TIACA’s 28th International Air Cargo Forum and Exposition (ACF 2016) will be held at the Viparis
Porte de Versailles Convention and Exhibition Center (“Viparis Porte de Versailles”), also known as
“Viparis.” Viparis is conveniently located at 1 place de la Porte de Versailles 75015 Paris, between
the Boulevard Peripherique and Boulevards des Maréchaux in the 15eme.
That said, we have prepared this Exhibitor Manual and hope that you will find it to be a helpful
resource. Within this manual, you will find key links, dates, deadlines, regulations and requirements,
official contractors and their contact information, and the means to order services online. We suggest
that you contact TIACA’s Official ACF 2016 Contractors as soon as possible to ensure availability, the
best pricing and, in the case of hotels/housing, the best rates and hotels. You will find a list of
contractors and other key contacts on pages 9, 10 and11.

7. Non-Official Contractors and Custom Booths. Custom booths are encouraged; however, please note
that for practical and safety purposes Viparis and Paris Code requirements, a comprehensive review of
design, proof of insurance, approval by the Safety Officer, etc., is required. Therefore, please submit all
designs and specification to the Exhibition Director ASAP, but not later then July 15, 2016, to ensure
that all relevant documents required are collected and submitted to the Safety Officer for review and

8. Deliveries. All Exhibitors and/or their contractors must coordinate shipment/truck arrivals with CEVA
and confirm an arrival time, in writing, prior to September 15, 2016. All deliveries must use GATE D.
Please refer to Sections III below for more information or contact the Exhibition Director with questions
or assistance.
9. Badges must be worn at all times while at the Viparis Porte de Versailles - “Viparis.” Exhibitors, their
contractors and guests can register for badges, or wristbands for contractors, at the registration desk.
However, if before or after regular registration hours, Exhibitors and/or their contractors can register for
wristbands at the Exhibition Director’s office. See Page 6 for schedule.
10. No one under 18 years of age will be permitted on-site at anytime, for any reason.
11. A mandatory pre-ACF 2016 Exhibitors’ Meeting will be held in ____________from 9:00AM - 9:30AM on
Wednesday, October 26, 2016. Each Exhibitor must have at least one (1) representative at the
meeting.

13. Electrical supply is on a 24-hour basis as of 8:00 AM on Tuesday, October 25, 2016 (Subject to
satisfactory testing). Please contact Viparis if you require electricity prior to the above time. Viparis
utilizes a 50-hertz 3-phase current with an average voltage of 400 volts between phases or 240 volts
between phase and neutral.
14. Early Breakdown Prohibited. No exhibit may be broken down prior to the end of the Closing Event on
Friday, October 28, 2016. Please arrange your schedule and travel accordingly, since there is a fine of
$500.00USD for early breakdown and the exhibitor may be prohibited from exhibiting in future events.
15. On Friday, October 29, 2016, as of 4:00 PM, Exhibitors must remove, pack and/or store all valuables
and items that could be damaged or become lost due to the general dismantling, carpet removal,
equipment pickup and other move-out activities prior to their departing the Hall on Friday
night. VIPARIS, CEVA, D & P AND/OR ORGANIZER CANNOT BE RESPONSIBLE FOR LOST OR
DAMAGED ITEMS.
16. On Saturday, October 29, 2016, the floor must be cleared and clean by 5 PM.
17. Associated Costs. All exhibitors must contact the official contactors and/or the Viparis to determine
costs of for additional items or custom/customized booths. To ensure availability, services must be
ordered by the deadline to avoid any additional charges. Please see pages 8-9-10.
18. Executive Suite Exhibitors may not modify their booth package.
19. Labor/Hired/Temporary. Exhibitors may set up and/or construct their booth themselves. However,
safety rules must be followed and all deliveries and in-Hall movement of shipments, etc., must be
coordinated with CEVA and D & P.
20. Proof of Insurance is required for any Exhibitor’s independent contactors or contracted labor.

VIPARIS EMERGENCY EVACUATION PROCEDURES
The Viparis Convention and Exhibition Center has emergency evacuation exits, or “SORTIE”
highlighted below to ensure the successful evacuation of exhibitors, visitors and staff in the case of a
fire or other emergencies. If the need arises, the Safety Officer or members of Viparis staff will assist
in the evacuation.
Upon arrival to the Viparis, Contractors and Exhibitors and their employees must become familiar with
the emergency exits and promptly respond to any announcement made by TIACA/Organizer, the
Safety Officer or Viparis staff and/or respond to any of their instructions in the event an emergency
arises or an alarm sounds.
CONDUCT IN CASE OF EVACUATION:
• Calmly leave the premises.
• Never go back inside unless instructed to do so by an Official.
• Assemble away from the evacuated building.
• Only re-enter the building when authorized to do so by Safety Officers or Officials.
• Site teams have authority in the Exhibition Center.
• Additional checks may be performed under the Vigipirate scheme.

SAFETY PROCEDURES FOR EXHIBITORS

As part of the elevated threat level under the Vigipirate Plan and following the events of 13 November 2015,
Paris expo Porte de Versailles has put in place the following measures: What to do:

IF YOU SPOT A SUSPICIOUS PACKAGE:
 Verify that the risk is real (briefly survey the area) and do not move or handle the object.
 Alert the event organiser's office (the telephone number you were given at the welcome desk).
 Keep the public away from the package or piece of luggage.
 Follow the instructions of the organiser's office and/or the security staff.

IF YOU SPOT A SUSPICIOUS INDIVIDUAL:
 Ascertain the location of the individual acting suspiciously.
 Alert the event organiser's office. Be sure to provide an accurate description (height, physical
characteristics, clothing, etc.) and give the individual's exact location within the pavilion.
 Do not intervene while waiting for the emergency services to arrive.

IF THERE IS A BOMB THREAT:
 Try to evaluate the credibility of the call (demands, if it is a false alarm). Do not take any risks.
 Immediately alert the event organiser's office.

IF THERE IS A TERRORIST ATTACK OR EXPLOSION:
 Immediately alert the event organiser's office.
 Alert the Security Control Center via the in-house interphone (located near the fire hoses) or by
telephone (+33 1 72 72 18 18). They are responsible for calling the police station in the 15th
arrondissement and the fire department.

Standard Shell Scheme and Executive Suite Notes:
a. Corner booths, please note that you will need to confirm your preference regarding one or two open
sides no later than September 15, 2016. Please contact Warren Jones at [email protected] or

b. No additional fittings or displays, including additional name boards, covers, logos, balloons, etc., are to
be nailed, screwed, drilled or glued to the booth structure and no painting or wallpapering to booth is
allowed. The Exhibitor is responsible for the cost of any damage, repair, removal of tape, etc., from/to
their booth. Contact Exhibitor Services, www.service-exposant.fr/ACF-2016 with D & P if you need
anything attached to your standard booth.
c. Changes to the standard shell scheme, including the type and/or color of the floor covering, must be
arranged and approved by D & P and the Organizer and paid for by the Exhibitor.
d. Depending on the booth location, all freestanding items must be structurally safe and may not exceed
the standard booth wall height or exceed the allotted space unless special permission is granted by the

No attachments or suspensions are to be made to or from any part of the Viparis exhibition hall without

box equipped with a 32A four-pole circuit breaker and 30 mA differential switch which Viparis
representatives must be able to access at all times.

unauthorized housing companies may be contacting you advertising cheaper rates and may imply or claim an affiliation with the
ACF or TIACA. Unfortunately, some past attendees and exhibitors have fallen prey to these companies that engage in false or
deceptive practices and in some cases completely scammed the participant, including the loss of deposits, relocating with little
or no warning, have not had the guest rooms or hotel they thought they had booked, causing great hardship and significant
financial loss. If you are contacted by another housing service trying to sell hotel rooms, please notify Connections Housing
before providing any company or personal, credit card or banking information.

