a conference chaperone at an IB World Student Conference (IBWSC) is an opportunity to get to know students
from many different parts of the world and serve as their mentor, monitor their behavior and support the
conference. An IBWSC chaperone is the primary adult contact for the students during the conference. Each
chaperone will be assigned 10 students and will be responsible for ensuring their safety and appropriate behavior
during the week.
Chaperone housing, meals and ground transport are covered by the conference. Off-site activities are also included.
Please note that roundtrip travel to the host city is at the chaperone’s personal expense.
Chaperone responsibilities include, but are not limited to:
 Arrive at the conference site by 3pm on arrival day and attend a chaperone meeting in the late afternoon or
early evening
 Conduct a meeting with the assigned 10 students on arrival day following the general chaperone meeting
to introduce yourself, explain your role, and ensure that the students understand the
expectations/consequences of breaking the code of conduct and the rules of the conference
 Monitor students during the non‐program times in the residence halls, activities, and meals.
 Ensure students are in their rooms at the designated times each evening
 Ensure students wake for breakfast in the morning and attend the morning plenary
 Report any violation of rules to IBWSC chairperson and/or the IBWSC contact.
 Obtain a criminal records background report, if required by the laws of the host country
 Maintain professional standards in regard to the relationship with the students. The Chaperone
Chairperson will discuss standard operating procedure concerning conduct between chaperones and
participating students at the meeting on the arrival day.
Each IBWSC will have specific rules, regulations and standard operating procedures that align with the university
policies. These may differ slightly from site to site. On arrival day, chaperones will receive a handbook with day-byday instructions and duty time, which will be reviewed in a welcome meeting with the Chaperone Chairperson and
have an opportunity to ask clarifying questions.

All adults associated with the conference are asked to refrain from alcohol consumption on campus and in
the presence of students
Chaperones may be asked to meet with specific students from their group to discuss any issues
Chaperones may assist with other duties, as needed
