HWRSD User Fee Policy
It is the policy of the Hamilton-Wenham School Committee to charge an athletic User Fee each season for
participants who becomes members of a Hamilton-Wenham Regional High School team. The fee will be collected online, through the Family ID registration portal during the registration period.
Scholarship Application: An application for a financial scholarship is available on the Athletic section of the HWRHS
web site under the “Athletic Policy and Forms” link and must be completed and evaluated by the building principal
before that season registration deadlines. .
User Fee Relief: Beginning in 2012-13, the Hamilton-Wenham School Committee has approved 20% relief to all
individual User Fees. Beginning in 2013-14, there are two options for additional User Fee Relief for student-athletes
and their families.
1. Any athlete who competes in three sports, regardless of level, will be granted full user fee relief their spring (i.e. 3rd)
sport.
2. Families / guardians that have multiple children that compete on more than three total sports teams per school year
(i.e. four and above) will be granted full relief for the fourth and subsequent seasons in which their children participate.
Please Note: Athletes receiving full financial scholarship for a given season will not have that season counted toward
User Fee Relief scenarios. Partial scholarship seasons will count toward User Fee Relief scenarios.

** When a families’ children sign-up for their 3rd and 4th sport collectively in the same season, full user fee relief will
be given for the sport that costs less money to play.

2nd Child who only participates in spring sport
Full Relief – 2nd Spring Sport **
** Full user fee relief will not be granted for both spring sports. Rather, full relief will be granted to the one spring
sport that is set at a lesser cost.

User Fee Relief Scenarios / Examples:
Student plays: Fall, Winter and Spring Sport at HW.
Result: The Spring HW Sport would be Free.
2 Students from Same Family play: Each play Fall Sports. One plays HW Winter Sport, One plays Spring
Result: The Spring Sport would be Free.
3 Students from Same Family play: Each plays Fall Sport. One plays Winter Sport. Two Play HW Spring
Result: Both Spring Sports are Free
Reimbursement Policy for Student Fees
1. Provided they first receive approval from the Athletic Office, any student cut from a team can switch to a program
that has open enrollment or be refunded fully.
2. Full reimbursement if withdrawn before the "sufficient enrollment" date. Sufficient enrollment dates for each
season can be found on the Athletic section of the HWRHS Web Site under that season’s “Registration
Information.” The student athlete or parent/guardian must officially withdraw in person at the Athletic Office or
must speak to someone in the Athletic Office. Students moving from the District will be eligible for a prorated
refund of the specific activity fee. Refunds will be forwarded approximately 30 days after notification of
withdrawal. Refund request may be made to the Athletic Office.
3. Students who are unable to participate in an activity because of illness or injury (physician's statement required)
will be eligible to receive a prorated refund of the specific activity fee. This amount will be determined solely by
the Athletic Dept.
4. If a program falls under minimum numbers due to students transferring from one sport to another, the original
sport fee will remain in the original sport fund. If the cost for the transferred-into sport is higher than the original
sport, the balance will go into the second sport fund. If the cost for the transferred-into sport is lower than the
original sport, the balance would possibly be refunded after review of Athletic Director. Deadline for making a
transfer from one sport to another will be 3 (three) weeks from the first day of practice.

There shall be no refund under the following circumstances:

The athlete is dismissed from the team due to disciplinary problems.

When a student-athlete is placed on a sub-varsity team instead of varsity (at any time during the season), this does
not constitute being cut from the program and thus, no refund is provided in this case.

An athlete is dismissed from the team due to scholastic deficiencies. While the MIAA allows for continued
participation in practice, it is completely at the Head Coach’s discretion whether an athlete is allowed to continue.

An athlete withdraws from the team past the "sufficient enrollment date".
In extenuating circumstances, a refund may be authorized by the athletic director and the principal, if the team has
a complete roster plus two (2) additional paid athletes and the request comes within the first five (5) days of
practice.
