residents website
This document serves as a quick introduction to the new web based function.
This function allows residents to announce visitors in advance via a webpage and provides
information on people registered to a specific stand.
In order for a resident to be able to announce a visitor the following needs to be in place:
1. The resident must log in to the website with the provided login detail.
2. The visitor must already have been registered once before on the new system.
How to acquire login details for the website
All residents will initially receive their login details via SMS after which he can start using the
system.
Existing login details can be requested from the office at any time.
Residents can also request new random generated login details from the office at any time.
How to register a visitor on the biometric access control system
When a person visits a resident for the first time they get registered on the biometric access
control system by the security staff upon entering the estate. This means that people who
have visited a resident before, should already be registered on the new access control
system. This can easily be checked by the resident on the visitor announcement website as
explained below.
How a resident can use the website once registered

A resident can access the website via any device with an internet connection.
Firstly the resident is presented with a Login screen as seen below:
Here the resident enters his login detail that he received via SMS. First entry is your stand
number, second entry is your Password, then accept the disclaimer and click the Login
button.
The resident will now be presented with the screen as seen below. Your visitors that has
registered on the new system from a previous visit will appear on the screen as per below
(blacked out in this example).
If the visitor does not appear on this screen but has registered before, you can search by
entering the visitor’s ID number in the field circled above in red. The resident then clicks the
Add Visitor to add this person to this page. The system will then display the visitor as above
(blacked out)
Visitors added to this list will stay there unless removed by the resident.
There are three icons next to the visitor’s detail:
The first icon indicates the status of the visitor.
Red means visitor is locked and cannot be granted access, contact the office for assistance.
Yellow means visitor found on system but not announced i.e. “no access has been granted”.
Green means that the visitor has been announced and can enter via any lane by placing
their registered finger.
The second icon (megaphone) can be clicked to announce the visitor. When clicked the
status icon will show busy until a confirmation has been received from the server that the
visitor has been announced. The status icon will then change to green to indicate that the
announcement was successful. This may take a few minutes.
The third icon enables the resident to remove a visitor from his favorites list, “dustbin”. This
will not remove the visitor from the biometric access system but only from the resident’s
favorites list. A visitor can be re-added anytime in the future provided he is still registered
on the biometric access system.
When a visitor has been announced he will only stay active for 24 hours after
announcement. When the 24 hours has passed he will not be able to access the premises
until such time as he is announced again by a resident. The visitor will also become inactive
after exiting the estate during the active period. If you do not give access via the web page,
the security staff will phone you to grant access.
People registered on your stand
You can click on “Stand Info” which will present you with the following screen.
This screen gives you the information of all people registered on your stand whether it is
permanent residents, domestic worker, gardener or other family.
The people listed under “Vas Contact 1, 2 & 3” are the speed dial numbers, in order of
preference, that will be called by the security staff to request visitor access when you have
not granted access via the web page. If Vas Contact 1 cannot be reached, then Vas Contact
2 will be called
This also ties up with the column “VAS #”
The columns marked “C Number”, “C Number 2” are the contact numbers for each person.
Edit Stand Detail
By clicking on the “Edit” button next to a specific name the following screen will be
displayed.
Changes can be made and “saved” to the system.
Notification
The Stand Notifications function will enable you to receive a notification for any Access
activity for a domestic worker, gardener, contractor etc. These can be in the form of a SMS
or Email.
To do this you click on the yellow envelope (Notifications)
 Accept the disclaimer
 Enable notifications
 Check the relevant boxes for receiving a SMS/Email
 Check the relevant boxes for receiving on Entrance/Exit
 Click on Save
Time Mask
The Time Mask function allows you to control the allowed access times of your domestic
worker, gardener, contractor etc. They will only be allowed access into the premises on the
time and days allocated.
To do this you click on the green clock (Time Mask)
 Check the boxes of the relevant days
 Select the relevant access from and to values
 Click on Save
Information Audit
The stand information audit process is also incorporated on this page.
A warning message will appear when the information audit is out of date.
The stand information can be confirmed as up to date via the ‘Confirm Information’ button.
An acknowledgement page will open where you will need to fill in your name and enter an
optional comment
