Quick Guide to getting started on Akari
Creating a New Stream within an Existing Course for Academic Year
2015_16


Log into the following link: https://nuig.akarisoftware.com/curriculum/index.cfm
Click on Login Using Federated Access

Enter Staff ID in Username i.e. 00123xxs and your password which is the same password you
log into your PC with each day.



Q: Why would a user need to Creating a New Course Stream within an existing Course?
A: There are a number of different reasons that a user may require a new stream
1. In this example there are several streams of the Bachelor of Commerce
Course – BC
Course Stream –
BC1 Bachelor of Commerce
BC2 – Bachelor of Commerce (French) etc.
2. In this example the full time stream is MC1 and the Part Time stream is MC2
3. In this example the first stream is for the Master of Science (Human Resources) – MHR1
The second stream is Postgraduate Diploma in Human Resources – MHR2
This MHR2 stream was set up as an exit route for students who cannot complete the
Masters stream




Getting Started
On the Main Tab at the top of the screen go to the ‘Course Stream’ Tab
Click on ‘My Course Streams’
Click on

The next step will be to complete the table which is prompted as below.










In this example we are setting up a 2 year part time version on an existing course stream
MAA1 – Master of Arts (Akari)
Title – For this example we will use the same title and add Part Time at the end of the
description
Valid From – 2015_16……………..
Discipline - The Discipline field is a little misleading here, you should actually enter the
College i.e. College of Arts, College of Science etc.
Click on ‘Create’
The Main Screen will be opened.
Under the ‘Main’ Tab please fill in all the fields
Course Stream Code - Follow the Coding convention doc to create a new Course Stream
Code
For this example the Code will be MAA2
Course Stream = 3 alphabetic (characters) and one numerical value for the stream, generally
‘1’ for full time and ‘2’ for part time streams For example BAX1 (full time) BAX2 (part time)

Course Stream Short Title –
This is not a required field and can be left blank or populated; it is only the Course Stream
Title that will be sent via the message link when the Student Record System is populated
with these updates.

Clearing House Code This is the CAO code for UG programmes and the PAC code for Postgraduate programme.

Language of Instruction
Please enter English as the default and Irish where appropriate

Valid From
This will be populated automatically based on earlier entries but double check that it is
correct

Course
It is very important to choose the correct Course in this field.
For this example Choose MAA as this is the main Course to which the various course streams
are added.

Discipline - The Discipline field is a little misleading here, you should actually enter the
College i.e. College of Arts, College of Science etc. here

Course Stream Level – Please see information in the following link.

Location – Enter the correct Location i.e. NUIG

ISCED – Enter the Correct ISCED code, all the options are in the drop down box

Mode of Delivery – Choose the appropriate Mode of Delivery i.e. Full Time or Part Time and
click on the arrow to bring your choice over to the Selected table on the rights

Semesters Per Course Instance – e.g. Enter ‘2’ if there are two Semester i.e. Semester 1 and
Semester 2.

Number of Course Instances – e.g. Enter ‘2’ if the duration of the programme is 2 years
therefore there will be two course instances to which you will add module

These two fields are optional

Embedded Award – Tick here if for example you have a 4 year UG programme and there is
an Award after First Year or maybe second year or both i.e. Certificate after Year 1, Diploma
Awarded after Year 2.

Course Stream Director – This is populated with the user who has been entered as the
Course Sponsor under Course.
This can be edited here is the course stream director is different
Who Can Access – Here you can add a number of Editors i.e. people who may be working
with you in creating / editing this course stream



Save – There is an option at the top and bottom of each page to Save Course Stream, please
do that regularly

Stream Outcomes Tab – Here you can add the Stream Outcomes under the various heading.
Click on ‘Add Programme Outcome’ tab.

Under ‘Outcomes Type’ all the Stream outcomes will be listed i.e. Knowledge – Breadth etc.
– Choose the Outcome Type and add the information in the Programme Learning Outcome
field and click on ‘Add’


All the Course Stream Outcomes will be populated at the top of the screen.
The user has the option to list these in order using the Up and Down button, they can edit
entries using Edit and they can Delete an entry by clicking on ‘X’ under Del.
This is not a required field for the purposes of going through the approval process


Course Instance Tab – Under the Course Instance Tab initially the following basic
information will be populated.
This will be based on two entries under the Main tab, i.e. Semesters per Course Instance and
Number of Course Instances, both of which are ‘2’ in this example, so under Course Instance
you will see two entries, one for year one, one for year 2.
Note: There is development work underway whereby the Course Instance and the Start and End
Date will be automatically populated. This development work is NOT yet completed so therefore
please complete all of these fields under further notice.










