Context and Scope HammondCare is an independent Christian charity specialising in dementia care, palliative care, rehabilitation, specialist mental health for older people and other health and aged services. The organisation provides these services through sub-acute hospitals, residential care and innovative community services in NSW and has a particular commitment to dementia care and research as well as to older people who are financially disadvantaged. Summary of Position Position: Project Coordinator Area: Corporate Office Reporting to: General Manager, Health and Hospitals Based at: Greenwich Hospital Context and Purpose HammondCare is an Independent Christian Charity providing aged and dementia services, palliative care, rehabilitation and aged care psychiatry. The key function of the Project Coordinator is to manage a broad range of development projects across HammondCare’s health and hospitals operations whilst providing administrative support to members of the Health and Hospital Executive who are based at Greenwich Hospital. The Project Coordinator will work closely with the General Manager, Health and Hospitals in the development and delivery of projects and activities across the business. This includes administration, project planning, implementation and strong relationship management with internal and external stakeholders. This position will also be responsible for the writing of applications for funding, the write up of results, articles, other publications and presentations for internal and external communication. This role requires project management with efficiency and effectiveness; business acumen; determination to initiate, direct and drive change; relationship building skills as well as effective negotiation skills whilst providing a high standard of flexible service to enable the local executive team members to function smoothly. Key responsibilities 1. Business Documentation Responsible for drafting, editing and writing up a range of business documents, including such items as annual reports, Executive presentations, funding applications, grants, policy, etc, in consultation with other relevant parties, including HammondCare senior executive staff. Utilising excellent writing skills, so that material required to be written up is communicated in a concise, clear and accessible form, as appropriate to the intended audience. This may be in consultation with relevant staff and HammondCare senior executive staff. Development and maintenance of procedures for managing corporate information. Set up and maintain various electronic and paper files in both shared and private domains in accordance with procedures. 2. Presentations and Verbal communication skills. Utilise excellent verbal communication and information gathering skills for the preparation and communication of written documents and presentations. Delivery of presentations to a range of audiences as required. 3. Project Scoping Accessing, synthesising and analysing new and existing information as relevant to projects within the mission, vision, values and operational scope of HammondCare. Involvement in key projects and project teams across the business as required. Demonstrate initiative by identifying and recommending key business projects. 4. Project Support and implementation. Create detailed project plans, which include agreed scopes and schedules of work by which to track progress. Project administration, tracking and reporting. 5. Executive Support: Direct support of the General Manager, Health and Hospitals in day-to-day operational activities. Liaise with Executive team in Health and Hospitals in regards to executive travel, following through when issues arise. Ability to plan and organise meetings, office events and guest hospitality. Ensure all office processes and tasks are documented and updated. 6. Support for front-of-house function Work with other local administrative staff to provide professional front-of-house services as required including answering telephones, external and internal mail processing, office supplies management, meetings and conferences support, oversight of office access and security and other functions required for the safe, effective and efficient operation of Pallister House office functions. 7. Attitude of Service and involvement in the business Demonstrate a true servant approach and be willing to get involved and undertake duties to experience what our services actually offer. It is also expected that the Project Manager will be willing to assist where most needed as part of a team. 8. Education / Knowledge / Work Experience Tertiary qualified in a business or related discipline, or relevant practical experience in managing projects or programs. High level administrative and organisational capabilities from an administrative support perspective. Experience using Project Management Software. Demonstrated ability to work independently and work well with other staff. Capacity to provide high level administrative and organisational support in a health environment. Demonstrated coordination, prioritisation and problem solving, with the ability to manage conflicting priorities with high level communication skills.
