Peeper Ranch Event Package Thank you for considering Peeper Ranch for your event Our Facility rental is for Saturday from Noon to Midnight which includes the following: Use of the gazebo for ceremonies and the lobby, viewing rooms, and upper mezzanine for receptions Can comfortably accommodate 250 guests Decoration and rehearsal time Friday included (Noon until 8 PM) All decorating on Friday must be completed by 8 PM ***No food and/or alcohol on Fridays Please Use of barricades for traffic control during wedding Use of moveable kitchen and prep space for catering This package fee is 2,850.00 between the months of May and October This Package is 2550.00 between the months of November and April Half of the event fee and a signed event contract (pages 3 and 4 of this attachment) are due at the time of reservation with the remainder due 30 days prior to your event. A 500.00 security deposit is also required 30 days prior to the event and will be refunded after the facility has been returned to it’s previous condition providing all regulations regarding time onsite have been followed Day Time you can enter the property Time you must be off the property Friday Noon 8 PM (no rehearsal dinners here Please) Saturday Noon or 5 hours before your ceremony for instance if your ceremony starts at 3:00 you can be onsite at 10:00 AM 11:45 PM Last pour and song by 10:3011:00 PM or earlier all decorations alcohol food and trash should be removed Tables and chairs put away floors swept and mopped Facility must be clean and Everyone must be off site by 11:45 PM front Gates close at Midnight Being on the property Before or after these designated times results in the loss of a portion of your security deposit and may result in additional fees, Please make sure all your family and friends are aware of these conditions before they arrive You or your designated person must be onsite when there are any guest or vendor on the property You are solely responsible for the rental space, your guests and vendors, during the above times. Can we use our own vendors? A. Yes, Peeper Ranch is an open vendor facility which means you bring in your own tables, chairs, catering, bar service, and lighting. Most couples find this to be much more cost effective and it can add a more personal touch to your event. If possible, try to choose vendors that carry insurance. Q. Do you offer wedding planning or will you manage our event? A. No, we are a rental facility only. However, we do have a list of recommendations if you are looking for a planner, or specific vendors. Q. Can we have our ceremony outdoors? A. Yes, our beautiful white gazebo is the perfect spot to share your vows, and the outdoor photos are breathtaking. And, since we are in Kansas, we do have indoor options in case of inclement weather. All receptions are indoors. Q. Can we use decorations? A. Yes, you are allowed to decorate within reason as long as you leave no marks behind (nail or tack holes) and everything must be removed immediately after your event. Q. Can we have fireworks? A. Unfortunately no, Peeper Ranch is located within the Lenexa city limits, therefore open fires, fireworks, firearms, floating lanterns, and sadly even SPARKLERS are strictly prohibited. Q. Do you have hay bales that we can use for our outdoor seating? A. As fun as they look, hay bales can be very uncomfortable to sit on and difficult to handle. Many older guests are often genuinely concerned about making it through a ceremony using seating without back support. Rental Fees Include: Use of the Lobby, Viewing Rooms, Upstairs Open Area, Restrooms, Laundry Room (for storage, or serving station), for the time specified by this contract. Capacity is not to exceed 250 people. For additional people a 10.00 fee per person will be assessed. Renter is allowed to use outside vendors of their choice. Renter assumes all liability for vendor’s actions and will remain onsite with vendor during the time vendor is at the facility. Renter and/or guests of renter is allowed to: Serve food and alcohol utilizing outside vendors at their own risk Access employee kitchen and authorized guest/vendor spaces Set up tables and chairs inside and outside (all receptions must take place indoors) Use candles with caution, flameless are preferred Use provided Peeper Ranch trash receptacles or rent larger ones and use the dumpster behind the barn for trash Cleaning of the facility immediately after event is the responsibility of the renter Renter and/or guests of renter are not allowed to: Enter any office space, or the stall barn aisles without being accompanied by an employee Pet, feed horses, open gates, enter stalls unless previously authorized, or unless the horse is owned by the renter or guest Bring any outside animals into the barn or arenas unless previously authorized. Swim, fish, or allow any use of boats in any ponds on the premises Hunt or allow hunting anywhere on the premises Use fireworks, firearms or have open flame of any kind –sparklers are not allowed 3|Page Peeper Ranch Utilizes a Check-In and Check-Out System. Check-In is at Noon on Friday This time is for decoration only Guests must be off the property by 8 PM Friday *** Rehearsal Dinners are not included At check-in, renter will be met at the barn by a staff member who will be able to answer any questions and give a brief explanation to any vendors. Vendors can visit the facility ahead of time during normal operating hours, but a completed check-in must occur before table, chairs, and decorations are set up. Similarly all clean-up, table and decoration removal must be completed prior to checking-out with a Peeper Ranch employee at a predetermined time. Refund of security deposit is dependent on this occurring. A member of the wedding party must be onsite any time there is a vendor or a guest at the facility. All vendors will use the back entrance to load and unload their equipment. There must be a member of the wedding party here at all times when rental companies are loading and unloading. General Conduct Policy: Renter assumes all responsibility for any situation involving their guests and/or vendors at their event. If alcohol is served the renter assumes all responsibility for the actions of their guests and attendees. The renter agrees that all measures necessary will be taken to insure that guests follow state laws regarding alcohol consumption especially those relating to Driving Under the Influence and Underage Consumption. Peeper Ranch reserves the right to determine if anyone is considered a nuisance and have them removed (by the police if necessary). This includes guests and/or vendors. The Renter assumes responsibility for any and all damages to the facility, property, and furnishings incurred by any guest, or vendor, before, during or after the event from check-in until check-out time. The affixing of decorations must be pre-approved before or at check-in. Nail holes, tack holes and tape are considered damage. Please use Command Strips or a similar product that will not damage paint or wood. As this is a working horse facility, all children must be supervised at all times for their own safety and the safety of others. Peeper Ranch is a tobacco free facility. The only smoking area is on the lower level front porch. Cigarette butts are considered damage if left on the ground outside the facility and will result in loss of portion of security deposit. ALL trash, decorations, alcohol and all food items must be disposed of prior to leaving on Saturday night. Facility must be returned to it’s original condition, seeping, mopping and vacuuming must be done prior to leaving Saturday night. Parking is the responsibility of the renter and must not restrict emergency vehicles from entering the barn. Peeper Ranch staff will help with parking if possible, but please have one or two people on hand to help. Peeper Ranch is an operational horse facility and as such, lessons and training may be occurring in the arenas, round pens, and/or outdoor working pens at the barn at any time before, during, or after the event listed above. Failure to comply with these policies can result in the loss of renter’s security deposit and/or additional charges to renter. In extreme circumstances, Peeper Ranch reserves the right to cancel any event at any time with a full refund.