Section I – General Information – Standard Shell & Custom Booths
The information listed below is based on common sense, practicality, intended for safety, security and intended
to provide equal exposure for all Exhibitors. Exhibitors and their personnel, contractor/appointed agents must
observe the following topics. Please contact the Exhibition Director if you have questions or special needs.
1. ACF 2016 Floor Plan. Please view the latest floor plan by using the floor mapping tool found at:
http://www.expocad.com/host/fx/tiaca/14acf/default.html.
2. ADHESIVE BACKED DECALS AND STICKERS are not allowed anywhere in the Viparis nor are they to
be given away by Exhibitors.
3. ADMISSION/REGISTRATION. All ACF 2016 Exhibitors, contractors and guests must register and receive
a badge prior to entry of the Hall. Please note that badges cannot be mailed in advance, however, AS OF
APRIL 30, 2016, to expedite the process, please visit: http://www.aircargoforum.org/register/
a. Exhibitors: Exhibitors will have access to the Exhibition Hall during the scheduled move-in, moveout periods and on Exhibition days. On Exhibition days, Exhibitors may enter one hour prior to
Exhibition opening and stay one hour after closing in order to service their booths.
b. Exhibitors Badges. Exhibitors are required to register and pick up their badges at the ACF 2016
registration desk located in the front of the Hall, or, if outside of normal registration hours, temporary
badges are available at the Exhibition Director’s office (please see Time Table, page 7).
c. Contractors. ACF 2016 wristbands must be worn by everyone, at all times, while at the Viparis.
Temporary single-day wristbands for Contractors will be issued by TIACA at the Registration Desk,
during posted hours, or, if after hours, at the Exhibition Director’s office. Temporary passes will only
be valid for a single day, during the move-in and move-out periods and are not valid during Exhibition
hours. Security will enforce and monitor wristbands at the entry. In the event of an emergency at the
booth, a temporary pass may be issued by the Exhibition Director.
d. Visitors. All visitors to the event must register prior to entry. Exhibitor’s staff not registered as an
Exhibitor must register as a visitor. Please note that a Photo ID is required for all visitors. We
encourage trade visitors, therefore, free admission passes are available for Exhibitors to distribute to
colleagues and customers. Non-trade visitors without passes will be charged a $60 entrance fee
when they register.
e. REFUSAL OF ENTRY. The Organizer reserves the right to refuse admission to the Hall if, in the sole
opinion of the Organizer, someone is intoxicated, or in any way is creating (or may create) a
disruption of ACF 2016. Patrons who, in the opinion of the Viparis or the Organizer, are offensively
attired or whose attire may create a hazard may also be refused entry into the Viparis. All attendees
must wear an appropriate badge at all times.
PLEASE NOTE: No one under 18 years of age will be allowed entry to ACF 2016 at any time.
4. ALCOHOL. Alcoholic beverages must not be taken into or out of the Viparis without written permission.
Alcohol may only be consumed by adults 21 years or age or older and it is an offense for minors to
purchase or consume alcohol or for persons to supply alcohol to minors.
5. ANIMALS. Live animals are not permitted in the Viparis, except those used to assist persons who are
impaired, such as guide dogs for the blind.
6. ATM - CASH MACHINES. ATMs are available on/within the Viparis complex (see page 6).

7. AUDIOVISUAL (AV) COMPONENTS OF EXHIBITS. Exhibitors may not operate public address, sound
producing or amplifying devices that project sound above a normal conversation level and should not be
audible beyond their display area. In addition, spectators viewing AV displays may not obstruct aisles or
interfere with the accessibility to other exhibits. Absolutely no sound amplification is permitted for
Exhibitors conducting live presentations. For more information about amplification, please contact Ernie

9. AUTHORITY ON PREMISES. In the event of a problem or disputes on-site, the decision of the Organizer
will be final. The Organizer also reserves the right to amend any previous decision made in order to meet
and satisfy any unforeseen or prevailing circumstance for the benefit of the Exhibition and all/any
concerned parties.
10. BALLOONS AND FLYING OBJECTS. Exhibitors wishing to use balloons or any flying objects as part of
their display must seek approval from the Organizer and the Viparis at least twenty-one (21) days prior to
the move-in date. The written request should be accompanied by the following details:
a. Location of stand displaying the balloons/flying objects.
b. Types of balloons/flying objects on display.
c. Size/diameter/length of balloons/flying objects on display.
d. A photo of balloons/flying objects.
e. Type of gas used in the balloons/flying objects.
f. Material from which the balloon/flying objects is constructed and how they will be attached.
g. All Balloons and flying objects must be attached to the booth.
h. The placement of balloons/flying objects should not obstruct the view of the exit/sortie signs, CCTV
cameras, the water sprinkler system and adversely affecting a neighboring stand/booth.
i. Balloons containing helium may not be distributed in the Hall or on the premises without written
approval from the Organizer and the Viparis.
j. The use of balloons filled with gas and remote-controlled flying objects in the halls and the grounds
are not permitted without the written approval from the Organizer and the Viparis.

9. BOOTH CLEANING:
Exhibition Period: TIACA will provide for the cleaning of aisle, restrooms and public spaces only.
Cleaning of Exhibits is the responsibility of the Exhibitor. To order services, please contact

Removal and Disposal of Construction Debris/Waste: During the move-in and move-out periods,
material will be removed that can be broom swept. Any other material is deemed “bulk trash” and the
removal of any/all such bulk trash, construction debris and waste is the responsibility of the exhibitor and/or
their contractors. To Order Bulk Cleaning, please go to TBD ____________or contact the Exhibition
Director for assistance.
10. BOOTH STRUCTURE AND INSTALLATION GUIDELINES. (Please also read Section II):
a. Executive Suite shells will be erected, dismantled, furnished, carpeted and power outlets and lighting
will be provided by D & P. Executive Suite Exhibitors, please note that no modification will be
allowed.
b. Standard Shell Schemes will be assembled, dismantled, furnished, carpeted, power outlets provided
by Viparis, and lighting will be provided by D & P, as per the standard shell scheme specifications.

d. If construction is allowed by the Organizer outside normal hours, the Exhibitor may be required to
provide security during such hours. Please contact the Exhibition Director.
e. All custom booths must be carpeted. Any booths not carpeted by 6 PM on Tuesday, October 25,
2016 may be supplied carpet by D & P and the Exhibitor will responsible for the payment of any
installation charges and/or carpet rental.
f. The aisle and air space belongs to the Organizer. Exhibits, signs, ceiling or floor coverings, displays
or other advertising will not be allowed to extend beyond the contracted booth space.
g. To prevent congestion, seating must be placed a minimum of 1.52m (5 ft.) back from the aisle.
h. Nothing may be attached to the Standard Shell or Executive Suite with nails, glue, tape, screws or
staples. Contact Exhibitor Services, www.service-exposant.fr/ACF-2016 with D & P for additional set
up assistance.
i. Any damage during move-in, move-out and during ACF 2016 is the Exhibitor’s responsibility.
j. Please report any damage immediately to Viparis Security and the Exhibition Director.
k. Adhesive-backed decals, stickers, glitter and confetti are prohibited.
l. Exhibitor or contractors may not move Viparis planters, furniture and other facility equipment. The
Viparis will handle the relocation or storage of facility property if required for the event.
m. No motorized vehicles, forklifts, gas or electric carts, bicycles, scooters, and similar equipment
(except equipment for persons with disabilities) may be operated by any Exhibitor or their Contractor
in the Hall on Viparis’ premise. Please contact Mark Jackson [email protected] with
CEVA for information regarding all in-Hall movement.
n. Passenger elevators and escalators shall not be used for any equipment movement or other setup
materials. Freight elevators are available for this purpose.
o. Carpet runners, carpet or temporary floor coverings over permanent carpet must be approved in
advance. Double-faced tape cannot be directly applied to permanent carpet. Additionally, the
Exhibitor is responsible for removing all tape from the Viparis Hall floor at the end of the event.