Level – Enter 1 for a level 1 course instance and 2 for a level 2 course instance i.e. BA
Undergrad.
The coding convention to be used is as follows
Course Instance = Numerical value equal to the year of course, 3 alphabetic (characters) and
stream number numerical value - 1BAX1
Enter the Code under Course Instance i.e. for this example 1MAA2 and 2MAA2
Enter the ISCED code under ISCED
Choose from the drop down under Course Instance Award, the Award you choose earlier in
the process will be available in the drop down.
Add Location i.e. NUIG
Update Start and End Date as follows
Note: Currently this is displaying as MM/DD/YYYY we have asked for development to
change this to DD/MM/YYYY, this is not in place.
For this example and until further notice please enter start date 09/01/2015 end date
08/31/2016 i.e. - 1st Sept 2015 – 31st August 2016 when creating course instances for this
coming academic year.
For this example update as follows;

Enter Course Instance Code for Year 1 and Year 2

Choose and ISCED code from the drop down list

Under Course Instance Award – Choose the Award and enter it against the Year in which
they reach their Award, in this case Year 2.



Under Location – Choose Location that the course/stream is taught i.e. NUIG
Update Start and End Date as follows
Example below of a completed Course Instance


Modules – Under the Modules Tab a user should enter the modules for each Year of course.
Course Instance Credit – Add the credit for each year of course i.e. 30 for 30 ECTS and tick













Click on Add Modules/Subjects to Semester 1 or 2 under Year 1
Choose the appropriate options
If the module you are adding is a Semester 1 module use Add Modules/Subjects to
Semester 1
If the module you are adding is a Semester 2 module user Add Modules/Subjects to
Semester 2
For the purposes of this example I choose as follows
Semester – Year 1 Semester 1
Select – Module
Code – Enter module code or part thereof
Search – click on Search and the search facility list the module or modules
Click on module of your choice and click in ‘Add’
The module will be added under Year 1 under the correct Semester
Continue with this process until all modules have been added.

Example of a completed Course Instance with module totalling 30 ECTS in both cases in year
1 and 2
NB – It is the responsibility of the user to ensure that the Course Instance Credit are correct



When a user has added all the module they can update the modules under ‘Type’ to reflect
whether the modules are optional or core
If a module is core every student registering for the course instance will have their
registration automatically populated with core modules
The optional modules are modules which they can choose between
Requisites


Adding Requisites
A user can add requisites at Course Instance only.
Here is an explanation for each type of requisite

Co-Req. = A Co-Requisite is where if a student selects module X they must also choose
module Y.









Excl. Req. = An Exclusion Requisite is where if a student chooses module X they cannot then
choose module Y or module Y and Z (whatever they are not permitted to take along with
module X)
Pre-Req. = A Pre-Requisite is where if a student wants to take module X they must have
completed module Y or module Y and Z in the previous academic Year.
For this example Click on ‘Add modules to Co-Requisites’ ….
Requisites – Co-Requisites
Module Code – EC or EC251
Click on ‘Add Modules’
Please note a user can only add requisites to modules with a Type of Optional
Requisites are entered at Course Instance level and not module.
An update to a Requisite in one course instance DOES NOT filter to other course instances
Please take note as follows;
Under the Requisite tab you could see the following options;
Edit – This indicates that there are requisites already added and they can be edited
Add – Where you see ‘Add’ there are no requisites currently against that module
Blank – This means that you do not have the option to add a requisite to this module as it is type
‘Core’. When a module is core you do not add requisites to it as every students will be automatically
be registered for the module.





PO Delivery – Here a user can add PO Delivery

Final – Here a user can Save And Exit, Print Preview or Submit For Approval
Only ‘Submit For Approval’ when all the fields are complete and you are sure the Course,
Stream and Instance are ready to go across to the Quercus Student Records System
