Progression Overview 1.1 Introduction This document will detail the process devised to manage progression for all postgraduate students in the University. School staff will use a combination of Business Object reports, SITS progression (CSP) and MAP to create a progression decision and communicate this to the students. 1.2 Process Structure PGT Progression process should follow the structure outlined below. This structure however is a guideline as the process may need to vary to cater for different student situations and programmes requirements. 2. School to input marks into SITS 3. Module becomes COM / RAS with agreed marks populated 6. Produce Business Objects report for Exam Board 7. School to hold Exam Board meeting 8. Post Board - Make any necessary changes to SITS assessment data 11. 2 2. SPR Batch Codes 2.1 What SPR batch codes mean The SPR batch code will be pre-populated before enrolment and will be subsequently updated after each progression point when the outcome has been agreed using CSP in SITS. The batch code is a crucial component in process as it instructs which set of rules CSP should use. As the student will initially start in the taught element, the batch code will reflect this by starting with a ‘T’. The next character indicates if the student is part time or full time, so a part time student will begin with ‘TP’ and a full time student will start with ‘TF’. The codes are then updated depending of the agreed progression outcome. Below are the SPR batch codes in more detail. Review period for modules taken & completed for taught element(s). This is optional and can be set at the CBO UDF level progression point: o TF_REV – Taught - full time student o TP_REV – Taught - part time student Modules taken & completed for taught element(s). o TF – Taught - full time student o TP – Taught - part time student Modules taken & completed in referral and cannot proceed to dissertation (if applicable). o RF – Referral - full time student o RP – Referral - part time student Students doing their dissertation. o DF – Dissertation - full time student o DP – Dissertation - part time student o DTF – Dissertation and trail up to 30 credits of referrals - full time o DTP – Dissertation and trail up to 30 credits of referrals - part time student 3 2.2 Order of SPR batch codes within progression Below is a diagram showing how the batch codes flow from one another. The programme used in this diagram follows the general regulations (taught 120, dissertation 60, total 180 credits). A student will only move to the next batch code once they have achieved the desired number of credits to proceed, otherwise they remain in on the same batch code. Therefore Schools can run through progression at any time if they wish to review how their students are progressing. Modules taken & completed for taught element(s): o TF – Taught - full time student o TP – Taught - part time student o Modules taken & completed in referral and cannot proceed to project (if applicable): o RF – Referral - full time student o RP – Referral - part time student Students doing their dissertation: o DF – Dissertation - full time student o DP – Dissertation - part time student o DTF – Dissertation and trail up to 30 credits of referrals - full time o DTP – Dissertation and trail up to 30 credits of referrals - part time 4 3. Background SITS Progression Record - SPI 3.1 Creating SPIs For progression, SITS creates a Student Progress Info (SPI) record. This record is created using the CSP screen. A new SPI record would need to be created per progression point. Each time the ‘Generate SPIs’ option is run, it will create a new record, regardless if there is an existing SPI for the academic year/period. 5 3.2 SPI record overview The SPI record holds all relevant information about the progression, including the current SPR batch code. The SPI record(s) can be viewed from SPR (Other->Award->Progress). When CSP is run prior to the Exam Board, it generates the actual decision by populating the ‘Actual PIT’ field. This is SITS predicted decision. This decision would help those within the Exam Board meeting to conclude what the student’s progression outcome should be. After the Exam Board, when changes such as condonements are made in SITS, CSP should be run again to either confirm the decision made by SITS, or select another decision. There is a notes section that will allow users to record further information regarding the progression, for example what modules the student may be referred in. The CSP process will also run PSA when an ‘AWARD’ or ‘LESSER AWARD’ decision is agreed. A SAW record is created with the status set to ‘C’ for calculated. Once a progression decision is made, an overnight batch job will update the SPR batch codes accordingly. 6 3.3 Changes to the SPR batch code when progression decisions are agreed The next diagram shows how the current SPR batch code and an agreed progression decision influences the next SPR batch code. An overnight batch job will review all the agreed SPI records and update the SPR Batch code. The SPR Batch code will take into account the MOA and set the new batch code accordingly. SPI UDF1 will be updated with the date to indicate that the SPR Batch has been updated. Progression decisions 4.1 Decisions for SITS progression Below are the decisions made by the progression process which shows the outcome decision for a student. Some decisions are generated by SITS, but cannot be confirmed and must be changed when agreeing the outcome. This is because SITS cannot make this decision as it needs someone to review the data first. Continue Taught – The student has not completed the taught element. Progression course profiles Each programme around the University has been assessed and grouped into progression course profiles. These profiles taken into account the number of credits, condonements, and dissertations if any. 5.1 Individual progression profiles The progression course profiles are listed below. T120_D60_180 – These rules following the general regulations where the taught element consists of 120 credits, dissertation with 60. Please refer to document ‘PGT Progression - Rules for T120_D60_180 (from general regs)’ for more information. T100_D80_180 - These rules also follow the general regulations however the credit weighting is different. The taught element consists of 100 credits, dissertation with 80. Please refer to document ‘PGT Progression - Rules for T100_D80_180’ for more information. T60_60 – This profile awards the student once they have completed 60 credits. Please refer to document ‘PGT Progression - Rules for T60_60’ for more information. T120_120 - This profile awards the student once they have completed 120 credits. Please refer to document ‘PGT Progression - Rules for T120_120’ for more information. T120_OPT_T60 - This profile awards the student once they have completed 120 credits with an option to take an additional 60 credits in taught. Please refer to document ‘PGT Progression Rules for T120_OPT_T60’ for more information. T120_D60_2 – These rules have 120 credits for the taught and 60 credits for the dissertation. The dissertation is taken alongside the taught element once the student completes taught 60 credits.