12. CANVASSING, SOLICITATION AND DISTRIBUTION. Prior written consent is required from the Viparis
and the ORGANIZER for the solicitation and canvassing of business anywhere in the Viparis other than
within the Exhibitor’s booth area. The distribution of promotional material on vehicles parked within the
Viparis’ car park is not permitted. Exhibitors must not wear or display commercial, political, religious or
offensive signage or logos, sell any goods or services or give away political, religious, advertising or
promotional materials without the prior written approval of the Organizer and Viparis management.
13. CARRY IN BAGS. Bags and other items may be subject to inspection prior to entry into the Viparis.
Items that have the potential to cause injury or inconvenience to other persons are not permitted, such
items include, but are not limited to, controlled, dangerous or illegal substances, cans, bottles, flares,
fireworks, laser pointers, amplifiers, weapons, etc., and may include certain musical instruments, flags
and flagpoles.
14. CATERING. Exhibitors may arrange for any caterer to service their booth, however, TIACA recommends

19. DAMAGE. Damages of any kind must be reported to the Exhibition Director and Safety Officer. Any
damages sustained during the move-in, ACF 2016 Exhibition period, the move-out period or any other ACF
2016 related period is the responsibility of the Exhibitor.

schedule all in-Hall movement.
22. DIRECTORY LISTING. All Exhibitors will be listed with a description of their products / services in the
ACF 2016 Official Program & Exhibitor Directory Profile which will be distributed during the Exhibition.
23. DISORDERLY CONDUCT. The Organizer, the Safety Officer and the Viparis and its agents reserve the
right to remove any persons who are behaving disorderly or displaying improper conduct which may injure
or diminish, or tend to injure or diminish the reputation of TIACA and/or the Viparis and/or endanger
themselves or others and/or cause damage to themselves or others.
24. DISTRIBUTION OF BROCHURES. The distribution of printed materials and circulation of advertising
materials is permitted only at the Exhibitor’s booth space. Please note that no printed materials may be
distributed to other Exhibitors booths without the Organizer’s prior approval.
25. DISTRIBUTION OF GIFTS. No restrictions apply regarding the distribution of gifts that are in good taste,
have been cleared by Customs and do not present a danger to Exhibitors, Viparis or the Organizer.
26. ELECTRICAL SUPPLY AND INSTALLATION. For safety and proper load distribution reasons, all
electricity and electrical work must be carried out by Viparis. Viparis utilizes a 50-hertz 3-phase current
with an average voltage of 400 volts between phases or 240 volts between phase and neutral. Current is
distributed via a terminal box equipped with a 32A four-pole circuit breaker and 30 mA differential switch
which Viparis representatives must be able to access at all times. Power of the terminal box varies from 1
to 20 KW, depending on an exhibitor’s needs. You will also need to have a switch box installed. A
reminder of general conditions of use:
a. Only personnel authorized by Viparis are permitted to open a terminal box.
b. Each terminal box (1 kW minimum) may supply only one stand.
c. Beyond the terminal box, all installations must be performed according to standard procedure and at
the liability of the Exhibitor.

28. EXHIBITION. ACF 2016, October 26-28, 2016. The 28th International Air Cargo Forum and Exposition is
organized (“Organizer”), by The International Air Cargo Association (TIACA), Miami, Florida, USA.
29. EXHIBITION OFFICES. TIACA and the Official Contractors will staff offices and/or desks onsite during the
move-in, exhibition days and move-out periods and will be available to answer questions, handle issues,
and to be of assistance to all Exhibitors. Any onsite issue affecting Exhibitors or contractors should be
referred to the Exhibition Director or D & P immediately.
30. EXHIBITOR SERVICES CENTER. The D & P and CEVA’s Exhibitor Service desks will be staffed,
conveniently located on the floor of Hall 4 and open during the move-in, Exhibition and move-out hours.
31. FINAL DEPARTURE OF EXHIBITS / GOODS FROM VIPARIS. All Exhibitor items must be removed from
Viparis and the floors clean by 5:00 PM, Saturday, October 29, 2016. Please contact Mark Jackson
[email protected] with CEVA to schedule a departure time.
32. FIRE PRECAUTIONS. Any person who sees an outbreak of fire must immediately use the fire alarm
system, notify the Safety Officer or the Organizer or other Viparis Officials and follow all directions
provided. Exhibitors may be required to provide a special type of fire extinguisher at their booth and must
make these arrangements at their own expense. No packing materials or brochures may be stored behind
the walls of perimeter booths of any other designated service areas, unless prior written approval has been
given by Organizer, Safety Officer and Viparis.
33. FIRST AID SERVICES. First Aid is located in Hall 1 & 7 (see Viparis diagram on page 6,
+).
34. FORCE MAJEURE. The Exhibition may be postponed, shortened or extended due to any cause
whatsoever outside the control of the Organizer. In this event, the Organizer shall not be responsible for
any loss sustained by the Exhibitor, directly or indirectly attributable to the elements of nature, force
majeure or orders and directives imposed by any governmental authority, and fees paid by the Exhibitor, or
any part thereof, are refundable at the sole discretion of the Organizer.
35. FOOD AND BEVERAGE FACILITIES. Placeholder
36. FOOD COOKING AT BOOTH. The cooking of food by Exhibitors for demonstration in their booth is
prohibited unless prior written approval has been granted by Viparis and TIACA.

38. INDUSTRIAL GAS AND NAKED FLAME DEMONSTRATION. The use of industrial gases of an
inflammable or toxic nature for demonstration purposes will not be permitted in the exhibition hall unless a
detailed application has been made to the Viparis and approved by the Organizer. If approved, all Viparis
conditions must be met in full. If no application has been made, gas cylinders and naked flame
demonstrations WILL NOT be allowed. Please contact the Exhibition Director for more information.
39. INSURANCE-GENERAL. Exhibitors should be aware that neither the Organizer, Viparis, D & P, CEVA,
the security contractor, nor any of their agents, officers or employees, assumes any responsibility for
Exhibitor’s property. Therefore, each Exhibitor should have an insurance policy covering their property and
shipment during the ACF 2016 move-in, Exhibition and move-out period.
40. INSURANCE – COVERAGE. Exhibitors who customize their standard shell scheme by someone other
than D & P are responsible for ensuring that they or their appointed non-official contractor submit a
Certificate of Insurance to TIACA prior to any work commencing within the Viparis, outlining the following
coverage:

could be damaged or become lost throughout the ACF 2016 move-in, Exhibition and the move-out.

57. SECURITY – GENERAL/INDIVIDUAL. Viparis has security and will be responsible for the VIPARIS
building and campus. In addition, the Organizer has contracted (TBD) ________for security services.
Nevertheless, Exhibitors should carry their own insurance coverage throughout ACF 2016, do not leave
any valuables in their booths unattended and, because of the amount of activity, please be sure to pack
all items at your booth from 4:00 PM – 8:00 PM on Friday, October 28, 2016. The Organizer will not be
responsible for theft, loss or damage of exhibits, collateral materials, A/V, stores or any other Exhibitor or
Contractor equipment or property. If you require additional security, please contact the Exhibition Director.
58. SIGNS AND FREE STANDING EQUIPMENT. Custom exhibit booth signs, banners, booth ceilings or
canopies, lighting grids or other related equipment not provided by D & P should be constructed of the
proper materials (please refer to Section 2 below re: material requirements), freestanding and floorsupported and must comply with any height limits. Anything to be hung, any proposed rigging to the
structure or ceilings of the exhibit hall, etc., must be submitted for review and approved by the Exhibition
Director and installed by the approved rigging contractor. Please note, Viparis signs for restrooms,
concession stands, all fire exit doors and fire exit/sortie signs, as well as the CCTV cameras must not be
covered or blocked at any time.
59. SMOKING. There is NO SMOKING allowed at the Viparis AT ANY TIME.

