Relay For Life Online Participant Centre: A guide for Team Captains relayforlife.org.au Add your Relay story 1. Log in to your Participant Centre using the button at the top of the screen. If you are already logged in, click on the Participant Centre link at the top of the page. 2. Click on the “Your Page” tab. 3. Click on the “Title” bar and add your headline message. For example “My reason to Relay is...” 4. Click into the body text area and write your story to inspire your friends and family to support you. 5. Once you are happy with your story, click “Save”. 6. You can also personlise your URL, by clicking the “url settings” link and typing in a name for your page. 1 2 6 3 4 5 Update your personal details 1. 2. In the pop up box you can edit your personal details, email preferences and linked social media accounts. SEND YOUR PROFILE TO FAMILY AND FRIENDS shaded box. 1 Uploading a photo or video profile picture 1. On the right-hand side you will see a box that says “Photos/Video”. Select this option. 2. Click “Choose File” to upload a picture you have saved on your computer or device. We recommend using a portrait picture that is 263x350 pixels and only jpeg formats. 3. If you have a video about why you Relay, select the video option and paste in a link (i.e. from YouTube) 4. Click save. 5. To preview your page or go back to your story, select “Content” in the right-hand side box. 5 2 4 1 3 Note: you can only upload one profile picture or video. Personalising your Team Page If you are a Team Captain, you can also update your Team Page. 1. Click on the “Team Page” tab. 2. Follow the same steps as above. Share your page on social media Once you have personalised your page you can share a link to it on Facebook and Twitter. 1. Click on the “Home” tab. 2. Scroll down to the five icons below the message from Cancer Council. 3. Click on the “Share Your Page” plus symbol icon. 4. Choose your social channel and a box with a message and link will appear for you to post. 1 1 4 2 3 Adding a blog post Keep people up to date on your progress by starting a regular Relay blog. 1. On the “Your Page” tab, click on the component link on the right-hand side and enable the personal blog feature. 2. In the Your Page tab, click on View Personal Page link 3. Scroll down the page to the Relay Blog section and click “post a new topic”. 4. Enter a subject and your message. 5. Sending emails Sending an email is a great way to ask your friends, family and colleagues to support you and your team in the Relay. We have a number of pre-written emails ready for you to use. Simply follow these steps to access them: 1. 2. 3. 4. 5. 6. 7. Click on the “Email” tab. Click on the “To” box to type in your email of your recipient. You can also import your contacts list from your 1 1 7 2 Use the pre-written templates to ask people to donate or join your team. Click the “Use a template” link to choose a template. If using a template, 3 4 in purple square brackets e.g. [Insert your name here]. If you would prefer to craft you own email, simply click in the blank box and type your message. You can add images as well as text. Select one of the Relay stationery layout options. Once you are happy you can preview, save or send your email. 5 6 Encouraging your team Here are some ways you can use your Participant Centre to contact your team, and encourage them 1 Leave a message for your team members As a Team Captain you can send a personalised message to your team members, which they will see when they’re logged into their Participant Centre. Here’s how: 1. On the “Home” tab, look for the purple box in the right-hand column titled “Message From Your Team Captain”. 2. Click “Edit” 3. Enter your message and click “Save”. Send a welcome email to new team members Each time someone joins your team you will receive an automated email. It’s a good idea to welcome your new team members, and here’s how you can send them a welcome email within your Participant Centre: 1. On the “Home” tab, scroll down to the “Recent Activity” box at the bottom of the page. 2. If someone new has joined your team, it will show in the left-hand column with the text “Recruit”. 3. Click on the blue “Send a welcome message” link. 4. You can also send emails to thank your supporters from this screen. 2 3 1 2 3 4 Tip: A link to your Participant Centre will automatically be added to your email. This won’t appear in the preview, but you can send a test email to yourself if you would like to see the email layout. Tip: Remember to save your work. If you are not active in your Participant Centre for more than 15 minutes the system will log you out and you will lose your work. Track your progress As a Team Captain, you have the ability to view and track your personal progress and the progress of your team under the “Your Progress” tab. 1. Personal progress You’ll automatically see your personal progress report under the “Your Progress” tab, which shows the amount you have raised, your goal, the percentage of your goal raised and the number of days left until your Relay. Your donation history is also displayed below this on a chart and in a table. 1 2. View donations Click the “View personal donations” link to open the table in a separate tab, or “Download personal donation list” to save your donation list as an Excel file. 2 3 3. Thank donors You can also thank your donors from this table. Under the “Actions” column, click the small mail icon and the “Acknowledge Gift” box will pop up. You can either acknowledge the donation, or click “Email” to email your donor. 4. Team progress To view your team’s progress, click the “Team” tab in the right-hand box. You’ll see similar information to that presented on your personal progress page. 4 5. View team members At the bottom of the page, you’ll see a “Contributing Team Members” heading. Here, you can choose to view a list of your teammates or download as an Excel file. You can also download an Excel report by clicking “Download team statistics”, which details your team members’ fundraising goals and fundraising. 5 6. Enter fundraising collection You can enter fundraising in your Participant Centre – to enter money donated to you, make sure you’re in the “Personal” section, and to enter money donated to your team, make sure you’re in the “Team” section. 7 • Click the “Enter Fundraising” tab in the right-hand side of the page. • Enter the donation details made to yourself/your IMPORTANT: • You will need to enter credit card details in order to make a team and click “Add” or “Save and Add Another”. donation online through your Participant Centre. 7. Change fundraising goal Click the purple icon in the “My Goal” or “Team Goal” box. • • You will not receive a receipt as this is a collection. Collections cannot be split between team members.