61. STORAGE, PACKING/UNPACKING AND REMOVAL OF WASTE MATERIALS. TIACA is unable to
provide in-hall storage facilities for packing cases, surplus materials or other property of the exhibitor.
Arrangements for safekeeping of such items can be made with CEVA. The Fire Authority regulations
prohibits surplus stores being placed behind perimeter booths and service access areas, other than the
equipment needed to run the Exhibition, and those provided by the Official Contractor.
a. During the move-in and move-out days of the Exhibition, the aisles of the hall must not be obstructed
with packing and construction materials, debris or waste. Contractors building or removing a custom
booth or booth interiors are responsible for removing their own building waste and trash from the site at
the end of each day and at the conclusion of ACF 2016.
b. At the end of the Exhibition, at 4:30 PM on Friday, October 28, 2016, standard and custom stand
Exhibitors and/or their contractors must pack valuables and loose materials and/or to remove such from
the stand. All waste materials and trash from all booth and must be removed by 5:00 pm on Saturday,
October 29, 2016. Should they fail to do so, or if the Organizer believes they will not be completed in
time, the Organizer will instruct D & P to remove the exhibit at the Exhibitor’s expense.
c. The Organizer will charge the Exhibitor for the removal of bulk waste (booth construction debris, crates
/ pallets, cartons, packing materials or literature).

Section II – Custom Booths – Viparis Regulations and Requirements
FIRE SAFETY PRECAUTIONS AT TRADE FAIRS AND EXHIBITIONS
CUSTOM STAND DESIGN: As ACF 2016’s Official Decorator, D & P can provide custom stand conception,
design and construction for any exhibitor needing such services and will facilitate and comply with all required
Fire Safety and Safety Precautions, as required by Viparis and/or French regulators or code, including the use
of scaffolding, ladders and work platforms.
Exhibitors with Custom Booths and not using D & P as their contractor, please note that Viparis requires review
of design, proof of insurance and design and specifications, etc. all of which must be reviewed and approved
by the Safety Officer, prior to any work being done by the Exhibitor or their contractor at the Viparis.
Furthermore, TIACA must grant final approve of all custom booth design and specification. For assistance,
please contact Ernie Marchand at [email protected] or [email protected] who will assist
you or your contractors through this process.
CUSTOM BOOTH GENERAL REQUIREMENTS
BOOTH FITTINGS AND LOCATIONS. All dimensions and positions of booths and utilities services are
estimates and must be verified and confirmed on-site and adjustments to the booth construction must be made
to accommodate any such variation.
CUSTOM BOOTH DESIGN. Custom designed booths are encouraged. Please review this Section II as well
as Section I and III and contact the Exhibition Director with questions and for assistance at
[email protected] and/or [email protected]
Exhibitor appointed contractors (“non-official contractors”) must meet certain conditions, including a review and
approval of the stand design and specification for safety and practical considerations. Please note that an
Exhibitor and/or their contractor must provide TIACA’s Exhibition Director with their complete stand design and
specification documents by July 1, 2016, to be reviewed by the Safety Officer and Permitted. TIACA’s
Exhibition Director will assist you in anyway possible to be sure that the design and specification documents
are complete. Once complete, the Safety Officer will review the Exhibitor’s design documents then submit to
the City Official for approval. NO WORK MAY COMMENCE WITHIN VIPARIS UNTIL A PERMIT IS
OBTAINED FROM THE SAFETY OFFICER.
In addition, Exhibitor’s must provide TIACA with proof of insurance, coordinate/schedule all move-in and moveout requirements with CEVA and receive permission from the Safety Officer prior to any work commencing at
the Viparis.
For any Custom Booth, the following minimum requirements shall apply:

Other – General:
1. Remove all bulk waste materials daily during move-in and move-out.
2. TIACA approved and issued badges or wristbands must be worn at all times while in the Viparis.
3. Contractor wristbands are only valid during the move-in and move-out periods. If an Exhibitor has a
maintenance or remedial need during the Exhibition, the Exhibitor may contact the Exhibition Director for a
special pass and escort for their contractor so that they will have access to the Hall for that limited period.
4. Custom built booths will not have a booth number sign and Exhibitors are not required to display a number.
5. All booths must be carpeted and trimmed out so that there are no gaps between the booth and aisle carpet.

SINGLE-STORY BOOTH. The standard height of walls is 8 feet (or metric equivalent). Exhibitors wishing to go
above this height must contact the Exhibition Director for requirements and approval. Please note that for
single story stands, a height of up to five (5) meters may be approved.
DOUBLE-STORY BOOTH. Regarding the following Viparis Requirements for a Multi-Story Booth, please note
that in addition to approval from the Safety Officer and French Authorities, TIACA must approve all DoubleStory booths. That said, the Organizer’s encourages Double-Story or Custom booths and asks that you
contact Ernie Marchand: [email protected] or [email protected] for assistance.
Double-story designs require special review that include the design, layout, specifications, a structural
engineer’s review and material used must meet fire prevention requirements and be certified (please note:
certification/engineering reports of foreign origin cannot be taken into consideration. Only reports issued by
approved French Firms/laboratories can be accepted) and must be submitted to the Viparis by the Safety Officer
at least 3 months prior to the Exhibition. No work may commence until a permit for such is issued. The
Exhibition Director will help facilitate this process.
1. All booth designs and construction must comply with guidelines, rules and regulations as per the relevant
government authorities, meet all Viparis requirements and be approved by the Organizer.
2. The booth designs, layout, drawings and approved engineering and calculations of the proposed booth
design will be submitted to the Viparis for their approval. Only upon written approval by the Viparis will work
be permitted by the exhibiting company. The booth must be constructed in accordance with the approved
design and be ready within the build-up period.
3. Please contact the Exhibition Director for ceiling height specification and note that compliance with the
local authority’s rules and regulations is required.
4. Consideration should be taken into account that the surface area of such a construction will ensure that
any such feature is not deemed to overpower neighboring booths and the total concept of the Exhibition.
5. The long run of solid walls of 10 feet or over should be set back from the perimeter not less than 1.75 feet
and decorated to ensure that a plain solid wall will not be seen from the aisle.
6. Location and the size of an Exhibitor’s sign must be approved by the Exhibition Director.
7. The exhibiting company of the lower level of the booth must be the same as that of the upper level.
8. The exhibiting company shall ensure that the booth is dismantled in a timely, safe, systematic and
organized manner within the specified dismantling period and coordinate all movement through CEVA.
DOUBLE-STORY - Article 30 Duplex Floor. Each booth or room can only have one raised level. The User
may install a duplex floor type exhibition stand satisfy each of the following:
1. The Request for Exhibition Stand Setup form only if they and the basic structural calculation data must be
submitted.
2. If the area of duplex floor will exceed half of the floor area, contact Ernie Marchand for further assistance at
[email protected] or [email protected]
3. Partition of the exhibition stand shall be opened for more than a half (1/2) of the girth (except for the
transparent material).
4. Stair width must be more than 1.2 meters (m) for duplex structures.
5. Fire extinguishers must be placed every 10m on the walkways of duplex structure.
6. The ceiling of duplex floor shall be opened.
7. In those cases that there is a finished ceiling is approved, at least one automatic sprinkler must be installed
on the ceiling per ten square meters (10m2).
8. The door on the duplex floor shall be more than 0.9m in width and must be opened toward a refuge.
Charging Emergency lights must be installed in front of the door.
9. Security personnel shall be posted all the times.

1. GENERAL REMARKS:
The safety precautions against the risks of fire and panic in establishments open to the public shall be as laid
down in the Order of 25 June 1980 (General Requirements).
The Order of 18 November 1987 gives the particular requirements applicable to exhibition halls. The following
text consists of extracts from these regulations in order to facilitate comprehension. The Safety Committee
is very strict as far as the construction of stands is concerned (stability, construction and decoration
materials, electrical installation, etc.). Decision taken by the Committee during its visit, which shall
take place the day before or on the morning the event opens, shall be implemented immediately.
When the Committee makes its inspection, the installation of the stands must be complete. The
exhibitor (or his representative) must be present on the stand and must be able to provide fire
resistance certificates for all the materials used. Non-compliance with this rule may lead to the
materials being removed or the stand being prohibited from being opened to the public.

Any more proposals must be submitted for the approval of the Safety Officer of the exhibition. Drawings and
technical information must be submitted for this purpose to the organizer at least one month before the
exhibition opens.
During the build-up period, the Safety Officer shall monitor the application of the safety measures set out
below.

2. STAND CONSTRUCTION AND FITTING:
2.1 STAND FRAMEWORK, PARTITIONS AND LARGE FURNITURE. M0, M1, M2 or M3 shall be
permitted for the construction of the framework and of the partitioning of stands and for the construction of
large items of furniture (cash desk, counter, display cabinets, separating screens, etc.).
CONVENTIONAL CLASSIFICATION OF WOOD

The following materials shall be considered as having the characteristics of category M3 materials:
- Solid non-resinous timber 14 mm thick or more,
- Solid resinous timber18 mm thick or more,
- Wood based panels (plywood, blockboard, fibreboard, chipboard) 18 mm thick or

CAUTION: It shall be strictly forbidden to set any type of fitting out whatsoever over the aisles (structure of
signboards, walkway, etc.).
2.2. EUROCLASSE (European Norm):
The main purpose of the French fire regulations is to ensure the protection of people inside any kind of

reaction to fire. The tables below define the correspondence between European classification and national
requirement of the regulation.

2.3 FINISHING MATERIALS:
2.3.1.Walls finishes. Wall finishes (natural fabrics or plastic) must be in M0, M1 or M2 materials5. They may
be stretched or fixed with staples; Sundry finishes (fabrics, paper, plastic film) which are very thin (1 mm
maximum) may be used when fixed in a full bed of adhesive to backgrounds of M0, M1 M2 or M3 materials.
Embossed or textured paper, however, must be fixed in a full bed of adhesive onto M0 materials only.
Materials on display may be shown on the stands without any requirements for fire resistance. However, if these
materials are used for decorating the partitions of false ceilings, and if they represent more than 20 % of the
total area of these elements, the requirements in the above paragraphs shall be applicable to them. However,
these requirements shall not apply to trade fairs and stands aimed specifically at interior decoration where
fabrics and wall finishes are displayed.
2.3.2. Curtains – Hangings – Net curtains
Curtains, hangings and net curtains may be left loose if they are made with M0, M1 or M2 materials (or made
to meet such classification with a fireproofing treatment). They shall however be forbidden on entrances and
exits to the stands, but permitted on doors to internal rooms.
2.3.3. Paints and varnishes
Paints and varnishes shall be strictly forbidden if they are deemed to be inflammable (based on nitro-cellulose
or alkyds for example).
2.3.4. Finishes to floors, podiums, platforms and steps
Floor finishes must be in M4 materials and fixed securely. Finishes, whether horizontal or not, to podiums,
platforms or steps of a height greater than 0.30 m and with a total surface area greater than 20 m2, must be
made from M3 materials. If their total surface area is less than or equal to 20m 2, these finishes may be formed
from M4 materials.
CAUTION: For carpets classified as M3 or M4 laid onto wood, make allowance for the method of fixing. The
fire resistance certificates must indicate: “Valid for fixing stretched over any M3 background.”

2.4. DECORATIVE ITEMS
2.4.1. Loose laid elements
Elements for decoration or cladding which are not fixed (advertising panels of a area greater than 0.50 m2,
garlands, lightweight objects for decoration, etc.) shall be constructed form M0 or M1 materials.
The use of signs or advertising panels using white letters on a green background shall be strictly forbidden, as
the colors are reserved exclusively for indicating exits and emergency exits.
2.4.2. Floral decorations
Limited use should be made of floral decorations in synthetic materials. If this is not the case, these
decorations must be made from M2 materials. These rules shall not apply to specialized trade fairs and stands
where such items are exhibited.
NB: For real plants, peat soil should preferably be used and kept permanently damp.
2.4.3. Furniture
There are no requirements for standard furniture (chairs, tables, desks, etc.). On the other hand, display cases,
counters, shelves, etc. must be made from M3 materials (or made to meet such classification with a
fireproofing treatment).
2.5. AWNINGS – CEILINGS –FALSE CEILINGS
Stands which have a solid ceiling, false ceiling or awning must have a covered surface area of less than 300
m2. If the surface area covered is greater than 50 M2, appropriate methods of fire extinction, attended
permanently by at least one safety officer, must be provided while the public is present. The total surface area
of solid ceilings and false ceilings, including those over upper levels, must not be greater than 10 % of the
surface area of the level concerned or of the hall.
2.5.1. Awnings
Awnings will be permitted under the following conditions:
 in establishments protected by an automatic water-based fire extinction system, awnings must be in M0,
M1 or M2 materials.
 In establishments not protected by an automatic water-based fire extinction system, they must be in M0
or M1 materials.
They must also be provided with an effective fixing system to prevent them from falling and must be supported
by a wire mesh network so as to form meshes of a maximum of 1 m2.
In all cases, the hanging system and the fixing of ceilings and false ceilings must be in M0 materials. When
insulating materials are fixed in voids in ceilings and false ceilings, they must be in M1 materials.
2.5.2. Ceilings and false ceilings
Ceilings and false ceilings must be in M0 or M1 materials. However, it is acceptable for 25 % of the total
surface area of these ceilings and false ceilings to be in M2 materials. Light fittings and their accessories shall
be included in this percentage; On the other hand, if the ceilings and false ceilings made up of open-worked or
net materials, they may be M2 when the area of the solid parts is less than 50 % of the total surface area of
these ceilings and false ceilings.
2.6. FIREPROOFING
A guarantee of the category of fire resistance of the materials used in the exhibition halls must be provided at
the request of the Safety Officer, in the form of labels of quality, official reports or certificates. Finishes and
materials that comply with the safety requirements are available from specialized vendors who must provide
the certificates showing the fire classification of the material.

Fireproofing may provide an M2 classification to materials which are normally fairly inflammable or easily
inflammable. This can be done by spraying a special liquid, by applying a paint or special varnish with a
paintbrush, or by soaking in a special bath. Fire protection treatment work can either be carried out by the
decorators, who must be capable of providing all information on the treatment of the material, or by an
approved contractor, who shall provide the exhibitor with a certificate of an approved type on which shall
be shown: the nature, the surface area and the color of the finish treated, the product used, the date of the
operation, the stamp and the signature of the operator. Details of approved contractors may be obtained

NB : Fireproofing can only be used on timber panels or on fabrics that are natural or have a high
proportion of natural fibers. It is impossible on synthetics and plastic.
VERY IMPORTANT: Reports of foreign origin cannot be taken into consideration. Only reports issued by
approved French laboratories can be accepted.
3. ELECTRICITY:
3.1. ELECTRICAL INSTALLATIONS
The electrical installation on each stand must be protected, from its entry to the stand, against overloading
and against earthing faults. All metalwork must be interconnected and linked to the earth connection on the
stand’s electricity control panel.
Electrical connections must be made inside connecting boxes.
The electrical cut-off devices must be permanently accessible to the staff on the stand.
Each stand’s power is supplied either from fixed installations in the relevant pavilion or from semipermanent installations. These semi-permanent installations are installed, operated and maintained by
Paris Expo Services or its sub-contractor, and are its sole responsibility.
Each semi-permanent installation comprises, for each stand, the power cable and the service box suited to
the power level requested by the Exhibitor or the “Hirer”, hereinafter referred to as “the User” for the
purposes of this article.
The service box is removed by Paris Expo Services or its subcontractor. It is strictly prohibited for any
person not authorized by Paris Expo Services to handle the service box. The box is equipped with an
overcurrent protection device and protects against indirect contact through a residual current device. It
has a grounding terminal and connecting terminals or clamps available to the User for special electrical
installations in the stand.

ELECTRICAL INSTALLATIONS, continued:
The boundary between the stand’s semi-permanent installation and special electrical installation lies in the
connecting terminals or clamps of the service box. This service box and in particular the power cut-off
device must remain accessible to authorized personnel and emergency response services.
However, as the User is responsible for the service box, it must check its proper functioning regularly in
order to notify Paris Expo Services of any failures. It is strictly prohibited for the User to power another
stand from the service box placed under its own stand.
The User is responsible for ensuring that special electrical installations in stands, in particular lighting and
power outlet networks, are installed by people who are aware of the risks of the event and who have the
skills and expertise required to design and implement (or have implemented) the work in compliance with
regulations.
In particular, the User must ensure that the 30 mA residual current device installed complies with the
regulations applicable to its specific stand installation.
• Stands with electrical power of more than 36 kW must be powered individually.
• The work must be carried out in compliance with the provisions of: - standard NF C 15100 in force, Article
T 36 - Special installations - Order of November 18, 1987, modified.
As long as the stands are being powered, Paris Expo Services shall ensure qualified personnel with
knowledge of fixed installations are on duty.
During opening hours to the public, the number of such personnel is at least that required by regulations (1
person per tranche of 6,000 m2 of gross exhibition area).
Electrical switchboards with a capacity greater than 100 kW must be installed under the conditions set forth
in Article EL 9b of the Order of June 25, 1980.
They must have an emergency halt device that is easily accessible to authorized personnel or emergency
services, so that the stand’s power supply can be cut off in the event of a technical incident.
Installations under the mezzanine floor should not exceed 100 kW. All installations must be set up on the
ground level of stands. The User undertakes to ensure the stand’s special electrical installation is inspected
by an independent technical expertise firm.
3.2. ELECTRICAL EQUIPMENT
Electrical cables
Only cables that do not propagate flames must be used.
These cables will consist of:
 Either C2 class cables;
 Or insulated conductors placed inside pipes that do not propagate flames or profiles that do not
propagate flames.
All wiring must include on earth conductor linked to the general network via the earth terminal on the
stand’s electricity control panel.

Electrical apparatus
Electrical apparatus of category 01 must be protected by differential current devices operating at no more
than 30 mA.
Electrical apparatus of category I6 must be connected to the earth conductor of the cable supplying them.
Of the apparatus in category II6, those marked
are recommended.
Multiple sockets and adaptors
Multiple sockets and adaptors are prohibited. Only connecting boxes shall be permitted.
Halogen lamps (standard EN 60598)
Light fittings on stands which have halogen lamps shall:
 be fixed at a minimum height of 2.25 meters,
 be kept away from any inflammable materials (at least 0.50 meters from timber and other
decorative materials),
 be fixed securely,
 be fitted with a safety screen (glass or fine mesh) to provide protection from a possible explosion of
the lamp.
High voltage illuminated signs
High voltage illuminated signs positioned within reach of the public of staff working on the stand must be
protected, particularly the electrodes, by a screen made of a material in category M3 at least. The switch
to turn them off shall be indicated and the transformers shall be placed in a position that cannot cause
any danger to people. Their presence may be indicated with a sign reading “Danger, haute tension”
(Danger, high voltage).
3.3. INSTALLED ELECTRICAL POWER
For stands with more than 100kW of power supply, a plan and instructions for the insulation of the control
box or the technical room must be sent to the Parc des Expositions and the Safety Officer) for approval.
4. ENCLOSED STANDS – ROOMS CONSTRUCTED IN THE HALLS
4.1. ENCLOSED STANDS
Exhibitions sometimes prefer to isolate themselves within enclosed stands. These stands must have exits
directly onto the public aisles. The number of exits and their width shall depend on the surface area of the
stand, namely:






less than 20 m2: 1 exit 0.90 m wide;
from 20 to 50 m2: 2 exits, one 0.90 m wide, the other 0.60 wide;
from 50 to 100 m2: either 2 exits 0.90 m wide, or 2 exits, one 1.40 m wide and the other 0.60 m wide;
from 100 to 200 m2: either 2 exits, one 1.40 m wide and the other 0.90m wide or 3 exits 0.90m wide;
from 200 to 300 m2: 2 exits 1.40 m wide; and
from 300 to 400 m2: 2 exits, one 1.80 with, the other 1.40 m wide.
The exits must be carefully positioned and, if possible, be opposite each other. Only doors or sets of doors
with their outer frames at least 5 meters away from each other shall be included in the number of exits or
units of passage. Each exit must be marked “Sortie” in white letters clearly visible on a green background.
If the openings are closed by doors, these must open in the exit direction, without a locking system and
without projecting into the public aisles.

4.2. ROOMS FORMED IN THE HALLS
Independently from the areas used for display purposes, meeting rooms, restaurants, cinemas and
presentation rooms with a stage or sloping floor, etc. can be set out.
Stages and sloping floors with space for people to stand shall have a load-bearing strength of 600kg per
m2. Stages and sloping floors with seats shall have a load-bearing strength of 400kg per m2. The steps
leading to spaces on the sloping floors shall be a minimum height of 0.10 m and a maximum height of 0.20
m with a tread of at least 0.20 m. In this case, flights of steps shall be limited to 10 and the slope of the
treads shall not exceed 45 degrees.
As each case is particular, a detailed drawing shall be submitted to the Safety Officer who will define the
measures to be applied.

6. LIQUEFIED GASES
6.1 GENERAL REMARKS
Cylinders of butane or propane gas shall be permitted at the rate of one cylinder, weighing a maximum of
13kg, for each 10 m2 of stand, with a maximum of six per stand. The following precautions shall be taken:
There must be a space of 5 meters between cylinders, unless they are separated by a rigid noncombustible screen 1 centimeter thick.
No cylinder, either full or empty, may be left inside the exhibition hall if it is not connected to a device in
use.
Cylinders may be connected to the apparatus they serve with a flexible pipe in accordance with stands.
These pipes must:





Be renewed before their expiry date;
Be suitable for the diameter of their connections and provided with fixing clips;
Be no longer than 2 meters;
Be accessible for their full length and able to move freely without being fixed down; and
Not be within reach of the flames of the burners or of the products of combustion.

6.2 SUPPLY TO THE APPARATUS
If, under special circumstances, one cylinder is used to supply several items of apparatus, the pipework
must be in metal (copper or steel). The use of soft soldering joints for connections shall be forbidden.
Cylinders must always be kept upright and the stop valves must remain accessible under all
circumstances. Any enclosed area used to house the cylinders must be provided with ventilation holes at
high and low levels, positioned such that they are not obstructed by a wall, a piece of furniture or an item of
apparatus.
6.3 INSTALLATION OF COOKING APPARATUS
For offices and kitchens with cooling and reheating equipment representing less than 20kW in total, the
following rules must be respected:
 The floor (or the table) supporting the cooking apparatus must be constructed from non-combustible
materials or be faced with M0 materials.
 The cooking apparatus must be kept a suitable distance from any combustible material and must be
installed in such a way as to prevent any danger of fire.
 If such items of apparatus are located near a partition, an M0 finish must be provided for a height of
1 meter next to the apparatus.
 Extractor hoods must be installed over apparatus giving off fumes or steam.
 Fuse boxes must be kept at least 1 meter away from water points.
 Each installation must:
 be provided with safety instructions (action in the event of fire, method of calling fire and rescue
services, etc.),
 be provided with one or more fire extinguishers.
7. WORKING EQUIPMENT, HEAT AND COMBUSTION ENGINES
Each machine displayed in operation within a trade fair shall be subject to a prior declaration, as per the
model provided (see Appendix), submitted to the organizer of the exhibition at least one month before the
event opens. Only installations which have been the subject of a declaration will be permitted.
All equipment must be properly stabilized in order to prevent any danger of it falling over. All protective
measures must be completed when the safety committee pays its visit. A person in charge must be
present on the stand when this visit is made.
No machine may be turned on or left running when a qualified person is not present on the stand. All
presentations and demonstrations shall be carried out entirely at the exhibitor’s liability.
The supply of electricity will be totally cut off, at the expense of the exhibitor concerned, on any stand
where working machines create a danger for the public and no steps have been taken to eliminate such
danger.
7.1 EQUIPMENT SHOWN IN OPERATION IN A STATIONARY POSITION
Equipment shown in operation in a stationary position must either have fixed screens or casings, suitably
adapted, to prevent the public touching any dangerous part, or be positioned such that the dangerous
parts are beyond the reach of the public and, at the very least, at a distance of 1 meter from the circulation
aisles;
7.2 EQUIPMENT SHOWN IN A STATE OF MOVEMENT
When equipment is shown in a state of movement, a protected area must be established so that the public
is kept at least 1 meter away; this distance may be increased according to the characteristics of the
equipment on show. These requirements shall apply to all stands, including those located outdoors.

7.3 EQUIPMENT WITH HYDRAULIC JACKS
If equipment with hydraulic jacks is on show in a raised static position, the hydraulic safety devices must
be safeguarded by a mechanical device to prevent any accidental collapse.
7.4 HEAT AND COMBUSTION ENGINES
The use of heat and combustion engines shall be subject to a request for approval submitted to the
organizer at least 30 days before the event opens. This application, which may be submitted in any form
(to be attached to the Machine or Working Apparatus Declaration Form – for more information, contact
Ernie Marchand, [email protected]), must indicate the nature and the daily quantity of fuel used and
must be accompanied by technical instructions for the apparatus and a drawing showing the layout of the

CAUTION: In all cases, exhaust gases must be piped outside the halls.
8. INFLAMMABLE LIQUIDS
8.1 GENERAL REMARKS
They use of inflammable liquids shall be limited to the following quantities for each stand:
 10 liters of inflammable liquids, 2nd category for each 10 m2 of stand, with a maximum of 50 liters,
 5 liters of inflammable liquids, 1st category.
The use of particularly inflammable liquids (carbon sulphide, ethyl oxide, etc.) shall be forbidden. The
following precautions shall be taken:
 A container which can hold all of the fuel shall be placed under the cans of tank,
 The apparatus shall be refilled at times when the public are not present,
 Appropriate fire extinguishers shall be placed in the vicinity.
8.2 DISPLAY OF MOTOR VEHICLES INSIDE THE HALLS
The fuel tanks of motor vehicles displayed in a stationary position must be emptied or provided with locked
filler caps. Battery terminals must be protected to make them inaccessible.
8.3 DISPLAY OF INFLAMMABLE PRODUCTS
All containers of inflammable liquids displayed on the stands (tins of paint, varnish, bottles, aerosols, etc.)
must be empty except for a few samples in limited quantities used for demonstration purposes.
8.4 COMPRESSED GASES
Cylinders of air, nitrogen and carbon dioxide shall be permitted without restriction.
The use of acetylene, oxygen, hydrogen or a gas having the same risks shall be subject to an application
for approval submitted to the organizer at least 30 days before the opening of the event. This application,
which may be submitted in any form (to be attached to the Machine or Working Apparatus Declaration
Form – for more information, contact Ernie Marchand, [email protected]), must indicate the nature of
the gas and the capacity of each cylinder and must be accompanied by technical instructions for the
apparatus and a drawing showing the layout of the apparatus in the stand. No gas of this type shall be
authorized of the application for approval has not been made in due time.
CAUTION: no storage of empty or full cylinders shall be permitted inside the halls.

8.5 PYROTECHNIC DEVICES AND FIREWORKS
Pyrotechnic effects which generate loud bangs, sparks or flames shall be strictly forbidden.
The use of smoke generators to create mist or light effects shall be subject to a request for approval
submitted to the organizer at least 30 days before the event opens. This application, which may be
submitted in any form (to be attached to the Machine or Working Apparatus Declaration Form – for more
information, contact Ernie Marchand, [email protected]), must indicate the nature and the daily
quantity of the gas used and must be accompanied by technical instructions for the apparatus and a
drawing showing the layout of the apparatus on the stand.
No apparatus of this type will be authorized of the application for approval has not been made in due time.
9. RADIOACTIVE SUBSTANCES – X-RAYS
9.1 RADIOACTIVE SUBSTANCES
Permission to show radioactive substances on exhibition stands may only be granted for demonstrations of
apparatus and when the radioactivity of these substances is less than:
 37 kilobecquerels (1 microcurie) for those formed from or containing isotopes of group I (2),
 370 kilobecquerels (10 microcuries) for those formed from or containing isotopes of group II7,
 3700 kilobecquerels (100 microcuries) for those formed from or containing isotopes of group III7.
Waivers may be granted for the use of substances with higher levels of radioactivity provided that the
following measures are taken:
 the radioactive substances must be securely protected,
 their presence must be indicated using diagrams based on ionizing radiation as defined in standard
NF M 60-101 together with an indication of their nature and their level of radio-activity,
 it must be rendered materially impossible for the public to remove them, either by fixing the
apparatus using them, or fixing them in such a way that a tool is needed for removal, or by keeping
them at a distance,
 they must be supervised at all times by one or more exhibitors appointed by name,
 when this supervision ceases, even, in the absence of the pubic, the radioactive substances must be
stored in a fireproof container, marked very clearly with the conventional sign for ionizing radiation,
 the effective dose equivalent, at any point on the stand, shall remain less than 7.5 microsieverts per
hour (0.75 millirems per hour).
The use of radioactive substances shall be subject to a request for approval (of for a waiver) submitted
to the organizer at least 30 days before the event opens.
This application, which may be submitted in any form (to be attached to the Machine or Working
Apparatus Declaration Form – for more information, contact Ernie Marchand, [email protected]),
must indicate the nature and the level of radioactivity of the substances and the group to which they
belong, the name and position of the people responsible for supervising them and must be accompanied
by technical instructions for the apparatus and a drawing showing the layout of the apparatus on the
stand prepared and signed by the installer certifying compliance with the requirements. No apparatus of
this type will be permitted to be used if the application for approval has not been made in due time.
CAUTION: Stands on which radioactive substances are displayed must be constructed and decorated
using M1 materials.

9.2 X-RAYS
Approval to display apparatus which emits x-rays on the stand may only be granted if they, together with
their accessories, comply with the rules established by standard NF C 74-100. In particular, the following
procedures shall be taken:
 unnecessary object shall be moved away from the x-ray generator and from the sample being
examined,
 the area out of bounds to the public shall be clearly defined and marked,
 the rate of exposure to leakage radiation must not exceed 0.258 microcoulomb per kg per hour (1
millirontgen per hour) at a distance of 0.1 m from the x-ray source.
The use of an apparatus which emits x-rays shall be subject to a request for approval submitted to the
organizer at least 30 days before the event opens. This application, which may be submitted in any form
(to be attached to the Machine or Working Apparatus Declaration Form - for more information, contact
Ernie Marchand, [email protected]), must be accompanied by technical instructions for the apparatus,
a drawing showing the layout of the apparatus on the stand and a document prepared and signed by the
installer certifying compliance with these requirements.

10. LASERS
The use of lasers in exhibition halls will be permitted provided that the following requirements are met:
 The public shall, under no circumstances, be subjected to the direct or indirect beam from the laser.
 The apparatus and its associated equipment must be securely fixed to stable elements.
 The area surrounding the apparatus and the area swept by the beam shall not have any elements
which reflect the corresponding wavelengths.
 The casing containing the laser, and any optical deviation device it may have, must be in class I or II
(to comply with standard NF C 20-030).
 Exhibitors must ensure, by means of tests carried out when the public are not present, that the
materials used for fitting out and decorating the stand, and fire protection equipment, do not react to
the heat energy given out by the light beams.
 No direct or reflected ray shall be permitted in the safety zone, defined as the area located under a
horizontal plane 2.60 m above the ground or above the highest point accessible to the public,
surrounded on all sides by a non-accessible strip 1.50 m wide.
 An emergency stop device for the laser(s) shall be installed close to the electrical control panel.
 Casings shall be provided around the optical deviation devices so as to prevent any rays escaping
from the permitted scanning area.
Any laser installation shall be subject to an application submitted to the organizer at least 30 days before
the opening of the event. This application, which may be submitted in any form (to be attached to the
Machine or working apparatus Declaration Form - for more information, contact Ernie Marchand,
[email protected]), must be accompanied by technical instructions for the apparatus, a drawing
showing the layout of the apparatus on the stand and a document prepared and signed by the installer
certifying compliance with these requirements. No apparatus of this type will be authorized if the
application has not been made in due time.

10. EMERGENCY EQUIPMENT
Emergency equipment must remain visible at all times. Access to the various items of emergency
equipment (hydrants, hose reels, telephones, fire extinguishers, smoke vent controls, etc.) must be kept
clear at all times.
On stands that are provided with a hose reel, a 1 meter wide space, totally clear of any obstructions, shall
be maintained between the apparatus and the public circulation aisles. The use of panels or fabrics to
conceal the apparatus shall be absolutely forbidden.
12. OPERATING INSTRUCTIONS
It shall be forbidden to stock cases, wood, straw, cardboard, etc. in the exhibition halls, on the stands or in
the aisles.
Regular cleaning (daily) shall be carried out in order to clear the premises of dust and rubbish of all kinds.
All refuse arising from the cleaning and sweeping must be removed each day, outside public opening
hours, and taken outside the establishment.
13. ACCESS FOR THE HANDICAPPED
Any booth with a floor from a height greater than 2 cm should be provided with a handicapped access
ramp included in the area of the stand. The slope is :
 8% on 2,5 meters,
 10% on 0,5 meters,
 33% for 4 cm high (12cm for a 4 cm high floor).
14. VIPARIS SAFETY AND SECURITY INSTRUCTIONS

While at the Viparis Porte de Versailles Exhibition Center, to prevent risks, it is important that you carefully
follow the safety and security instructions during your activities at the Viparis Porte de Versailles Exhibition
Center.
EXHIBITION CENTER OPENING TIMES - Please review Viparis SAFETY INSTRUCTIONS The safety
instructions are included in appendix No. 11 of the safety specifications. The instructions are displayed at the
vehicle entrance gates – marked B, C, D, K, M and T – and must be strictly observed by all people operating
in the Center. These instructions include:

The VIPARIS Ext
Exhibitors have several options available regarding their shipment and freight into and out of France. However,
TIACA has engaged CEVA as their Official Freight Forwarder. We encourage you to contact CEVA SHOWFREIGHT as soon as possible so that a detailed quote for the services you require can be provided and orders
placed for such services. For Exhibitors using their own forwarder/agents to ship their materials, please keep
in mind that before any shipment will be allowed into Viparis, an arrival time must be scheduled and approved,
in writing, with CEVA.
All truck freight deliveries must use GATE D.

2. ON-SITE HANDLING. While exhibitors or their appointed agents may schedule a delivery to Viparis, with
an arrival time approved by CEVA, the unloading and all movement within the hall will be under the control
of CEVA unless the item(s) can be hand-carried by one (1) person. This regulation will be strictly enforced
and is necessary for reason of safety, insurance and control / coordination of in-hall movements.
Please Note; other than hand carried items, Exhibitors may only use CEVA for delivery and movement of
materials into and out of their booth location. Exhibitor may unpack and pack their crates and materials in
the VIPARIS, however, if you require assistance, please contact CEVA for more information, to arrange
labor and/or for a quote for such services.
3. RESTRICTIONS. France may prohibit the importation of certain items. Please contact CEVA or speak to
your forwarder for more details.
4. CONSIGNMENT OF EXHIBITS / MATERIALS INTO PARIS FRANCE. To ensure that your exhibit
materials imported into France are customs-cleared and delivered to your booth in time, importation rules
and requirements must be adhered to. Please note that all shipments being handled by CEVA must be
consigned direct to CEVA Showfreight. Please contact CEVA for more information.
For shipments handled by your own appointed forwarder (other than CEVA Showfreight), please ensure
that they are consigned to your stand and your forwarder is aware of local regulations and that they
coordinate with CEVA’s re: receiving instructions and requirements.
5. FREIGHT HANDLING / DELIVERY AND REMOVAL OF EXHIBITS. Please ensure that all exhibits and
displays are sufficiently insured for all stages of the exhibition, and that all exhibits and displays are
properly packed and crated with shock absorbing materials to prevent damage caused in transit and during
delivery to booths and vice-versa on-site.

FREIGHT HANDLING / DELIVERY AND REMOVAL OF EXHIBITS, continued:
a. Local Deliveries and Handling. Please contact CEVA to schedule all shipment to and from the
Viparis. Access to the exhibition hall is restricted. Exhibitors must ensure that the delivery, loading
and unloading of goods is via the bays designated. Vehicles at these loading / unloading bays will
be under the supervision and direction of CEVA and the exhibition security officers. The Organizer
will not accept any delivery on behalf of the exhibitor, nor can we be responsible for any failures in
delivery.
b. Delivery of Exhibits during Build-Up. Exhibits requiring mechanical assistance must be
scheduled and handed over to CEVA at the loading / unloading bay. Exhibitors using their own
freight forwarder must contact CEVA in advance in order to coordinate and schedule all arrivals and
departures to and from Viparis. Once delivered to their booth by CEVA, Exhibitors may empty
crates at their booths, then CEVA can remove the crates as per the arrangements made between
CEVA and Exhibitor.
c. Delivery of Exhibits during Exhibition Days (October 26-28, 2016). Removal or delivery of
exhibits and other exhibition stores WILL NOT BE PERMITTED DURING EXHIBITION HOURS.
Such removal, delivery or replenishment of stock may only be carried out before opening hours in
the morning or after closing time in the evening. On Wednesday, October 26, 2016, no delivery will
be permitted after 8:30 am.
d. Removal of Exhibits after Exhibition Closure / Teardown. In order to reduce the possibility of
damage, loss, etc., all small, personal, valuable, etc., -type items, Exhibitor must remove or secure
such items as of 4:00 PM on Friday, October 28, 2016. Exhibitors are strongly encouraged to be
on-site to control the re-packing and removal of these items before leaving the Viparis after the
Closing Ceremony on Friday evening. Schedule crate delivery with CEVA.
6. INBOUND AND OUTBOUND HANDLING CHARGES. Please contact Mark Jackson with CEVA for a

7. INSURANCE. The Organizer strongly recommends that your shipment be fully insured for all risks to
include transit to and from the exhibition and also during buildup, open period and breakdown with your
own insurance company.
